  • Alumni House Guidelines for Use


    We hope you will enjoy holding your special event at the WlU Alumni House.
    To facilitate proper usage of the house, the following guidelines and check list have been established:
    ► The Alumni House is only to be used by faculty/ staff for University related functions, i.e., conferences, welcoming of new faculty or students, retirement of faculty or staff, reading or study groups, lectures, and receptions directly connected with such functions.
    ► Functions must be held after office hours (weekdays after 4:30 p.m.).
    ► Your group is asked to provide ALL supplies including food, coffee maker, drink, utensils, paper service, glasses, and ice for your function. Supplies/refreshments already in the Alumni House are the property of Alumni Relations and not intended for use by groups using the House ( ie coffee, coffee maker, utensils, glasses, etc.).
    ► When using the House, please be careful of furnishings and avoid the office areas and equipment. Your organization will be held FINANCIALLY RESPONSIBLE for any damage to the building or equipment caused by any individual of the organization or its guests.
    ► Use of the patio behind the house is welcomed, but we do request that if any grills are used, that they be placed on the lawn area and NOT on the brick patio.
    ► Use of the patio/porch on the front of the house is welcomed, but we do request that nothing is set on the patio/porch itself. Guests are free to walk on it, gather on it, etc. but no items (such as but not limited to chairs, tables, etc.) may be placed on it. Also, please be sure no one sits on the wall of the planter.
    ► Due to the sensitivity of the front patio/porch stone, if any items are to be brought into the house or moved into the house for your event (such as but not limited to tables and chairs for sit down dinners, catered items delivered on a cart, items for display, etc.) are welcomed, but we do request that all items are brought in through the back door on the south side of the building using the ramp sidewalk there.
    ► Due to liability issues, we ask that no one stands on the stone wall in the front yard (with the lit WESTERN letters); you are welcome to stand behind the stone ledge in the planted area for photos, etc.
    ► Chairs around the conference table and any other chairs may be rearranged for your function (afterwards please arrange as you found them). Please DO NOT move major furniture.
    ► If room temperature needs to be adjusted, PLEASE make sure the thermostat is returned to its original setting before leaving the building.
    ► Please do not use the fireplace or light candles. No smoking is allowed in the Alumni House.
    ► Obtain a key from the Alumni Relations office before 4 p.m. on the day of your event, and return the key by 9 a.m. the following day. Call (309) 298-1914 prior to picking up the key. If your function is held on the weekend, please pick up the key on Friday and return it the following Monday. Only faculty/ staff may pick up and return the key. If the key is not picked up during regular business hours, no after hours arrangements will be made. The Office of Public Safety will not unlock the building for you.
    ► Check list to use when closing the Alumni House following your function ...
     _____ Leave furnishings the way you found them.
     _____ Clean up. Wipe off any tables or countertops used. Vacuum carpet/sweep floor if necessary (vacuum cleaner and broom are in the kitchen closet).
     _____ Dispose of all trash in garbage bags provided (there are extra garbage bags in the janitor's closet in the kitchen) and place in the garbage cans behind the small building out back. There are larger garbage cans in the basement if needed.
     _____ Remove all decorations, food, beverages, and props immediately after the event. Any materials left, i.e., coats, serving trays, etc., not picked up within 24 hours will be discarded.
     _____ Close and lock any windows opened.
     _____ Turn out all lights except back porch light and front porch light.
     _____ Lock front door, door between kitchen and dining room, door between back entryway and reception area, and back door.
     _____ Notify the Alumni Association during business hours after your function of any spills, stains or damages.
