    FOOD VENDOR AGREEMENT

    Welcome to the 2025 stal'əw̓ Pow Wow! We are very grateful for our talented food vendors and thank you for joining us! Please read through the terms and agreements below.

  • THANK-YOU FOR APPLYING TO BECOME AN INDIGENOUS FOOD VENDOR!

  • Please read the following information carefully. Submitting this application does not guarantee a spot at the event. All vendor applications are subject to review and approval by the event organizers. We will contact you directly to confirm your booking if your application is accepted.

  • Event Dates:
    Friday, September 12, 2025
    Saturday, September 13, 2025
    Sunday, September 14, 2025    		 Location:
    Langley Events Centre
    7888 200th St, Langley, BC
    V2Y 3J4

    Friday, September 12:

    • We welcome you to come and begin setting us as early as 11:00 am
    • Doors open to the public at 6:00 pm; dancers/drummers arriving for 5:00 pm.
    • Closing of Colours is at 10:00 pm and building is cleared at 11:00 pm 

    Saturday, September 13: 

    • You may begin set-up at any time in the morning, but our volunteers and staff will be available for assistance at 10:30 am
    • Doors Open to the public at noon and lunch services should be available, as Grand entry begins at 1:00 pm 
    • Guests and dancers will have available time to visit food vendors and the outdoor plaza at all times throught the Pow-wow 
    • Dinner Break is from 5:00 pm - 7:00 pm, please ensure you are prepared and available at this time
    • Closing of Colours is at 10:30 pm and building is cleared at 11:00-30 pm 

    Sunday, September 14: 

    • You may begin set-up at any time in the morning, but our volunteers and staff will be available for assistance at 10:30 am
    • Doors Open to the public at 11:00 am and lunch services should be available, as Grand entry begins at 1:00 pm
    • Guests and dancers will have available time to visit food vendors and the outdoor plaza at all times throught the Pow-wow 
    • Closing of Colours is at 5:30 pm and building will be cleared by 7:00 pm

    The stal'əw̓ Powwow, stal'əw̓ Arts & Cultural Society, The Township of Langley, and The Langley Events Centre are not liable or responsible for any claims of alleged damage, lost or stolen goods, bodily injury or adverse reactions to the products sold at this event, or for underfunded vendors/travellers. Vendor payment is non-refundable. There will be no reimbursement if the vendor doesn't participate for the days in which they agreed upon. In the event that a vendor is unable to attend and gives us adequate notice, we may reconsider a refund if we can fill the spot. The stal'əw̓ Pow-wow is a family friendly event where drugs, alcohol, harassment, abuse and discrimination of any kind will not be tolerated. Vendors who do not abide by these terms can and will be removed from the premises without refund.

  • Agreement to Photograph / Videotape / Interview

    I hereby agree and give my permission for stal'əw̓ Arts & Cultural Society and/or it's partners to record, film, photograph, audiotape or videotape myself (hereinafter collectively referred to as “Works”) and to display, publish or distribute these Works for the purpose of publishing, posting on the stal'əw̓ Arts & Cultural Society, as well as the stal'əw̓ Powwow and its partners, websites and posting on social media sites. I hereby waive any right to approve the use of these Works now or in the future, whether the use is known to me or unknown, and I waive any right to any royalties related to the use of these Works. I understand that the Works may appear in electronic form on the internet or in other publications outside of the stal'əw̓ Arts & Cultural Society's control. I agree that I will not hold the stal'əw̓ Arts & Cultural Society or the stal'əw̓ Powwow responsible for any harm that may arise from such unauthorized reproduction.

    FOOD VENDOR DOCUMENTS

    Please complete the following forms per the instructions below. These forms and payment are due by September 5th, 2025 (Fraser Health form is due September 1st, 2025). Please email vendors@stalewpowwow.ca if you have any questions.

  • FRASER HEALTH OPERATING DOCUMENTS

    The following form is required by Fraser Health to operate as a food / food truck vendor at all Langley Township Events. Please complete the following form and send it back to us by September 4 . You may complete and upload the document below, or you may email it back to us separately.

  • For Approved Food Trucks: 
    Please fill out part A and G of the attached form, and upload (or email to vendors@stalewpowwow.ca) a copy of your Mobile Food Premises permit.

    Alternately, if you are already approved by Fraser Health Authority please let us know and Fraser Health can cross reference in thier database. 

    For All Other Food Operations:
    Please fill out and submit the entire application. You may upload here or email to vendors@stalewpowwow.ca once complete.
