Dear Homeowners,

To ensure the validity of the upcoming Williams Ridge Townhome Board of Directors election, it is crucial to meet the homeowner quorum required by state law of 20%.

For the election to be valid, at least 20% of homeowners must participate either by attending the annual meeting or submitting their Proxy/Ballot.    

In the event the community does not meet the state requirements for quorum, the current Board of Directors can nominate who will be on the board for the coming year.

Each address is entitled to one proxy/ballot. Voting counts toward quorum, but you may also opt to be counted towards quorum without casting a vote.

Option 1:  Fill in the homeowners name (must live in Williams Ridge Townhome HOA subdivision) for the person who will attend the meeting and execute this proxy per your selections in Section C and D Below.

Option 2: Leave blank if you want the Board of Directors to cast your votes based upon your selections in Section C and D Below.

for the Board of Directors, to vote as my primary proxy at the Annual Meeting of the members of Williams Ridge Townhome Association, scheduled for February 2, 2026, at 7:30 PM at the Town and Country Library in Elburn IL 60119. My proxy is an owner within Williams Ridge Townhome Association.

Section C - Voting Options:

Option 1: The designated Proxy may submit my signature to establish quorum, casting NO vote.

Option 2: The designated Proxy specified in Section B is authorized to vote for the candidate(s) as they choose having three (3) total votes to cast or distribute to the candidate[s] in any combination of their choosing per the cumulative voting requirement within the Association governing documents. They may assign three (3) votes to one candidate or split them among several.

Option 3: The designated Proxy will execute your votes as you have selected in Section D.

•   You have three (3) total votes to cast or distribute to the candidate(s) in any combination of your choosing per the cumulative voting requirement within the Association governing documents. You may assign three (3) votes to one candidate or split them among several.

• You can vote for up to three (3) candidate(s).

Three (3) Board Members shall be elected at the Annual Meeting. Cumulative voting IS permitted.

Cast or distribute your three (3) total votes in any combination of candidates, and no more than a total number of three (3) votes.

You may write in a name to vote for someone to be nominated.

 

My proxy has full power to vote for me only as indicated above, as if I was personally present, if left blank the Board of Directors will cast the votes on your behalf.

My presence at the meeting will automatically revoke this proxy unless I indicate otherwise.

This proxy may also be revoked by me at any time by sending a letter to the effect to the Board of Directors, in care of Integral HOA Solutions, PO Box 277 , Elburn, IL 60119 , or the email of support@integralhoa.com.
