    1. Service Overview: DoctorCertified is a platform for requesting private medical certificates. A “certificate” means any letter or document issued via the service. Each request is assessed by a GMC-registered doctor (“Reviewing Doctor”). This service does not provide clinical consultations, diagnoses, treatment advice, or guidance on whether declared symptoms are urgent, serious, or require clinical review.
    2. Not a Substitute for Medical Care: You must not delay or avoid seeking medical attention because of this service. If symptoms are new, persistent, worsening, unassessed, or otherwise concerning, you agree to seek prompt medical advice from your GP, NHS 111, or another clinical service.
    3. Urgent Symptoms: You confirm you do not have any serious, new, severe, or worsening symptoms that usually require urgent medical attention. This includes, for example, chest pain, collapse, severe shortness of breath, sudden neurological symptoms, or suicidal thoughts. If you are experiencing, recovering from, or unsure about such symptoms, you must not use this service and instead seek emergency medical help.
    4. Not legal evidence: Certificates support administrative decision-making only. They are not warranted for use in legal or regulatory proceedings. We are not obliged to provide further information or testimony in such proceedings, except where required by law.
    5. Not NHS documents: Certificates are not NHS Fit Notes (Med3), MATB1 forms, or other statutory documents and may not be accepted for state benefits.
    6. Eligibility and territory: Requests must be made from within the UK. We may pause or refuse requests suspected of overseas use. You must be 18 or older, and you confirm the request is for yourself and not for another person, unless submitted on behalf of a child under 18 for whom you hold legal authority and parental responsibility. Consumer rights (including cancellation) do not apply to business orders. Certificates are intended for UK use; acceptance abroad is not guaranteed.
    7. Your information and identity: You confirm you understand all questions and that your answers are honest, complete, and accurate. You must not withhold any relevant medical or contextual information. A valid photo ID and live selfie are required, and certificates are issued only in that name unless valid proof of name-change is provided. Reviewing Doctors cannot access NHS records. False or misleading information may result in refusal, revocation, or referral to authorities.
    8. Doctor’s discretion and finality: Reviewing Doctors act independently and decide whether to issue a certificate and its content, wording, dates, limits, and expiry. Their decision is final. Clerical errors may be corrected once if reported within 7 days; other changes require a new request and fee. You may suggest wording or third-party documentation requirements, but these may not be adopted. No refund or reissue is due in such cases.
    9. Delivery: Delivery times depend on the selected service tier and run only during our published availability hours. Certificates are delivered as PDFs by email to you only. Delivery is complete once our system confirms dispatch without a delivery-failure notice. Certificate re-delivery is available for one year; after 30 days an admin fee may apply. We are not liable for any indirect or consequential losses arising from delays in reviewing a certificate request, including delays in its approval, rejection, or the delivery of a certificate, except for eligibility for a refund of the certificate fee under our Missed Delivery Deadline policy.
    10. Payments and refunds: You are charged only if your request is approved. Refunds are strictly limited to the certificate fee actually paid and do not cover any indirect or consequential losses. Refunds are available only in two cases:
      • Acceptance Guarantee – Applies only to work sick notes, work duty adjustment letters, student sickness letters, and student mitigating circumstances letters. A refund is available if the certificate is explicitly rejected as not acceptable medical evidence and you provide proof within 120 hours of delivery. This guarantee applies to refund eligibility only – it does not ensure that a third party will accept a certificate.
      • Missed Delivery Deadline – Applies if certificate delivery is late and the certificate becomes unusable, provided you notify us within 120 hours of delivery. If the Reviewing Doctor requested clarification within the chosen delivery timeframe, the timeframe is considered met and no refund is due.
No other refunds are available once a certificate is issued.
    11. Chargeback: If you raise a chargeback and we win, we may recover the dispute fee charged to us (capped at £25) plus an admin fee of up to £10.
    12. Cancellation: By submitting a request, you ask us to start processing immediately. Your 14-day cooling-off right ends once the Reviewing Doctor approves or declines the request. You may cancel beforehand by emailing support@doctorcertified.co.uk.
    13. Licence and sharing: You receive a personal, non-transferable licence to use your certificate only for the administrative purpose(s) described on our website for that certificate type. Public posting or republication is prohibited. Certificates must not be relied upon to diagnose, confirm, or manage any health condition. If you share a certificate, you must ensure the recipient understands its administrative-only scope and limitations. Third parties make their own decisions; we cannot guarantee any particular action or outcome.
    14. Certificate Validity: A certificate may lose validity if your health or circumstances change, an expiry condition applies, or we revoke it. In such cases, you must stop using it and notify anyone you have shared it with. DoctorCertified and the Reviewing Doctor owe no duty of care to third parties.
    15. Right to refuse service: We may suspend or refuse service if we suspect fraud, identity misuse, false information, sanctions breaches, safeguarding concerns, abusive conduct or reputational risk.
    16. Liability and indemnity: Your right to claim damages is limited. Liability to you is capped (generally five times the certificate fee, subject to a £500 maximum) and certain losses are excluded. To the extent permitted by law, you agree to indemnify us and those acting for us for losses, costs and reasonable legal fees arising from your misuse of this service or certificates, or your breach of our Terms & Conditions. We do not exclude liability for death or personal injury caused by negligence, for medical negligence, for fraud, or for anything else that cannot be excluded by law.
    17. Data and communications: We process your personal data, including health information, in line with our Privacy Policy. You agree to essential communications (phone, email, SMS, or post) about your request. Marketing communications are sent only with your explicit consent, which you may withdraw at any time.
    18. Law and disputes: These Terms are governed by English law. UK consumers may bring claims in their local UK courts. We signpost CEDR for alternative dispute resolution, but participation is voluntary.
