Game Change Request (GCR) Policy – Eastern Conference & Regional League
The STXCL competition schedules are developed through collaborative efforts and agreements between club representatives at the beginning of the season.
Clubs also have the opportunity to mutually agree on new game details in case of changes due to uncontrollable circumstances (e.g., weather events, natural disasters), as outlined in the Rainout Rescheduling Policy.
This policy applies to cases where clubs did not reach an agreement after a postponed game due to special circumstances or wish to change the schedule originally agreed upon.
Instructions for Requesting a Game Change
1. Club-to-Club Coordination
The club requesting the change must first contact the opposing club directly and reach an agreement on the proposed new game details.
2. Form Submission
Once an agreement is reached, the requesting club must complete and submit the official Game Change Request (GCR) Form.
3. League Review
STXCL will review the submitted request and approve it only if it is logistically feasible. This includes confirming field availability, referee assignments, AT availability (if applicable), and overall scheduling viability.
Important: The league does not guarantee the approval of any GCR. Clubs must ensure their schedules are accurate and realistic during the initial scheduling process.
If the change request is due to a league scheduling error (e.g., a game scheduled at 2:00 AM instead of 2:00 PM), no fees will apply.
Deadlines & Fees
A $100 administrative fee will be charged for any submitted Game Change Request, due at the time of submission, regardless of whether the request is approved.
If the request is accommodated, the requesting club will also be invoiced the applicable game fee if the game is within 15 days, as listed on the league website.
If the request is submitted after 6:00 PM on the Thursday occurring one full week before the start of the game week, and the change is approved, an additional $100 late fee will apply.
For example: For a game scheduled on Saturday, May 17, the late fee would apply to any requests submitted after 6:00 PM on Thursday, May 8.
Note: The club submitting the GCR form is considered the requesting club and is responsible for all applicable fees. If both clubs agree to split the costs, this must be clearly indicated on the submitted form.
