Event Participation Agreement
By reserving space at Surdawi Bazaar, participants understand and agree to the following terms:
Responsibility and Liability
1. Participants take full responsibility for their reserved space and merchandise throughout the event, both before and after it concludes, ensuring that their setup is safe and secure. Surdawi Bazaar organizers and board members are not liable for any incidents of fire, theft, personal injury, or property damage that may occur during the event.
2. Event Hours and Setup
Participants agree to be ready for public attendance during the following event hours:
Saturday Setup Time: 9:00 AM to 11:55 AM
Saturday Event Time: 12:00 PM to 9:00 PM
Participants must ensure their space remains set up and accessible until the event concludes each day.
3. Safety and Compliance
All lighting equipment used must have a UL tag or label to indicate compliance with fire and electrical safety standards.
4. Electricity Requirements
Outdoor vendors requiring significant electricity must provide their own generator to meet their needs.
By participating in the Surdawi Bazaar, you agree to adhere to these terms and conditions for the safety and smooth operation of the event.
Application and Booth Deadline:
Application and Payment Deadline
The deadline to apply and submit payment is Thursday, April 24th, 2025.
Set-up Rules and Procedures
* Set-up will begin at 9:00 AM on the event day.
* Vehicles may park in front of the building only for unloading and loading.
* All vehicles must be moved from the front of the building by 11:30 AM and parked in the designated parking areas.
* Vendor booths must be fully set up, staffed, and ready to operate by 11:55 AM.
Payments
Payments must be made at the time of registration to secure your space. If payment is not received, no space will be reserved. You will receive a confirmation email upon payment completion.

Tear-Down Rules
Tear-down may begin at 09:00 PM.
For loading and unloading after the event, vehicles may park in front of the building starting at 9:00 PM.
Code of Conduct
Vendors are expected to conduct themselves with courtesy and respect towards others, including event organizers, staff, and attendees. Any violation of the code of conduct, including but not limited to disruptive behavior, disrespect, or non-compliance with event rules, will result in immediate expulsion from the event. In such cases, vendors will forfeit all fees paid and will not be eligible for compensation. Furthermore, vendors may face the revocation of future vending privileges, excluding them from participation in subsequent events.
Damages and repairs:
Vendors will be held responsible for any damages caused by themselves or their staff. Any necessary repairs will be at the vendor's own expense.
Presentation and Cleanup Guidlines:
Each vendor is responsible for maintaining a clean, neat, and aesthetically pleasing work area throughout the event. It is essential that vendors thoroughly clean their designated space before leaving at the end of the event.
Failure to properly clean your area will result in a $150 fine and may lead to exclusion from future events.
Reminder: Clean your space before leaving the venue.
Vendor Responsiblities:
The vendor agrees that Surdawi Bazzar and the rented venue shall not be held liable for any failure to carry out the event due to circumstances beyond reasonable control, including but not limited to fire, electrical failure, acts of God, national emergencies, government actions or regulations, pandemics, or any other unforeseen events.
The vendor further agrees to indemnify, defend, and hold harmless Surdawi Bazzar, the rented venue, its building owners, board members, and employees from any liabilities, costs, penalties, or expenses arising from or related to the rental and use of the premises.
Display Guidelines:
Vendors may hang banners, signs, and other displays within their assigned booth space, provided they do not touch, penetrate, or mark the walls. Banners and signs placed outside or in front of the booth will be removed.
All displays must fit within the designated 8’x5’ booth space.
Safety is a priority: Any extension cords, wires, or objects must be properly covered to ensure the safety of visitors and maintain a smooth flow of traffic. Items hung must be securely fastened to avoid injury. Corners and edges should be adequately protected.
The organizing team reserves the right to remove any items deemed unsafe or that may cause disruptions during the event.
