Non-profit booths are avaialble to those with 501(c)3 designation. Booth rates are $25 that support a community or association, and are not politically-affiliated. If selling items, an additional +$25 city vendor fee is required.
DATE
Non-profit booth showcase is Saturday, 11am – 7pm. Rain or shine. You must be setup by 10 a.m. After this time, all vehicles in the area will be asked to be moved immediately in preparation of the start of the festival.
LOCATION
Historic Douglass Loop area in the Highlands of Louisville. 2200 block of Bardstown Road. Intersection of Dundee Road, Harvard, Yale and Wibben. Two miles from the Watterson Expressway, north on Bardstown Road. Hip and popular shopping area of Bardstown Rd.
PROMOTIONS
The festival is fortunate to receive a great deal of free publicity, including public news reports and appearances during the event. An informative website helps to promote the festival, as well as social media campaigns on Facebook, Instagram, etc.
BOOTH SPACE
We provide each non-profit with a 10-foot x 10-foot outdoor space on asphalt, indicated with boundary lines and booth letters. We require that you have a pop-up canopy tent to protect your inventory in case of wind or rain. Tents must be weighted.
SETUP AND CLEAN-UP
All non-profits must provide their own tents, tables, chairs and display materials. Canopy tent, which needs to be weighted, is required since the event takes place rain or shine.
NOTE: Anyone using their own generator must receive approval from the Belknap Festival Committee to meet safety and noise considerations of neighboring booths. Generators should be very quiet and free of fumes/odors.
Clean-up must be completed by 7pm on Saturday. Most non-profit vendors choose to close their booths around 6pm because night-time lighting is not provided. Additional instructions on exiting Saturday evening will be provided.
ARRIVAL PROCEDURES
Please sign-in at the Signup location at the BNA booth when you arrive. If you choose to set up Friday, set-up of tents and displays is from 2:30 -5:00pm.. Uniformed security officers are provided by the festival to patrol on foot Friday evening and overnight. However, we strongly discourage leaving valuable merchandise inside the tents.
Set-up on Saturday morning begins 8am and must be completed by 10:00am. Festival representatives, wearing name tags, are available during set-up periods for questions, concerns or problems.
DISCLAIMER: THE BELKNAP FALL FESTIVAL COMMITTEE ARE NOT RESPONSIBLE FOR LOST, STOLEN, OR DAMAGED GOODS OR MERCHANDISE. We strongly recommend bringing plastic sheets and tent weights in case of inclement weather and wind.
FEES AND REQUIREMENTS
Non-profit organizations planning to sell goods or services at the festival are subject to an additional $25 vendor fee, which covers the cost of required city vendor permits. This fee is collected at the time of registration. Please note that our charitable gaming permit does not authorize any vendor, non-profit, or sponsor to conduct raffles or offer games of chance. Unauthorized sales activity may result in removal from the festival.
