  • BIG IMAGINATIONS LLC RENTAL & SERVICE AGREEMENT

    This Rental & Service Agreement (the "Agreement") is made and entered into by and between Big Imaginations LLC ("Company") and the undersigned customer ("Customer" By signing this Agreement, Customer agrees to comply with all terms and conditions

    All rentals and services must be booked in advance and are subject to availability. The Customer is responsible for ensuring sufficient space, power supply, and supervision for all rented equipment and services. Adult supervision is required at all times when children are using any of our rental equipment or interacting with mascots and puppets. Big Imaginations LLC reserves the right to refuse service if conditions are deemed unsafe.

    The equipment should only be used for its intended purpose and in a safe manner. We prohibit any alterations or misuse of the equipment, and consequences of such actions warrant a forfeiture of the Customer's deposit, including potential fines or termination of the rental agreement.

    2. CANCELLATION & WEATHER POLICY FOR RENTALS

    Cancellations made at least 7 days before the event will receive a full refund.

    Cancellations made within the 7 days will result in a forfeiture of the deposit. In the event of inclement weather, Customers may reschedule subject to availability. If cancellation occurs due to unforeseen extreme weather conditions, safety concerns, or other acts of nature, Big Imaginations LLC will offer a reschedule or credit.

  • 3. Electrical Requirements

    Customer is responsible for providing a dedicated electrical outlet for inflatables and other equipment. Failure to provide the necessary power requirements may result in service delays or cancellations without refund.

    4. INFLATABLE EQUIPMENT GUIDELINES

    The inflatable is designed for children only-teens and adults are not permitted. No food, drinks, chewing gum, candy, or sharp objects are allowed in or near the inflatable. Climbing, hanging, or sitting on the walls of the inflatable is strictly prohibited. Children must not perform somersaults or rough play inside the inflatable. The inflatable must not be used in high winds or extreme weather conditions. Removal of substances like silly string, confetti, or excessive spills will result in additional cleaning fees. If items require special cleaning, a fee of up to $300 will be charged to the renter. This cleaning fee shall be automatically imposed by Big Imaginations LLC. If, in our opinion, the damage is severe enough to render the unit un-rentable, the customer will be responsible for the replacement of the unit (minimum $1,000), at full replacement price, and any loss of revenue until the replacement arrives. Renters are not permitted to sublease or rent the equipment to third parties.

    5. Mascots & Puppet Shows

    The mascots and puppets are for entertainment purposes only and must be treated with care. No pulling, touching, or grabbing the mascot costume or puppets. No throwing objects at mascots, puppeteers, or the puppet stage.

    If damage occurs due to negligence, the Customer will be charged for repair or replacement. Set-up and breakdown time: 30-45 minutes before and after the show is required. Audience size should be limited to 15-30 children for the best experience. Larger crowds require additional planning.

  • 6. CONCESSION STANDS, GAMES, BALLOONS, & OTHER RENTAL EQUIPMENT

    All equipment must be returned in the same condition as received. Customer assumes responsibility for any damages beyond normal wear and tear. Certain games may require additional space and supervision to ensure safe use.

    7. EQUIPMENT CLEANING & DAMAGE LIABILITY

    A cleaning fee will be applied for any excessive dirt, spills, or foreign substances left on equipment. Customers will be responsible for repair or replacement costs for any rental items damaged due to negligence. If, in our opinion, the damage is severe enough to render the unit un-rentable, the Customer will be responsible for full replacement value and any loss of revenue due due to downtime.

    8. General Child Safty Rules

    Adult supervision is required at all times. Separate play areas should be designated for different age groups when using inflatables. No rough play, fighting, or running near or around rental equipment.

    9. PUBLIC PROPERTY EVENTS & PERMITS

    Some municipalities require additional insurance for events held on public property. It is the Customer's responsibility to check and comply with local regulations and communicate any requirements to Big Imaginations LLC. Customers are responsible for obtaining any necessary permits or licenses for events held in public spaces or certain venues. This ensures compliance with local regulations and prevents potential legal issues.

  • 10. LIABILITY DISCLAIMER & INDEMNIFICATION

    Big Imaginations LLC is not responsible for injuries or accidents resulting from improper use of rental equipment. The Customer assumes all risk and responsibility for the event and its participants. Big Imaginations LLC is not affiliated with any licensed characters or brands. Any resemblance to copyrighted characters is purely incidental. The Customer agrees to indemnify and hold Big Imaginations LLC harmless from any claims, damages, or liabilities arising from the use of the rented equipment. 

    11. EVENT DÉCOR, DESIGN & STYLING SERVICES
    Event décor, design, and styling services are separate from equipment rentals and entertainment services and are governed by the terms below.

    a. Non-Refundable Retainer
    All event décor and styling services require a non-refundable retainer to reserve the event date. The retainer secures the date and compensates Big Imaginations LLC for design consultation, planning, administrative coordination, and preparation. No décor inventory will be pulled, reserved, or purchased until payment is received.

    b. Design, Consultation & Planning Services
    Event décor services include, but are not limited to: design consultation, concept development, décor planning, vendor research, sourcing, inventory pulls, meetings (in-person, phone, or virtual), quotes, revisions, and administrative coordination.
    Once these services begin, all design, consultation, and planning fees are non-refundable, regardless of event cancellation.

    c. Date Changes & Rescheduling
    One (1) date change may be approved at the discretion of Big Imaginations LLC. Any additional date changes will incur a $50 date-change fee per change, due immediately. Date-change fees compensate for lost booking opportunities and administrative labor. Repeated date changes may result in cancellation of services by Big Imaginations LLC.

    d. Cancellations
    If the Client cancels an event after décor planning, consultation, or inventory reservation has begun, the Client remains responsible for all non-refundable fees, including but not limited to retainers, design and consultation services, administrative and preparation costs, and any date-change fees already incurred. Any refundable balance will be issued less applicable charges.

    e. Scope Changes & Approvals
    Client is responsible for obtaining all internal approvals (including board or committee approvals) prior to requesting quotes, revisions, or additional services. Requests for changes, additions, or upgrades to décor after initial approval require a new quote and are subject to availability. Big Imaginations LLC is not responsible for delays, cancellations, or budget changes caused by internal decision-making or funding delays.

    f. Refundable Deposits for Rental Décor Items
    Refundable deposits apply only to physical décor rental items returned in their original condition. Refundable deposits do not apply to design services, consultation, planning, administrative work, or date reservations.

    12. GOVERNING LAW & ENTIRE AGREEMENT

    Any legal proceedings related to this agreement shall fall under the jurisdiction of the State of Missouri, with venue set in the St. Louis County Circuit Court. This written contract constitutes the entire agreement between the parties, superseding all prior discussions or agreements.

    13. CUSTOMER ACKNOWLEDGMENT & SIGNATURE

    By signing below, the Customer acknowledges and agrees to all terms and conditions stated in this Agreement.
