    VENDOR AGREEMENT

    Welcome to the 2025 stal'əw̓ Pow Wow! We are very grateful for our talented vendors and thank you for joining us! Please read through the terms and agreements below.

  • THANK-YOU FOR APPLYING TO BECOME A VENDOR!

  • Please read the following information carefully. Submitting this application does not guarantee a spot at the event. All vendor applications are subject to review and approval by the event organizers. We will contact you directly to confirm your booking if your application is accepted.

  • Event Dates:
    Friday, September 12th, 2025
    Saturday, September 13th, 2025
    Sunday, September 14th, 2025    		 Location:

    Vendor Information:

    • Doors open for vendors to start set-up at 11:00 AM on Friday, September 12th.
    • Doors open to the public at 6:00 PM – Please ensure you are set up by this time.
    • Included in the $150 fee is:
    • 1 table
    • 2 chairs
    • Free admission for 2 people per day (yourself and a helper).
    • You may bring additional items (e.g., small tables, stands, displays) that can fit within your vendor space. However, SPACE IS LIMITED – you are restricted to your assigned booth space. Large items may not be permitted if space does not allow.
    • NO OVERHEAD STRUCTURES – No tents or overhead structures are permitted within the venue due to fire and safety regulations.
    • Due to health and safety regulations, all vendors will be placed in the lower-level gymnasium adjacent to the Pow Wow dance space. We will no longer utilize the second-floor banquet space.
    • This new location ensures safety and adequate space for vendors and shoppers. The gymnasium space will have live streaming of the Pow Wow available on screens throughout the weekend.
    • The gymnasium is also closer to the Pow Wow floor than the previous vendor area, improving visibility and accessibility for shoppers.

    The stal'əw̓ Powwow, stal'əw̓ Arts & Cultural Society, The Township of Langley, and The Langley Events Centre are not liable or responsible for any claims of alleged damage, lost or stolen goods, bodily injury or adverse reactions to the products sold at this event, or for underfunded vendors/travellers. Vendor payment is non-refundable. There will be no reimbursement if the vendor doesn't participate for the days in which they agreed upon. In the event that a vendor is unable to attend and gives us adequate notice, we may reconsider a refund if we can fill the spot. The stal'əw̓ Pow-wow is a family friendly event where drugs, alcohol, harassment, abuse and discrimination of any kind will not be tolerated. Vendors who do not abide by these terms can and will be removed from the premises without refund. If vendor payment is not made within 10 days, your spot may be forfeited to the next vendor on the waitlist.

  • Agreement to Photograph / Videotape / Interview

    I hereby agree and give my permission for stal'əw̓ Arts & Cultural Society and/or it's partners to record, film, photograph, audiotape or videotape myself (hereinafter collectively referred to as “Works”) and to display, publish or distribute these Works for the purpose of publishing, posting on the stal'əw̓ Arts & Cultural Society, as well as the stal'əw̓ Powwow and its partners, websites and posting on social media sites. I hereby waive any right to approve the use of these Works now or in the future, whether the use is known to me or unknown, and I waive any right to any royalties related to the use of these Works. I understand that the Works may appear in electronic form on the internet or in other publications outside of the stal'əw̓ Arts & Cultural Society's control. I agree that I will not hold the stal'əw̓ Arts & Cultural Society or the stal'əw̓ Powwow responsible for any harm that may arise from such unauthorized reproduction.
