Jeeps At The Beach SINGLE DAY Vendor Show

We are thrilled to announce a new chapter for one of the region’s most anticipated enthusiast gatherings. The Maguire Foundation has officially acquired Jeeps at the Beach, ensuring this beloved tradition continues to grow and impact our community for years to come.

Founded in 2012 by Michael T. Smith to support Upstate Golisano Children’s Hospital, this event has become a nationally recognized celebration. As Michael prepares to relocate, the Maguire Foundation—the charitable arm of the Maguire Automotive Group—is honored to carry his legacy forward. While we expand our reach to support a wider range of local organizations, we remain deeply committed to Upstate Golisano Children’s Hospital, which will continue to benefit from our efforts.

We are also excited to welcome Michael T. Smith back this summer as our honorary host and Master of Ceremonies! 

Policy: This is a charitable, rain-or-shine event. No refunds will be given. We only cancel in the event of a severe weather warning.

Once approved, payment information will be sent to you. Vendor spaces will not be reserved until payment is received. If payment is not received within three (3) days of approval, your space will be forfeited and may be offered to another vendor.

PARKING:

FREE Vendor Show Parking Pass: Valid all day for days that Vendor shows are being held in Sylvan Beach. Jeeps at the Beach: Parking is only Valid at Carello's Corner. You may pay village rates and park at Sunset Park, but the FREE Pass is invalid at Sunset Lot, and you will be ticketed.

You may purchase a Fun in the Sun Pass from the Village Clerk for $35. Price Subject to Change. - This pass is Valid for Parking all of the 2025 Season and not only for Vendor Shows (Good for any Village Parking Spot)

ELECTRONIC SIGNATURE AGREEMENT:

You are signing this Agreement electronically. You agree your electronic signature is the legal equivalent of your manual/handwritten signature on this Agreement. By signing using any device, means, or action, you consent to this Agreement's legally binding terms and conditions. You further agree that your signature on this document (hereafter referred to as your "E-Signature") is as valid as if you signed the document in writing. You also agree that no certification authority or other third-party verification is necessary to validate your E-Signature and that the lack of such certification or third-party verification will not affect the enforceability of your E-Signature or any resulting agreement between you and SVBRA and The Village of Sylvan Beach. You are also confirming that you are authorized to enter into this Agreement.

All Sylvan Beach Vending Shows are held Outdoors. Shows will be held rain or shine; we will not cancel a show in advance. No credits or refunds will be issued if you decide not to participate in a show due to weather. Credit or refunds will not be issued if we cannot host a show due to hazardous weather conditions. These shows are highly advertised via Facebook, Radio, Newspapers, Etc. Be Prepared for the possibility of bad weather.

To protect your tent, it must be sturdy enough to withstand harsh weather. You MUST Stake your tent to the ground. We recommend using weights or sandbags for all shows.

VENDOR AGREEMENT

1. Vendor spots will be located as directed by the vendor coordinator. Vendors will be able to enter the park to set up either the morning of the event (2 Hours Prior)- All vehicles will need to be removed from the park at least 30 Min before the event begins. Parking is in the back lot behind the Amusement Park. Handicap Parking is available upon request.

2. All vendors must cease sales no later than 10:00 p.m. each evening of the event. All fixtures, vehicles, etc. Must be removed from the park no later than 11 p.m. at the end of the event.

3. Once a vendor is approved, they are approved for the season, IF AND ONLY IF; the type of merchandise being sold does not change. Any changes in the merchandise being sold must be resubmitted to the SVBRA for approval no later than 48 business hours before the event.

4. Vendors are NOT allowed to "share" a space.

5. No Refunds will be given once a vendor has been approved and payment has been submitted.

6. All persons and activities must comply with all applicable Village, State, County, and Federal laws and statutes.

7. Vehicles may enter the park at the minimum amount necessary to load or unload displays or other approved items. Vehicles may be parked in the south end of the village's main parking lot for free. A copy of the parking pass must be displayed on the vehicle dash.

8. All vendors, performers, concessionaires, etc., must take all their garbage out.

Visitors or residents may only use village waste containers.

9. No shrubbery, trees, benches, waste containers, or other park property shall be moved or disturbed.

10. No food or drinks are allowed for sale in the park without specific authorization. Alcohol beverages may not be consumed, possessed, or offered by anyone in the park if approved. Food Vendors Must provide a Certificate of Insurance naming the following as additionally insured: The Village of Sylvan Beach 808 Marina Drive Sylvan Beach, NY 13157, OLESMA, Inc. PO Box 515 Sylvan Beach, NY 13157. Minimum limit of $1,00,000 occurrence/$ 2,000,000 aggregate. Along with this, a 30-Day Notice of Cancellation.

11. No gambling is allowed in the Park. (Selling of Raffle Tickets)

12. All vendor activities, musical performances, etc., are prohibited after 11:00 p.m.

13. The SVBRA reserves the right to prohibit the use or further use by any vendor or activity that violates the conditions of use or is not in the Village's best interests. This determination can be made by the SVBRA, Mayor, Village Administrator, or Codes Enforcement Officer.

To the fullest extent permitted by law, VENDOR will indemnify and hold harmless The Village of Sylvan Beach and/or Sylvan Verona Beach Resort Association (OLESMA, Inc.) The Board of Directors and its agents, successors, and/or assigns, shall not be liable for any damages whatsoever, including property damage and/or personal injury to any Vendor, its agents, employees, guests, successors, and/or assigns, which may occur on or about any part of the Village of Sylvan Beach being used for the “Sylvan Beach Vendor Shows” regardless of how such injury or damage may have occurred, including death. The vendor waives any claim against The Village of Sylvan Beach and/or Sylvan Verona Beach Resort Association (OLESMA, Inc.) The Board of Directors for any liability, damages, or expenses arising out of any claim for injury or damage to any person(s) or property or of any kind whatsoever, together with all costs in connection with the defense, including attorney’s fees.

The vendor agrees to indemnify and hold The Village of Sylvan Beach and/or Sylvan Verona Beach Resort Association (OLESMA, Inc.) The Board of Directors, its employee, agents, successor, and /or assigns harmless regarding any injury or damage to any third party or property resulting in whole or on the part from Vendors use of or presence at the subject premises.
