  • This form is for Etown CoB Members, Affiliated Members, Commissions and Group Events.

    Please carefully, and with as much detail as possible, fill in all questions appropriate for your event. You will receive a copy via email of this form once completed. A signature page will follow shortly once the document has been reviewed.

  • User Agreement

    I/We agree…

    1. To hold the Church harmless from any and all claims arising from the user’s activities at the Church, and agrees to release the Church, its officers, staff, members, and volunteers from any and all liabilities in conjunction with their use of the facilities and equipment.
    2. To certify compliance with Pennsylvania’s Child Abuse Law 23 PCSA § 6303, if applicable.
    3. To be responsible for all setting up and cleaning up.
    4. To take responsibility for the actions of all guests and participants using the facility.
    5. To have read and agree to abide by the Etown CoB Rules & Regulations for Use of Church.
    6. That the information provided is accurate and true.

  • Doors

    Please answer the following so that we know if/when the doors need to be set for the event.
  • Rooms

    Select which rooms you request to use on the day of the event. Numbers in () identify maximum number of people that can occupy the space. Kitchen use inquiries must be coordinated with the Kitchen Committee Chair, Becky Eisenbise, eisenbise1@gmail.com or 717-682-0090. Contact Facilities Manager Amy Zimmerman, amy@etowncob.org or 717-366-4838 if help is needed with set up.
  • Portable Electronic Equipment

    For portable TV Carts, Microphones, Movie Screen, and Projector needs please contact Pastor Jason, jason@etowncob.org or 717-366-4833.
  • A/V Tech and Livestream

    All needs must be coordinated through Kirk Kreider, kk5sound@yahoo.com or 717-367-3104.
  • Livestream

    Fees are subject to change at any time at the discretion of the Expressions Commission or Technician. Fees are paid directly to the technician(s).The Event Representative will receive a link to the livestream to share publicly/privately.
  • Ushers and Volunteers

    Contact the church office, info@etowncob.org or 717-367-1000, if help is needed with volunteer sign up options.
  • Advertising and Marketing

  • It is the responsibility of the Event Representative to provide information to the Church Office to create the communications to the Church congregation and public. It is preferred that the Church Office design all communications to conform to Etown CoB's branding and consistency. Event Representatives are encouraged to provide text and images to the Church Office.

    The Church Office and Pastoral Staff will have final text editing approval. All materials created will be approved by the Event Representative and reviewed by Pastoral Staff. The Church Office and Pastoral Team will determine frequency of advertising/marketing and approved requests.

    The next few sections will be about advertising/marketing needs for the event.

  • Information and Images

    Please include any information and images that should be used for advertising purposes. The Church Office can help with images if you do not have anything specific that should be used.

  • Church Calendar

    All events except for private events will be placed on the public church calendar.
  • Announcement Slide

    Slide size is 1920 x 1080 and will be shown before Worship Services and in Memorial Lobby. Please note that it is preferred that slides are created in the church office so that edits can be made easily and so that the format can change for other uses, such as FB/Instagram posts, etc.
  • Website Event

    Most church-wide public events will be placed on the website unless specifically requested to not be included.
  • Facebook Event, Facebook Posts and Instagram Posts

    Most church-wide and public events will be placed on the Etown CoB FB page as a FB event. Most church-wide and public events will have weekly FB and Instagram Posts that will start about 1-month before the event.
  • Weekly Announcements & Events Flyer

    Most church-wide public events will be included in this weekly flyer unless requested otherwise. Most events will be shown approximately one-month in advance unless requested otherwise.
  • Bi-Monthly Newsletter

    Most church-wide and public events will be included in the bi-monthly newsletter unless requested otherwise. Any addition text and photos should be emailed to the Church Office at info@etowncob.org. Due dates are typically the 2nd Monday of the following months: February, April, June, August, October, December.
  • Request for Standalone All-Church Email

    This type of email is reserved for high-priority church-wide and public events. The emails are typically released on Tuesdays, Wednesdays or Thursdays to not conflict with our normal weekly schedule of all-church emails released on Fridays & Sundays. The Church Office and Pastoral Team will determine if an email is necessary for the event.
  • Special Flyers or Programs

    Flyers are typically a 1/2 page of information that can be handed out. A program is typically used for performances. The church office will design the flyer or program using the information provided. All information is needed at least 2-weeks prior for in-house printing.
  • Requested Specialty Printed Materials

    Would you like something special such as signs, bookmarks, stickers, banners, magnets, etc. At least an 8-weeks advanced notice is needed for special materials for design, printing and shipping since these items will not be printed or bound in-house. Costs will vary. Total will be given at the time of the order.
