Team Policies and Procedures Agreement
Take a moment to read and understand this packet, please fill out the agreements/med release pages after you have fully read and agreed to everything.
The following policy and procedures manual, serves as the official set of rules in which the Rock Solid Allstars was founded and will operate under for the 2026-2027 season. These rules are strictly adhered to for the benefit and protection of the team(s). The director reserves the right to amend these policies and procedures as deemed necessary during the season.
The RS teams will be trained in all elements of competitive cheerleading in accordance with the score sheet in which we compete including: stunts, pyramids, jumps, technique, expressions, dance and tumbling. The training is very disciplined, intense, highly productive and greatly enhances the skills of each cheerleader and the team as a whole. A set of key values must be followed in order to maintain control of this disciplined and productive process: Attendance, Attitude, Practice, Skill Requirements, Levels, Conduct and other policies listed below.
1. Attendance Policy
Mandatory Attendance: Members must attend all practices and competitions.
Excused Absences: Only for severe illness, family death, or coach-approved special circumstances. Prior notice must be provided in writing or by phone.
Consequences: More than 3 unexcused absences may result in dismissal without refund. Other penalties include being benched from competitions, suspension, or removal at the coach's discretion.
No-Miss Policy: The week of a competition, attendance is strictly mandatory. If your athlete misses, the coach may replace them at your expense. Extra practices may be scheduled with short notice the weekend before or week of a comepetition. Missing these extra practices are also unexcused.
Holidays Off: Memorial Day, Independence Day, Labor Day, Thanksgiving (including the day before), Christmas, and New Year’s. Three one-week summer breaks in June, July, and August.
Parental Responsibility: Missing practice should not be used as punishment, as it affects the entire team. Inform the coach early about academic or behavioral issues.
Absentee Form - if you plan to be absent for any reason you must notify your coach and fill out the online absentee form.
2. Practice & Dress Code
Regular & Additional Practices: Scheduled practices are mandatory, with extra sessions before performances/competitions.
Dress Code: Proper practice attire is required—RS t-shirts, sports bras, and stretch shorts. No jewelry or gum allowed. Hair must be secured in a high ponytail with a bow.
Sample Schedule: (Subject to change based on team needs.)
Elite teams practice 2 times a week, practice times will range from 4:30 PM - 9:30 PM. Official practice schedule will be decided after tryouts.
Novice and Prep teams will practice 1 time per week, 4:30 PM - 9:30 PM. Official Practice schedule will be decided after tryouts.
Weekend Practices: Avoided when possible but may be required during choreography and before competitions.
3. Team Rules
Attitude & Conduct: A positive, respectful attitude is required at all times. Disrespect, negativity, or degrading behavior will result in disciplinary action and / or removal from the team and program.
Restricted Items: No cell phones during practice, no gum, no jewelry, and natural hair colors only for competitions.
Parent Boundaries: Parents must remain in designated areas and are not allowed on the practice floor. Parents must vacate the building during closed practices.
Cheerleading is a Team Sport: Be prepared to support your teammates and avoid gossip, bullying, or any disruptive behavior.
4. Skill Requirements & Team Participation
Skill Maintenance: Athletes must maintain required skills. If unable, they have two weeks to regain them before being moved to a different team.
Injuries: If injured, an athlete must still attend practices and competitions. Substitutes will be used as needed.
Progress & Placement: Placement is determined by skill level, stunting ability, and age. Parents should trust the coaching staff’s decisions.
5. Competitions & Travel
Mandatory Attendance: Missing a competition is not permitted. If your athlete has to miss a competition a replacement team member will be added to the team roster at your expense. Missing a competition may affect your athletes future competition and team participation.
Team Travel & Conduct: Athletes must stay with the team / gym as required and follow all policies, including dress code and curfew. Parents are responsible for securing chaperones if unable to attend.
Uniform & Appearance: Athletes must arrive in full uniform, with proper hair and makeup, and wear designated RS attire only.
Team Support: Attendance at competitions is encouraged to support all RS teams.
6. Cheerleader Conduct Agreement
Representation: Athletes represent RS at all times, in and out of uniform, including social media presence.
Social Media Policy: Inappropriate behavior, rude language, or negative posts about RS or its members will result in dismissal.
Gossip & Bullying will not be tolerated and will result in consequences, including dismissal if necessary.
Safety & Supervision: Athletes must notify staff before leaving the gym and may not loiter in the locker room.
7. Parent Code of Conduct
Respect Boundaries: Parents must stay in designated viewing areas and refrain from coaching their child or interfering with practice.
Parents must vacate the building during closed practices.
No Gossip or Negativity: Speaking negatively about any athlete, coach, or RS policy is strictly prohibited.
Support & Trust: Parents must encourage their children to follow policies and trust the coaching staff’s decisions.
Social Media Etiquette: Parents must also uphold RS’s positive image online. Negative behavior can result in dismissal from the program.
8. Team Levels & Placement
Levels 1-7: Placement is based on skills and execution of stunts, tumbling, and pyramids.
Birth Certificates: Required for age verification before team placements.
Skill Expectations: Each team aims for all members to meet the highest skill level required for their division.
Parental Trust: Team placement is final and made with the athlete’s best interest in mind.
9. Injuries & Illness
Cheerleading Risks: Injuries can include strains, dislocations, and other serious conditions. Athletes must maintain conditioning.
Medical Responsibility: RS is not liable for injuries; athletes should have their own insurance.
Illness Policy: Athletes with a fever of 101°F or higher should remain home from practice. If an athlete misses more than one practice due to illness, a doctor’s note may be required, and medical clearance may be required before returning to participation.
Practices may not be missed during the week of a competition. If an athlete is experiencing illness or fever during competition week, they may be required to attend practice wearing a mask and participate in a limited capacity, as determined by coaches.
If an athlete does not attend practice during competition week, they may be replaced in the routine for one or more competitions. This policy is in place because if an athlete is too ill to practice, they may also be unable to compete, which could negatively impact the entire team.
Injury Withdrawal Policy -If an athlete becomes injured during the season and is unable to continue participating, the gym must be notified immediately and documentation from a medical professional may be required. Due to expenses already incurred for choreography, competition registrations, and team costs, season cheer fees are non-refundable. .
10. Financial Policies
USASF Membership: Required ($50 per year). Birth certificate must be uploaded to USASF profile.
Required Forms: Medical waiver, financial agreement, and policy agreement must be signed.
Monthly Tuition and Installment Payments: Payments must be current for participation in practices and competitions.
Past-Due Accounts: If past due, the athlete cannot attend practice, competitions, or private lessons.
Competition Fees: Paid on time to avoid late fees. All payments are non-refundable.
Uniform Costs: Ranges from $180-$1500.
Fundraising Credits: Cannot be used for cheer gear or private lessons unless all competition fees and dues are paid for the entire season.
Private lessons cannot be taken if your account is past due.
Merchandise, besides required practice wear and cheer gear from the shop cannot be purchased if your account is past due.
Credit Card on File: a vaild credit card and credit card agreement must be on file for all athletes
Automatic Payment Authorization: By enrolling in the program, families agree to keep a valid credit card or payment method on file. The gym reserves the right to automatically process payments for monthly tuition, installment payments, and outstanding balances according to the billing schedule.
If a payment is declined, families are responsible for updating their payment method immediately. Accounts that remain unpaid may be subject to late fees or suspension from participation until the account is brought current.
11. Miscellaneous Policies
Private Lessons: Must be done at Rock Solid. Training at other gyms is grounds for dismissal.
RS Merchandise: The personal use of RS logos, team names, or designs is strictly prohibited. No individual is permitted to create or produce clothing, gear, or any other items using the RS name, team names, or logos for personal or team purposes. All logos, names, and designs are the exclusive property of Rock Solid Allstars and are protected as part of its brand.
Routine Videos & Music: Cannot be posted online without owner’s approval before March.
Communication:
BAND: RS uses "BAND" for updates. Do not use this platform to report absences. This platform is for coach communication. Refrain from having "off-topic" conversations in the "BAND"
Invoices and Statements: will be sent to the "parent email" on file. If you are not receiving statements or invoices it is your responsibility to let us know. Not receiving invoices or statements is not an excuse for an upaid account.
Legal Disclaimer: If legal action is required to enforce policies, parents are responsible for attorney fees.
12. Withdrawl / "Quitting" Policy
Once choreography has been completed, the athlete’s position has been integrated into the routine and expenses have been incurred.
If an athlete withdraws or is removed from the program after choreography, the family will remain responsible for:
• Any unpaid portion of the season’s cheer fees
• An additional $500 withdrawal fee
This fee helps offset the cost of choreography adjustments, routine restructuring, and administrative time required to modify the routine.
Non-Refundable Choreography & Competition Fees - Monthly dues, Choreography fees, music fees, Apparel costs and competition entry fees are non-refundable once paid or once the gym has committed those funds on behalf of the team.These expenses are paid in advance by the gym and are not recoverable if an athlete withdraws from the team.
Written Withdrawal Requirement - All withdrawals must be submitted in writing to gym management. The effective withdrawal date will be the date written notice is received. Failure to attend practices or competitions does not constitute withdrawal from the program and does not release the family from financial obligations.
