  • Here is all the information you need to know about applying to be a trader at Stourfest 2026.

    Please read the terms and conditions carefully - every year there are changes. Complete the application form, including electric requirements, carefully.

    We cannot increase your frontage size or your electrical requirements at a later date.

    Submit ALL the required documentation.

    Submit photos of your catering unit.

    Submit a copy of your menu and photos of the food you’ll provide.

    Apply before February 28th 2026. - Successful applicants will be notified early March, unsuccessful applicants ASAP. 

    Failure to complete all the above conditions could affect the success of your application.

  • If you are successful you will need to provide the following Information sent via email to events@stourbridgerugby.com. Should you prefer to send them via the post then please let us know. 

    • Proof of registration with local authority 
    • Food hygiene rating (required every 3 years)
    • Method Statement (annually)
    • Food handler certificates (for staff attending - one must be level 3) 
    • Allergen Information sheet to reflect items that will be sold on the day
    • Public liability Insurance
    • Employers liability Insurance
    • Fire risk assessmnet
    • COSHH Risk Assessment
    • Trading Risk Assessment
    • PAT test certificates
    • Set up and breakdown assessment
    • Fire extinguisher maintenance report/certificate (every 6 months) 

    If you are unable to provide any of the above please contact us asap on the email address above. 

  • Please note: Excessive number of staff may incur extra charges per staff member . We do not allow you to bring anyone under the age of 16 on to the site. 

  • Please note: You will be asked to provide the names of all staff (ages if between 16-18)  and car registrations (if applicable) 3 days before the event. If there are any changes in-between this time and the start of the festival you must inform the event organisers immediately. 

  • Terms & Conditions of trading

    • Successful applicants will be invoiced in March:
      • food traders will be required to pay a £200 + VAT non refundable deposit within 14 days to secure the pitch - the remainder of your fee (£600/£450 depending on pitch size will be due 14 days before Stourfest). 
      • All craft/retail traders will be required to pay their full £200 + VAT non refundable fee 14 days after invoicing to secure their pitch. 
    • Should the trader cancel their attendance at the festival, fees paid are non-refundable.
    • Should the festival be cancelled by Government decision, fees paid are non-refundable.
    • Should the management cancel the festival, fees paid will be refundable.
    • No refunds, full or partial, will be available should trading not meet with your expectation.
    • All Traders will only trade within the diameters of the pitch size stated on their application form.
    • Traders must not obstruct gangways or ignore space buffers between pitches.
    • Traders must be respectful and courteous to members of the public, organisers or other businesses. 
    • Only sell products stated on their application form.
    • Ensure all items sold are safe and compliant.
    • Any rubbish should be disposed of responsibly and not left on the pitch.
    • Agree to no vehicluar movement for the duration of the event.
