  • REPAIR ESTIMATE DISCLOSURE

    Estimates performed prior to disassembly of vehicle are not accurate due to the probability of hidden damage. Therefore, it is our practice that accurate estimates of the cost to repair and the expected time to complete repairs, are not made until we have disassembled the area of damage to your vehicle. Note: After disassembly if additional repairs and damaged parts are found this will cause delays and additional cost.

    VEHICLE DROP OFF

    Before dropping off your vehicle, please ensure:

    • The vehicle is washed
    • All personal belongings are removed.

    If Smitty’s Maintenance Repair & Collision (herein after referred to as Smitty’s) needs to remove and store any items left inside the vehicle, a fee may be charged. Smitty’s is not responsible for any missing belongings left in the vehicle during the repair process.

    Additionally, Smitty’s is not liable for any damage caused by fire, theft, vandalism, or other incidents, whether occurring inside or outside the vehicle.

    LABOR RATES & INSURANCE ESTIMATES

    Smitty’s labor rates are posted in the collision office.

    We review all insurance estimates for an acceptable labor rate and parts replacement. If we do not accept the insurance estimate:

    You and/or Smitty’s may contact the insurance company to discuss the labor rate and parts.

    If an agreement cannot be reached, the customer is responsible for any difference.

    In some cases, insurance company expects Smitty’s to purchase parts outside of our normal vendor accounts which may cause delays. While we will make the effort to accommodate such requests:

     

    • Some parts may be unavailable, or
    • Some parts may not meet our quality standards.

    Our warranty is for work performed by Smitty’s – not the insurance company. We take pride in the quality, service, and safety that we provide to you as our customer. 

    VEHICLE OPERATION & BATTERY DISCONNECT

    Employees of Smitty's and its sublet vendors may operate your vehicle for testing, moving, or pickup/delivery purposes. During repairs, the vehicle battery may be disconnected which may result in loss of memory presets.

  • CANCELLATION AND WITHDRAWAL FEES – Once the repair authorization is signed by customer, parts will be ordered per the estimate. If Smitty's does not repair your vehicle, the customer is responsible for:

    • Estimate fees
    • Administrative processing fees
    • Disassembly and estimating labor
    • Parts and materials ordered
    • Restocking fees
    • Storage Charges
    • Any other reasonable costs incurred related to the vehicle
  • SUPPLEMENTAL/ADDITIONAL DAMAGES - During the teardown process of repairing said vehicle additional damage may be discovered.  Smitty’s will complete a supplement damage analysis.

    Insurance Claim:

    • Smitty’s will submit the additional damage estimate to insurance for approval.
    • Repairs will pause until approval is received.
    • The vehicle owner will be notified of the additional damage waiting for approval from the insurance company.

    Supplement Payments from Insurance:

    • I authorize my insurance company to issue supplement payments directly to Smitty's.
    • If payment has not been received by completion, vehicle delivery may be delayed
    • Proof of payment may be required prior to vehicle release.
    • If you receive an insurance check, promptly notify and remit check to Smitty’s

    Customer Pay and Third Party Pay:

    • The vehicle owner will be notified of the additional repairs for approval.
    • The vehicle owner is financially responsible for the additional cost. 
    • See Payment Policy below.
  • PAYMENT POLICY - The vehicle owner accepts full financial responsibility for the cost of repairs.

    Card Processing Convenience Fee:

    • A 2% convenience fee applies to credit, debit, or check card payments
    • Also accepted Insurance checks, Cashier's checks, Money orders, Cash, ACH or Zelle.            

    Personal and Business Check Payments: accepted when received 14 days prior to repair scheduled start date.


    Returned checks are subject to:

    • Full check amount replacement due within 24 hours of notifiication (Cash only)
    • $30 returned check fee

    Customer Pay:

    • 50% deposit of the Estimate of Record due no later than two (2) weeks prior to scheduled repair date.
    • If deposit is not made by this time, the repair date may be rescheduled.

    Third Party Pay:

    • 100% of the Estimate of Record is due no later than two (2) weeks prior to repair.
    • Our agreement is exclusively the vehicle owner.
    • Smitty’s does not offer third-party billing.
    • Smitty's does not communicate with the Third Party.
    • The vehicle owner remains fully responsible for payment regardless of third-party reimbursement.

    Change from Customer/Third Party Pay to Insurance Claim: If switching to insurance coverage after repairs begin:

    • Administrative fee up to $250 may apply
    • Customer responsible for any uncovered balance.
    • This change will cause delays. 

    Vehicle Completion:

    • Vehicle must be picked up within 24 hours of completion notice unless otherwise arranged,
    • After 3 days, storage fees apply at the posted daily rate.

    Final Bill: All balances must be paid in full before the vehicle will be released. 
    Insurance Payment/Financial Responsibility/Verification:

    • If you receive an insurance check, promptly notify and remit check to Smitty’s
    • If payment cannot be verified by insurance, full payment is required at delivery.
    • Vehicle release may be withheld until payment clears.
    • You will be reimbursed if duplicate payment is later received.

    Customer Financial Responsibilities:  

    • Deductibles
    • Depreciation and Betterment adjustments
    • Labor/Parts not covered by insurance
    • Labor rate differences if Smitty’s is not a direct repair facility
    • Labor rates that cannot be agreed upon with insurance that are not within the regional market standards.  

    Insurance Follow-Up and Payment Authorization:  If insurance does not respond or issue payments timely, the customer may be responsible to pay and follow up directly with insurance for reimbursement.

  • STORAGE FEES & INSURANCE BILLING ACKNOWLEDGMENT (IF APPLICABLE)

    • Storage rate: $150.00 per day beginning first day of arrival
    • Additional administrative or handling fees may apply
    • Customer authorizes Smitty’s to bill insurance if applicable.
    • Customer remains responsible for any unpaid or denied charges
    • Vehicle will not be released until all charges are paid in full.
  • RENTAL ACKNOWLEDGMENT: Smitty’s is not responsible for rental vehicle charges, regardless of who pays for the rental.

  • TEXTING CONSENT: By signing, you consent to receive SMS messages from Smitty’s regarding vehicle repairs.

  • PHOTO/VIDEO DISCLOSURE: Smitty's may take photos/videos during the repair process and may use the photographs/videos for:

    • Website
    • Advertising
    • Social Media
    • Brochures or other marketing materials

    Photos/videos become property of Smitty’s. No compensation will be provided. You release any claims related to their use.

  • DIGITAL VIDEO INSPECTION AUTHORIZATION (Separate from Collision Repairs)
    I understand that while my vehicle is at the facility for auto body/collision repairs, I have the option to authorize a Digital Video Inspection (DVI) that is separate from and not related to the auto body repairs being performed.

    The Digital Video Inspection is a general vehicle condition review and may include documentation of mechanical, maintenance, safety, or other observable conditions unrelated to the collision damage.

    By initialing, I am authorizing the following:

    • Perform and record digital video and/or images of my vehicle for inspection purposes
    • Share the Digital Video Inspection with me
    • Retain the video and related documentation as part of the vehicle service
    • record

    I understand:

    • The Digital Video Inspection is optional and not required for completion of collision repairs.
    • It is provided for informational purposes only.
    • It does not obligate me to authorize or purchase any additional services or repairs.
    • Any repairs unrelated to the auto body work will require my separate approval.

    This authorization is valid only during the time my vehicle is in Smitty’s possession for collision repairs.

    By signing below, you authorize Smitty’s Maintenance Repair & Collision, Inc. as your Power of Attorney to communicate with the insurance company and endorse your name on any insurance check issued for the purpose of paying for repairs to your vehicle.

  • I have read the above paragraphs and I hereby authorize the repair to the above referenced vehicle as described in the estimate and acknowledge that I understand all the above.  Smitty's is not responsible for the security or condition of any personal property left in the vehicle. An express mechanics lien is hereby acknowledged on this vehicle to secure payment for the repairs performed.
