It is your (the guest booking the retreat) responsibility to read and understand our cancellation policy before making a reservation.

Naturally, no one books with the intention of canceling or postponing their retreat, but unexpected things do happen, so we (Black Lotus Training Center, LLC) do recommend you purchase travel insurance before you make your reservation. We recommend your insurance policy covers you for all relevant sport activities you will be engaging in on your retreat, as well as trip cancellation. Depending on the policy and conditions, travel cancellation insurance will pay for some or all cancellation fees.Insurance must be purchased within 14–21 days of making your reservation. (Keep in mind, each policy varies.) You can visit www.insuremytrip.com to compare rates/plans.

Fees are determined by the following schedule: If canceled outside of 75 days (by September 16, 2025), we offer a full refund of monies paid minus the non-refundable deposit. If canceled with a 60-day notice (by October 1, 2025), we offer a 50% refund of monies paid minus the non-refundable deposit.There are NO refunds for cancellations made within 60 days of the retreat start date (after October 1, 2025). Exceptions to our policy cannot be made for any reason. We do not offer credit for a guest arriving late or leaving early.If you decide to cancel for your own reasons, we will gladly transfer your payments made as a gift to another guest if you choose to do so. In the event you do need to cancel, we are happy to credit your non-refundable deposit to another retreat with us within 12 months.

While we have never canceled a retreat to date, if we must cancel a booked retreat date for any reason, you may transfer your full retreat payment to another retreat or request a refund of your payment to us, constituting a full settlement. Black Lotus Training Center, LLC is not responsible for your expenses incurred in preparation for any canceled retreat, such as airline tickets, loss of work, and/or other costs associated with preparing for your trip.

Acknowledgment of Risk: I understand that participation in martial arts training, physical activities, excursions, and other retreat-related events involves inherent risks. These risks include, but are not limited to:P hysical injuries such as bruises, strains, sprains, fractures, or more severe injuries.Psychological stress or emotional discomfort. Risks associated with excursions (e.g., hiking, volcano trips), including uneven terrain or unpredictable weather conditions.I acknowledge that these activities are physically and mentally intense and that safety measures will be in place; however, the possibility of injury cannot be eliminated entirely. I knowingly and voluntarily assume all risks associated with my participation in the retreat activities. I agree to participate at my own risk and understand that Black Lotus Training Center, LLC is not responsible for injuries or accidents arising from my participation.

In consideration of being permitted to participate in the retreat, I hereby release and forever discharge Black Lotus Training Center, LLC, its owners, instructors, employees, affiliates, volunteers, and agents from any and all liability for injuries, damages, or losses sustained during the retreat activities. This includes:Martial arts training sessions.Excursions and transportation.Use of facilities at EMACA Center or Liverpool Muay Thai gym.

In the event of injury or medical emergency during the retreat: I authorize Black Lotus Training Center, LLC to seek medical treatment on my behalf. I agree to bear the costs of any medical treatment provided during the retreat.

I confirm that I have adequate travel insurance to cover medical emergencies, trip cancellations, or other unforeseen circumstances during my time in Costa Rica. If I do not have insurance coverage, I agree to bear all associated costs personally. I agree that I have been recommended to purchase travel insurance.

I understand that I am responsible for any damages caused by me to the property at EMACA Center or other venues used during the retreat.

I agree to indemnify and hold harmless Black Lotus Training Center, LLC from any claims, actions, or liabilities arising from my participation in the retreat activities. This includes legal fees incurred in defense against such claims.

I further hereby authorize Black Lotus Training Center, LLC DBA Black Lotus Retreats to photograph and/or video record myself during the retreat, and use or distribute any picture or video related to activities that I am depicted in. I also authorize use of these materials for publication in a brochure, on websites, or other promotional material and social media. They may also be distributed to other Program participants, including but not limited to a Program group picture of all participants.

I acknowledge that Black Lotus Training Center, LLC is not liable for cancellations due to unforeseen circumstances such as natural disasters, political unrest, or other events beyond their control.

To ensure a safe, respectful, and enjoyable experience for all participants, Black Lotus Training Center, LLC has established the following guidelines for behavior during the retreat. These rules are designed to foster harmony within the group and protect the integrity of the retreat environment.Group Respect Guidelines - Consideration for Others:This is a group retreat, and shared spaces require mutual respect. Rooms will be divided by gender (male-only and female-only accommodations), ensuring comfort and privacy for all participants .Be mindful of your attire—modest clothing is expected in shared spaces to ensure everyone feels comfortable. Walking around in revealing or inappropriate clothing is prohibited. Shared Accommodations: Bathrooms will be shared within each gender-specific accommodation. Participants are expected to keep these areas clean and respect others’ privacy. Behavior Expectations: Violence, sexual harassment, bullying, or any form of disrespect toward other participants or staff will not be tolerated under any circumstances. Participants must maintain a positive and inclusive attitude throughout the retreat. Conflict Resolution:If you experience issues with another participant, please bring them directly to the facilitators rather than engaging in confrontation. Facilitators are trained to handle such situations appropriately. Warning and Disciplinary Policy: Black Lotus Training Center, LLC reserves the right to issue warnings for violations of the Code of Conduct. If any participant engages in violent or disruptive behavior, they will be issued a warning. Repeated offenses or severe misconduct, including any form of violence, will result in immediate expulsion from the retreat without refund. The safety and well-being of all participants are paramount, and we will not tolerate any behavior that compromises this.
