RULES AND REGULATIONS
Management: The Buena Vista Gold Rush Days is under the direction of Representatives known as "Show Committee" and the "Promoter" who are in full authority of this event.
Commercial Exhibitor: Known in this contract as the "Vendor".
Show Dates and Times: The Buena Vista Gold Rush Days will be held at the Buena Vista Rodeo Grounds during the following dates and times:
- Thursday, August 7, 2025, 9:00 AM to 6:00 PM
- Friday, August 8, 2025, 9:00 AM to 6:00 PM
- Saturday, August 9, 2025, 9:00 AM to 6:00 PM
- Sunday, August 10, 2024, 9:00 AM to 6:00 PM
Booth Fee: The fee for the 2025 show is $150 for a single Vendor, single booth space. A second space is available for $75 once the first space is secured. Please check with the Promoter if more than two spaces are needed. The show Promoter purchases a Vendor sales permit from the town of Buena Vista for each registered Vendor. (This is part of the Vendor application fee.)
Booth Sharing: Vendors sharing a space are required to pay $50 per additional Vendor. All Vendors are required to complete an application. Vendors found sharing a space without registering the additional Vendor(s) will be asked to leave the show without a refund and will not be invited back to future shows.
Payment Methods: Vendors may pay for their show with cash/check/money order (preferred), debit/credit card, or Venmo to Venmo Friends & Family transfer. Please make checks or money orders payable to Lisa Cooper. A two-percent (2%) surcharge will be added to the total for debit/credit card transactions.
Refund Policy: Registration fees will be refunded if cancellation is made prior to July 1, 2025. Refunds after this date will be determined on a case-by-case basis and may incur an administration fee of $25 plus any other fees associated with the return of payment. All fees will be deducted from the refund. Originating transaction credit card or PayPal surcharges are non-refundable.
Insufficient Funds: Any Vendor writing an insufficient fund check will be charged a $50 returned check fee. The fee, as well as the amount owed, must be paid in full by cash or certified funds only, before set up. Non-payment of the fee will result in a voided contract.
Sales Tax: This is a retail show where each Vendor is responsible for collecting sales tax for the State of Colorado and the Town of Buena Vista. The current sales tax rate is 8.15% (this rate includes 2.5% - Buena Vista, 2.75% - Chaffee County, 2.9% - State of Colorado.) The taxes are to be remitted to the Colorado Department of Revenue (1375 Sherman St., Denver CO 80261) no later than the 20th day of the month following the show (September 20th). All Vendors MUST purchase a Colorado Special Events License (https://tax.colorado.gov/special-event-sales-tax). Please direct all questions concerning taxation, payments, and licensing to the State of Colorado (303-238-7378), not to the Show Committee or Promoter.
Booth Restrictions: Booth spaces are 15 ft wide (N-S) by 25 ft deep (E-W). Vendors may not extend outside their space into the walkway, driving lanes or another dealer’s space (unless an agreement is made between the two Vendors).
Subletting: Spaces may not be subleased. Vendors are responsible for everyone within their space including family, animals, and any visitors. Please do not have visitors after hours unless the Vendor is with them at all times.
Vendor Product Requirements: This is a theme show based on Buena Vista and Colorado history. Gold Rush Days is an immersive festival that brings history to life through interactive exhibits, gem and mineral show explorations, Indigenous perspectives, heritage reenactments, storytelling, and hands-on experiences. We honor the full story of this land and community – from ancient times to the mining boom and beyond – creating an engaging, educational, and family friendly event. A minimum of eighty percent (80%) of material sold by Vendors, and any interactive activities, must be related to the historical theme. Vendors will be limited to merchandise, games, or services expressing historical education, memorabilia, historical handcrafts, or as deemed appropriate by the Show Committee or Promoter. Materials, Equipment, Sales Restrictions: Vendors may not sell food items (including soft drinks, water, snacks, etc.), weapons, animals, or illegal substances. Any Vendor found selling these items may be asked to leave without refund and may not be invited to participate in future shows. The Show Committee or Promoter reserves the right to eliminate any material, equipment, advertising, booth design, practice, noise, or individual, which, in their opinion, is objectionable. Materials and equipment exhibited or offered for sale must be correctly represented and labeled. Sales and solicitations are permitted only by authorized Vendors leasing space in conformance with this contract. The Show Committee or Promoter has the final say in all matters. We reserve the right to disallow space to any Vendor.
Arrival Check-in: To obtain your space location, all Vendors must check-in at the registration tent upon arrival. This includes Vendors sharing a booth. Please do not set up before going to the registration tent.
Set-up Schedule: Vendors who are paid in full may arrive as early as Tuesday, August 5, 2025, to begin set-up. Vendors arriving on Monday will be asked to camp in the parking lot or public camping area. Any dealer not set up, without prior arrangement with the show promoter, by 9 AM on Thursday, August 7, 2025, will forfeit their space and the space will be resold with or without refund. (Case-by-case basis)
Noise Ordinance: Please be courteous to other Vendors. No ATVS, loud music or excessive noise after 10:00 PM. All generators must be turned off no later than 10:00 PM and may not be turned on until 7:00 AM. Generators emitting noxious fumes are not permitted under any circumstance.
Pets: Quiet, well-behaved, and well-kept pets are welcome at the show. Pet owners are responsible for their animals. This includes cleaning up after your pet. All PETS MUST BE KEPT ON A LEASH AT ALL TIMES while on the premises. (There is a dog park on the other side of the Rodeo Arena.)
Signage: Vendors may not place signs or other items outside their registered space unless cleared by the show Promoter.
Trash: Vendors are responsible for removing trash from their spaces. Please do not put large items or bags of trash in the trash cans, these cans are for patron trash. A dumpster is provided for the collection of large waste. Please clean up after yourself and your customers during the show and after you have packed up, this includes cigarette butts! Any Vendor leaving trash in their space will be subject to a surcharge. Please do not throw excess household trash in the dumpster.
Conduct: Anyone engaging in behavior that is considered unsafe will be asked to leave without a refund and will be denied vendor entry to future shows. Anyone who attempts to interfere with the orderly operation of the show will be asked to leave as well. Disagreements must be handled in a professional manner. If show staff or police is required for this resolution, please notify Show Committee staff and Promoter immediately.
Vendor Liability: Vendors who wish to insure against damage, loss, or other reasons arising from claims by the public or injury to persons or property, will do so at their own expense. Vendors agree by signature on this document to indemnify and hold the Show Committe and Promoter harmless from all liabilities arising out of or in connection with the installation, operation and/or removal of their merchandise.
Camping: Dry camping is available along the west side of the Rodeo Arena. Vendors must bring their own water to the site and contain all grey and black wastewater while on site. Marketing & Advertising: The Show Committee and Promoter will do their best to market and advertise for the show. It is very helpful for Vendors to also share the event with their customers and on their social media.
