As part of our commitment to enhancing the value of your Potato Expo experience, the Potato Expo is pleased to provide complimentary meeting space at the Gaylord Texan—a $2,500+ value. Offering this space allows participating companies to maximize their presence at the show and contributes to the overall attendee experience.
Meeting room availability is limited and not guaranteed, so submit your request early! Rooms will be assigned on a first come, first serve basis.
Key Details
- No Rental Cost: Meeting space is provided at no charge (a $2,500+ value depending on room size and duration).
- Part of Your Expo Value: Affiliate meetings and events are considered part of the overall value of participating in Potato Expo.
- Registration Required: All attendees participating in affiliate meetings and events must be registered for Potato Expo and wear their badge to enter the meeting space.
- Space Only: Room assignments are for meeting space only. Companies are responsible for any food & beverage, internet, and A/V services directly with the hotel.
- Single-Day Meetings: This form is for single-day meetings and events only. For multi-day meetings, please contact Hollee Alexander about sponsorship opportunities at holleea@nationalpotatocouncil.org.
Deadlines
- Submit Request Form by: November 1, 2025
- Room Assignments Announced: November 14, 2025
- Finalize Hotel Orders (F&B, A/V, etc.): December 8, 2025
Important Notes
- Space assignments will not be available before November 14. Requesting an early update may delay processing.
- Do not contact the Gaylord Texan directly for meeting room space. The Potato Expo team will facilitate your connection once space is assigned.
- The Potato Expo reserves the right to accept, reject, or conditionally approve requests at its sole discretion.
