  • This is the application for Naka-Kon 2026, hosted by Naka-Kon Japanese Cultural Education Association. We are an entirely volunteer-run organization and we greatly appreciate that you want to join the team!

    Please fill out the form in its entirety so that we have the most accurate and up-to-date information for you. If a particular question does not apply, just put "N/A"

    If you are applying for a Staff or Leadership role, this application is due
    January 14th, 2026. 

    If you are applying for a Tomo's Helper role, this application will remain open throughout the convention.

    You must be age 18 or older by March 13th, 2026 to apply for Staff or Leadership.
    You must be age 16 or older by March 13th, 2026 to apply for Tomo's Helper.

    • Do not use use volunteer status for unauthorized access, benefits, or contracts
    • Do not accept tips
    • Communicate with director(s) you are assigned to, Volunteers Lead, or HR if you have any concerns
    • Do not engage as a representative of Naka-Kon on any social media platforms

  • Director Benefits Summary:

    • One free badge (for yourself) to attend Naka-Kon Anime Convention 2026.
    • One free Naka-Kon Anime Convention 2026 staff t-shirt.
    • Hours-based reimbursement of on-site or near-site hotelling 

    Director Expectations Summary:

    • Must be 18 years of age or older as of the Thursday prior to the Convention.
    • Must be available from 1:00 PM on Thursday before the convention until 2:00 PM on Monday after the convention.
    • Commitment to overseeing your sector, managing staff, and completing all assigned tasks.
    • Must maintain a log of official convention business (time, date, person contacted, subjects discussed, follow-up needed). Emails are automatically logged.
    • Respond to all official communications within 7 days.
    • Attend all Director and Staff meetings throughout the year or designate a sector representative for planned absences
    • Must conduct themselves professionally and courteously when representing Naka-Kon (e.g., at networking events, meetings, online, wearing staff apparel, etc.).
    • Must maintain and update inventory records for your sector. (Note: Purchase Order access will be granted to a director only after their sector has completed its annual inventory review)

    • No recreational drug or alcohol use at all while actively volunteering or representing Naka-Kon
    • Maintain hygiene & appropriate appearance (shower daily, wear deodorant)
    • Attempt to eat twice daily, sleep 8 hours daily, and prioritize health
    • Do not use use volunteer status for unauthorized access, benefits, or contracts
    • Do not accept tips without prior written consent from the board
    • Communicate with director(s) you are assigned to, Volunteers Lead, or HR if you have any concerns
    • Do not engage as a representative of Naka-Kon on any social media platforms

    I understand that as a volunteer I am not an employee and will not be paid any compensation nor receive any employee benefits. Upon prior written approval by Naka-Kon, I may receive reimbursement for expenses incurred in activities authorized by Naka-Kon. I understand that the volunteer relationship does not lead to an employment relationship. I understand that I am not authorized to bind Naka-Kon Japanese Cultural Education Association or Naka-Kon, in any way. I understand that my services may be terminated by Naka-Kon at any time, for any or no reason. I agree not to engage in any trade, practice or other activity which is harmful to the goodwill or reflects unfavorably on Naka-Kon's reputation.

    I understand that during the course of my association with Naka-Kon Japanese Cultural Education Association and Naka-Kon there may be disclosed to me confidential information or trade secrets of Naka-Kon. Said confidential information or trade secrets may consist of, but are not limited to, technical (methods, processes, formulae, compositions, systems, techniques, inventions, machines, computer programs, and research projects) and business information (customer lists, pricing date, sources of supply, financial data and marketing, production, merchandising systems and plans).

    I agree that I shall not, during, or any time after the termination of my association with Naka-Kon, use for myself or others, or disclose or divulge to others including future volunteers, any trade secrets, confidential information, or any other proprietary data of Naka-Kon in violation of this agreement.

    I agree that upon the termination of my association with Naka-Kon all rights to use said confidential information, proprietary information, or trade secrets shall terminate immediately. I shall return to Naka-Kon all confidential information, trade secrets, documents and property of Naka-Kon, including but not necessarily limited to: drawings, blueprints, reports, manuals, correspondence, customer lists, computer programs, and all other materials and all copies thereof relating in all way to Naka-Kon's business, or in any way obtained by me during the course of association. I further agree that I shall not retain copies, notes or abstracts of the foregoing. Naka-Kon may notify any future or prospective employer or third party of the existence of this agreement, and shall be entitled to full injunctive relief for any breach. This agreement shall be binding upon me and my personal representatives and successors in interest, and shall inure to the benefit of Naka-Kon, its successors and assigns.

    I grant, transfer, convey, and assign to Naka-Kon Japanese Cultural Education Association and Naka-Kon, its successors and assigns, all right, title, and interest in and to all work and materials relating to my involvement under Naka-Kon, including the copyright, patent, trade secret rights, and all other right, title, and interest therein, and consisting of all existing source code, object code, documentation, flow charts, design documents, and record and file layouts relating thereto, and all trademarks, service marks, logos and trade dress associated therewith, if any (collectively the "Works"). This exclusive conveyance shall include, but is not limited to, the rights to publish, reproduce, transmit, adapt, prepare derivative works, sell, or otherwise make use of the Works (including all subsequent additions, revisions, supplements to, and versions of the Works and derivatives, regardless of length or nature) throughout the world, in any form or medium and in any language, and to license or otherwise transfer to others the rights commensurate herewith in connection with the Works. 

    I hereby grant to Naka-Kon Japanese Cultural Education Association and Naka-Kon, its successors and assigns, the right to file trademark, copyright and patent applications in the United States and throughout the world for the Works in the name of Naka-Kon Japanese Cultural Education Association and Naka-Kon its successors and assigns may act as attorney-in-fact to execute any document that Assignee, its successors and assigns, deem necessary to record this grant with the United States Patent and Trademark Office, United States Copyright office or elsewhere. If requested, I agree to execute any and all trademark, copyright, patent, or trade secret assignments, certificates, applications, or documents requested by Naka-Kon Japanese Cultural Education Association and Naka-Kon its successors and assigns. The cost of recording and registering ownership rights in the Works shall be borne solely by Naka-Kon Japanese Cultural Education Association and Naka-Kon. 

    I authorize Naka-Kon Japanese Cultural Education Association to use any photograph, film, or videotape taken of me during my participation as a volunteer without compensation in any publication or promotional material prepared and distributed by Naka-Kon Japanese Cultural Education Association or Naka-Kon or any of their affiliates. I further authorize Naka-Kon Japanese Cultural Education Association and Naka-Kon to make a thorough investigation of my background to verify any and all information provided, including but not limited to obtaining work references, educational records, and personal history. Other Federal, State or local governmental agencies, former employers and former schools, may also be contacted. I also understand that as part of the normal procedure for processing my application, a consumer report may be prepared. Such reports may include a criminal history background check as well as information relating to my character and general reputation. I understand that I have the right to make a written request within a reasonable period of time to receive additional detailed information about the nature and scope of this investigation. 

    By agreeing to act as a volunteer for the purposes of the Naka-Kon Japanese Cultural Education Association, I acknowledge and agree as follows: I am personally responsible for protecting my health and I waive any claim that I may make that my duties as a volunteer were the cause of any adverse health condition I may suffer while performing my volunteer duties; I have an affirmative duty to follow any guidelines issued by the Board of Directors of Naka-Kon regarding safe health practices; and I have an affirmative duty to follow any Federal, State or Local Governmental Health & Safety Regulations that may be in place at the time of the Naka-Kon Japanese Cultural Education Association.

    The General Staff Guidelines include references to certain benefits that the volunteers may enjoy by performing the duties of their volunteer position. By agreeing to act as a volunteer for the purposes of the Naka-Kon Japanese Cultural Education Association, I acknowledge and agree that in the event that circumstances occur that are outside of the control of the Board of Directors of Naka-Kon that such benefits may not be provided to me. I acknowledge and agree that this document does not provide any guarantee of any benefit and that the Board of Directors of Naka-Kon has the complete discretion to withdraw any benefits referred to in this volunteer agreement or pursuant to the General Staff Guidelines. I understand further that if I elect to purchase equivalent items Naka-Kon is not responsible for reimbursement or enforcement of all staff rules within those spaces.
