All Exhibitors:

• Philly Watch Fair will take place on September 6-7, 2025, at the Center for Architecture and Design, located at: 1218 Arch Street, Philadelphia 19107. Doors will be open to the public 11:00 AM to 4:00 PM.
• Philly Watch Fair is a two-day consumer show organized by Virage, LLC (Virage).
• Exhibitor fees will be invoiced by Virage, through Square. Payment is due upon receipt of the invoice. Registration is not complete until payment is received.
• Once payment is received, we agree to post your brand name, logo and requested links, in coordination with our promotional materials, event social media posts, forum posts, and press releases. Promotion before payment is at the sole discretion of Philly Watch Fair.
• An Exhibitor may cancel on or before July 1, 2025 and receive a refund for amount paid (less deposit payment). Exhibitors who cancel after that date will forfeit their exhibitor registration fee/payment(s). All deposit payments are nonrefundable.
• If the date or venue must be changed for any reason, we will notify everyone as soon as possible. If events beyond our control make it impossible, unsafe, or illegal to hold the event, we will refund your exhibitor fee.
• We will make reasonable efforts to promote the event, and we encourage Exhibitors to do the same, but we cannot guarantee attendee turnout, sales, participation, or interest.
• You hereby agree to provide Virage with a limited, revocable, non-exclusive, nonstransferable, worldwide, royalty-free license to use, distribute, display, make derivative works from and copy the trademarks and logos of Exhibitor for promotional use and marketing purposes related to Philly Watch Fair.
• By entering the event premises, you consent to interview(s), photography, audio recording, video recording and its/their release, publication, exhibition, or reproduction to be used for news, web cast, promotional purposes, telecasts, advertising, inclusion on websites, social media, or any other purpose by Philly Watch Fair and its affiliates and representatives. By entering the event premises, you waive all rights you may have to any claims for payment or royalties in connection with any use, exhibition, streaming, web casting, televising, or other publication of these materials, regardless of the purpose or sponsoring of such use, exhibiting, broadcasting, web casting, or other publication irrespective of whether a fee for admission or sponsorship is charged.

In-Person Exhibitors:

• Exhibitors will have at least one hour before the event and one hour after, to set up and break down displays.

• Philly Watch Fair will furnish Exhibitors with tables, table coverings, and chairs. Aside from that, Exhibitors are responsible for their own displays.

• Exhibitors are welcome to bring their own free-standing displays, booths, or signs provided they fit within the space allotted. However, any display that makes noise, plays music, displays lights, projects images, impedes passage, presents a fire or safety hazard, or otherwise causes a nuisance, as determined by Philly Watch Fair staff, is prohibited.

• If Exhibitors need to ship materials in advance, they must contact Philly Watch Fair via info@phillywatchfair.com to make arrangments. All shipment details must be arranged in advance.

• Exhibitors may sublet or apportion space to other vendors only with our express written consent.

• Exhibitors may not affix anything to the walls, floor, or ceiling of the the Center for Architecture and Design.

• Exhibitors are responsible for any damage you or your guests cause to the the Center for Architecture and Design.

• Outside audiovisual equipment is not permitted in the the Center for Architecture and Design. If you would like to use such equipment, please contact us in advance.

• Exhibitors’ displays, inventories, and other possessions are their own responsibility. Philly Watch Fair will have security guard(s) on site, but they are not responsible for monitoring belongings. Philly Watch Fair, Virage, the Center for Architecture and Design, or their affiliates and representives are not responsible for theft, damage, or loss from any cause. By signing this agreement, Exhibitors agree to waive and release any claim they may have against Philly Watch Fair, Virage LLC, the Center for Architecture and Design, or any of their affiliates, representives, employees, agents, volunteers, or contractors for any loss from any cause.

• Exhibitors are responsible for their own sales, including any required licenses, taxes, or fees.

• Smoking is not permitted in the Center for Architecture and Design.

• Anyone causing a disruption, engaging in unlawful harassment or discrimination, or otherwise acting in an uncivil or unethical manner as determined by by Philly Watch Fair or Center for Architecture and Design staff, in our sole discretion, will be removed and will forfeit any exhibitor fee. 

Remote Exhibitors:

• Remote Exhibitors’ products and materials will be displayed with ample space and brand signage in an area designated specifically for unaccompanied products and that area will be staffed by Philly Watch Fair representive(s).

• Philly Watch Fair representive(s) will, to the best of their ability, monitor your products and materials at the show and will represent your brand and product with any information you have provided.

• If arranged in advance, Philly Watch Fair may facilitate sales, either through Virage‘s point-of-sale software, by directing buyers to your webstore, or by other agreed-upon means.

• Remote Exhibitors must make shipping and delivery arrangments with Philly Watch Fair, via info@phillywatchfair.com to send products and materials for exhibition at the show. We strongly suggest you plan adequately in order to facilitate the items are delivered at least one week prior to the event. If a Remote Exhibitor’s products fail to arrive in time for the show, the exhibitor fee will not be refunded. Unless otherwise arranged, all products must be shipped directly to Virage and NOT directly to the Center for Architecture and Design. Again, please coordinate with us before you ship.

• While we are in possession of your products and materials, we will safeguard them to the best of our ability and will take responsibility for any theft, damage, or loss while they are within our control.

• Philly Watch Fair will transport, unpack, set up, take down, pack, and ship back the products and materials you send.

• Philly Watch Fair will return your products and materials by the courier of your choice but are not responsible for shipping costs or damages or losses incurred while in shipment. Shipping fees, duties, taxes, and insurance are the Remote Exhibitor’s responsibility.

Giveaway Participants:

• Giveaway Exhibitors’ products and materials will be displayed with ample space and brand signage in a monitored area designated specifically for prizes.

• Giveaway Exhibitors must make shipping and delivery arrangments with Philly Watch Fair, via info@phillywatchfair.com to send the prize products to Philly Watch Fair for delivery no later than August 29, 2025. We strongly suggest you schedule the items to be delivered at least one week prior to the event. Unless otherwise arranged, all products must be shipped directly to Virage and NOT directly to the Center for Architecture and Design. Again, please coordinate with us before you ship.

• In the event that Giveaway Exhibitor’s prizes do not arrive in time for the event, the prize will be given away in a drawing via Philly Watch Fair social media.

• While Philly Watch Fair is in possession of a Giveaway Exhibitor’s products and materials we will safeguard them to the best of our ability and will take responsibility for any theft, damage, or loss while the products are within our control.

• Prizes will be exhibited during the event. Public event attendies can enter the prize drawings by completed digital enter form avalible on-site during both days of the event. Winners will then be determined by random number generator or similar method and/or program and contacted after the event. Philly Watch Fair and Virage will corodanate prize shipment to winners.
