Non- Member Rental Agreement Form

• If you are serving alcohol you must have host liquor liability insurance, this is available through an insurance company.
• Special Event Liquor Licences (SEL):
  For Private Events: If you are hosting a private event (e.g., wedding, birthday party) and serving alcohol, you'll need a private SEL.
• For Public Events: If you are hosting a public event (e.g., festival, concert) and serving alcohol, you'll need a public SEL or a Special Occasion Permit (SOP).
• Application Process: You can apply for an SEL online through the AGLC. https://aglc.ca/
• Food permits are required if you are selling food at your event.  You can contact Alberta Health Services for more information.
• Liability Insurance and Host Liquor Liability Insurance - Contact your insurance provider, this type of insurance is recommended for events and the cost is minimal.

Rules, Regulations & Agreement (Important Information Please read in its entirety)

1. A deposit of 50% of rental rate and the damage deposit is payable upon execution of this agreement.  Balance of fees are to be paid prior to the use of the facility.  Damage deposit will be retained until after the event and returned in full if no damage is reported and clean up has been completed in accordance with this agreement.  Damage deposit must be paid separate from the rental fee.

E-transfers can be sent to valleyviewagsociety@gmail.com, (please note that it is for a rental and the date) Cheques made out to Valleyview & Districts Agricultural Society.

2. A copy of insurance (if required) must be sent to the office pior to the event.

3. Cheque or money order must be made payable to the Valleyview & Districts Agricultural Society.

4. Lesse shall abide by all applicable Agricultural Society, municipal and provincial rules and regulations.

5. Key pick up (if keys are required) prior to the event can be arranged between office and lesse, key is to be dropped off into drop box outside of hall door.

The lesse covenants and agrees to indemnify the Valleyview & Districts Agricultural Society against all losses, claims, suits, expenses, damages and demands arising from injury (including death) or damage to any person or property during the lessees' occupation of the aforesaid premises.

HALL CLEAN UP

Clean up after all functions are the responsibility of the lessee and includes the following:

1. Wash down and dry tables

2. Neatly stack chairs and tables

3. Sweep & Wash Floors

4. Clean up of washrooms and kitchen

5. Take out all garbage to the dumpster

Any additional cleaning will be charged at a rate of $60.00 per hour and will be deducted from the damage deposit

RED BARN CLEAN UP

Clean up after all functions are the responsibility of the lessee and includes the following:

1. All stalls cleaned of soiled bedding and any left over hay and/or feed

2. Stalls should be wiped down should exessive soiling occur. (ie manure spray)

3. Sweep Barn Alleyway as required

OUTDOOR ARENA CLEAN UP

1. All manure should be cleaned from outdoor stalls if used and arena area

2. Any equipment used should be returned to appropriate storage area.
