  • Behaviour Guidelines & Expectations

The Trailblazer Club is all about creating a welcoming space where everyone can feel safe, included, and free to be themselves. To help us keep that vibe strong, we do have a few expectations in place. All Trailblazers and their supports (if applicable) are expected to interact respectfully and in a way that helps keep the group running smoothly and safely.

In the rare event that behaviours significantly impact the safety or enjoyment of others, we may need to revisit someone’s participation in the club. Those who attend with support staff are expected to assist with any redirection needed, as they often have the strongest rapport and experience with the individual. Of course, our team will always step in to help too.

We’re open to conversation and committed to working together if any concerns come up. However, we do reserve the right to withdraw someone from the group if safety or group dynamics are at risk. No refunds will be issued in those cases.

  • Funding

  • Refund & Withdrawal Policy

    1. Full payment is required by the specified due date on your invoice to secure your spot. If fees are not received by this date, your spot will be released so that Trailblazers on the waitlist have the opportunity to register. Adequate and sufficient time is provided for payment. No exceptions will be made, and we apologize for any inconvenience.

    2. Program withdrawals within 30 days of the program start date are non-refundable. Trailblazers or their supports are encouraged to notify us as early as possible to allow those on the waitlist adequate time to register.

    3. Program withdrawals made 31 days or more in advance will receive a full refund, minus a $35 administration fee to cover processing and administrative costs.

    4. If the full program must be cancelled due to reasons beyond our control, a partial refund (minus any prepaid expenses and a $35 administration fee) will be provided. This does not apply to individual sessions cancelled due to weather or other circumstances; those sessions will follow the Winter Weather Policy listed below.

    5. We are not able to provide a refund if registered Trailblazers cannot attend any of the scheduled club days.

  • Winter Weather Policy

    1. The Trailblazers Club Winter Season will run during the winter months, and safety is our top priority.
    2. If either Hamilton school board (HWDSB or HWCDSB) cancels buses or declares a snow day, the club will be cancelled for that evening. A decision will be made by 12:00 PM and shared by email and on social media.

    3. If weather conditions worsen later in the day, the club may still be cancelled for safety reasons. Families will be notified as soon as possible by email and on social media.

    4. Families, guardians, and supports are responsible for safe travel to and from the program. If travel conditions are unsafe in your area, please use your best judgment. Unique Optimism Outdoor and Community Support Services is not responsible for accidents, travel delays, or cancellations caused by winter weather.

    5. Refunds are not available for weather-related cancellations, as staff, materials, and venue costs are committed ahead of time. A make-up session will be scheduled in March if needed.

By registering for the Winter Season, Trailblazers and Champions acknowledge that weather-related cancellations are an inherent risk of winter programming.

  • Matko Photo - Photo Session Acknowledgment (Uniquely You Badge Night)

Fun Fact: Erika (Matko Photo) was Mrs. Claus at the TGIF Nights: Christmas in July.
    1. Trailblazers will participate in a professional photo shoot with Matko Photo as the main activity for the Uniquely You Badge, and each Trailblazer will receive five (5) professional digital images.

    2. This session is included in the program fee. It cannot be rescheduled or refunded if missed.

    3. Your previously completed Photo/Video Publicity Consent will be followed. If your Trailblazer has opted out of publicity, their photos will not be shared online by Unique Optimism or Matko Photo.

    4. You will have the option to purchase additional digital images directly from Matko Photo. Contact info will be provided at the session or you can learn more at www.matkophoto.com .
