    GENERAL FESTIVAL INFORMATION

    Where:

    Downtown Kingsland, Georgia
    Near intersection of US Hwy 17 and GA Hwy 40

    When:

    Friday, November 21, 2025 (Optional Setup) 5:30 PM to 8:00 PM
    Saturday, November 22, 2025 (Mandatory Setup) 9:30 AM to 6:00 PM

    Application Deadline:

    Vendor registration closes November 10, 2025.
    Late registration fees will be assessed after November 1, 2025.

     VENDOR SPACES

    Merchandise For Sale and Amusement Area vendor spaces measure 15' x 15'. You may purchase multiple spaces if additional room is needed.

    Food vendor spaces are available in the following sizes: 15' x 15', 15' x 30', or 15' x 45'.

    • Your reserved space must fully accommodate all parts of your booth, including tents, poles, trailer (including tongue), stakes, wires, tables, and displays.
    • You may reserve multiple spaces if additional room is needed. Please indicate the total number of spaces by using the quantity selection on the application.
    • All products and displays must stay within the boundaries of your assigned space at all times. If your booth exceeds the reserved space, you will be required to purchase additional space and relocate as needed.
    • Booths must be properly secured to withstand wind, rain, and other weather conditions—the festival takes place rain or shine.
    • A detailed description of your booth and the products you will be selling or displaying is required to complete your registration.

    Booth Set-up

    • Booths must be neat, attractive, and well-maintained throughout the festival.
    • All booths must display clear, visible signage with pricing.
    • Vendors are responsible for setup, maintenance, teardown, and trash removal from their booth area.
    • Friday vending is optional and encouraged from 5:30 PM to 8:00 PM. There is no additional fee for Friday.
    • Saturday vending is mandatory — All booths must be open from 9:30 AM to 6:00 PM.
    • Early breakdown is prohibited. Vendors may not begin teardown until after 6:00 PM on Saturday.
    • For safety, no vehicles will be allowed in the festival area until the Police Department gives an official all-clear.

    Vendor Fees

  • APPROVAL PROCESS

    1. Complete and submit the official Vendor Application Form.
    2. Applications will be reviewed. Upon conditional approval, an invoice with payment instructions will be emailed to you.
    3. Payment is due upon notification. Spaces will not be held for more than 14 days after the payment request email is sent.
    4. Your application is NOT approved until full payment is received.
    5. If payment is not received within 14 days, your application will be denied and you will need to reapply. Reapplications may incur additional processing fees.
    6. If you require payment by money order or cash, indicate this under “Additional Comments” on your application.

    ADDITIONAL REQUIREMENTS

    Food Vendors:

    • Submit a complete list of all proposed menu items.
    • Provide photos of your booth setup.
    • Comply with state and local food, health, and safety regulations.
    • The Camden County Health Department may inspect booths prior to operation.
      • No inspection fee is charged.
      • If violations are found, the Health Inspector will provide correction instructions. Vendors unable to correct violations will not be allowed to operate and no refunds will be issued.
    • There is NO water connection provided at booth spaces.
    • For health regulation questions, contact Camden County Health Department at (912) 729-6012.
    • IMPORTANT - The Kingsland Catfish Festival Committee has an exclusive catfish vendor. No other vendors may serve fish (shellfish is allowed).

    Non-Food Vendors:

    • Submit a detailed description of booth setup and all items to be sold.

    Amusement Vendors:

    Insurance Requirements for Vendors Engaged in Games of Chance, Amusements, Rides, or Face Painting

    • Must submit a Certificate of Insurance showing current liability coverage before booth space is confirmed.
    • The Certificate must name:
      City of Kingsland / Kingsland Downtown Development Authority as an Additional Insured.

     VENDOR CHECK-IN

    Prior to the event, a Vendor Packet with full details will be emailed to you (including check-in process, times, and driving direction).

    • Booth assignments will be provided at check-in.
    • Space assignments are made at the discretion of festival organizers.
    • Please ensure that your email address is current — notify us of any changes before the event.

  • Power Needs

    Please indicate if electricity is required or if you will be bringing a generator. Note: Loud generators are NOT permitted.
  • Electricity Fee: $40 per booth (110 volts/20 AMP only)

    Vendors requesting power must bring a 200 ft., heavy-duty, outdoor extension cord capable of handling their current load. All extension cords must comply with fire code specifications and must not create tripping hazards.

    If you require electricity, you MUST indicate this on your application — power access is limited and cannot be guaranteed.

                        • SUBMISSION & PAYMENTS

                        • Festival Hours:

                          • Friday, November 21, 2025: Catfish Street Block Party (optional) from 5:30 PM – 8:00 PM. There is no additional charge for participating, and all approved vendors are encouraged to join.
                          • Saturday, November 22, 2025: Festival runs from 9:30 AM – 6:00 PM. All vendor booths are required to remain open until 6:00 PM.

                          Setup Times:

                          • Friday setup is available between 2:30 PM and 5:00 PM after roads close and police clearance is given.
                          • Saturday morning setup is available from 7:30 AM to 9:00 AM before the festival opens.

                          Important: Vendors with commercial trailers or large booths must check in on Friday.

                           
                          Vehicle Restrictions:

                          • All vehicles must be removed from the festival area by 5:15 PM Friday and 9:15 AM Saturday.
                          • Due to heavy pedestrian traffic, no vehicles are allowed in the festival area during festival hours.

                           Booth Space:

                          • You may reserve multiple spaces; please specify the number of spaces needed on your application.
                          • If your booth exceeds your reserved space, you must purchase additional spaces.
                          • Space assignments are at the sole discretion of the festival organizers.
                          Booth Amenities:
                          • Vendors receive booth space only.
                          • Vendors must supply their own tables, tents, canopies, signage, water, hoses, lighting, extension cords, etc.
                          • Electricity requests must be noted on your application or your power needs cannot be accommodated.

                          Cancellation Policy:

                          • The festival has a no refund policy. No refunds will be given due to inclement weather or any other circumstance.

                          Sales Tax:

                          • Vendors are responsible for the collection and payment of all applicable sales taxes.
                          • For more information, contact the Sales and Use Tax Division at (912) 389-4094.

                          Food Vendors:

                          • Must comply with Georgia Department of Health regulations and licensing.
                          • All food vendors (including non-profits) will be inspected by the Camden County Health Department before selling any items.
                          • No inspection fee will be charged; however, all food vendors must pass inspection to participate. Vendors must correct any health code violations or they will be prohibited from selling, with no refunds given. Contact Camden County Health Department at (912) 729-6012 for details.
                          • A minimum 5 lb. ABC fire extinguisher must be present on-site.
                          • Oil and grease must be properly disposed of by vendors—do not pour into drains. Use sand or absorbent materials as needed.
                          • Vendors are responsible for cleaning their booth area before leaving.
                          • Sale of alcoholic beverages is prohibited.

                          Clean-Up:

                          • Each vendor must provide at least one trash can with liners for customer use.
                          • Vendors are responsible for cleaning their booth space before departing.

                          Electricity:

                          • Vendors requesting power must bring a 200 ft. heavy-duty outdoor extension cord suitable for their electrical load.
                          • All cords must comply with fire code requirements and must not create tripping hazards.

                           

                          BOOTH RULES & REGULATIONS

                          1. Booth spaces are designated on street or grass surfaces.
                          2. No overnight camping is allowed in the vendor area. For lodging and RV parks, visit www.VisitKingsland.com/Stay.
                          3. Vendors exhibit at their own risk and must complete a liability waiver before setup.
                          4. No soliciting, peddling, hawking, or shouting outside your booth space. Advertising material must remain within your approved area.
                          5. Loud music is prohibited unless prior permission is granted by festival organizers.
                          6. All marketing and promotional materials must be approved by the festival committee prior to use. Submit materials to  vendor@KingslandCatfishFestival.org for approval.
                          7. The following are prohibited in the festival area: alcoholic beverages, firearms, knives, and any weapons.
                          8. Food vendors must provide a complete, itemized menu for approval. Menu changes require prior written approval. The committee may limit items to reduce duplication.
                          9. Vendors cooking with oil must use floor coverings and absorbent materials. Oil and grease cannot be poured into storm drains—violators will be fined.
                          10. Vendors failing to comply with these rules may be asked to leave the festival without refund. The festival organizer reserves the right to modify these rules at any time.

                        • LIABILITY WAIVER

                          (Required)
                        • The undersigned (Vendor) does hereby release and forever discharge the City of Kingsland, the Kingsland Downtown Development Authority, Kingsland Tomorrow, the Kingsland Catfish Festival, their principals, employees, volunteers, and all affiliated persons or organizations, from any and all responsibility or liability for damages, loss, or injury of any kind that may occur before, during, or after the festival.

                          The Vendor further agrees to indemnify and hold harmless the City of Kingsland, the Kingsland Downtown Development Authority, Kingsland Tomorrow, the Kingsland Catfish Festival, their principals, employees, volunteers, and affiliates from any and all claims, liabilities, costs, or expenses (including legal fees) arising out of or in connection with:

                          (i) any structure erected by the Vendor;
                          (ii) any apparatus, equipment, or personal property used by the Vendor, its agents, invitees, participants, representatives, or employees; and
                          (iii) any claims resulting from the Vendor’s participation in the Kingsland Catfish Festival.
