CAIMUN Rooming Selection Form
This is an optional form for school delegations and independent delegates to select their delegate (student) rooming arrangements.

Please read these instructions carefully. The form will guide you through each step to select the options which fit your circumstances. Detailed instructions are contained through the form as you complete it.

Is This Form For Me?

This form is for you if you want to select the following delegate rooming arrangements.
- You want to select delegate roommate preferences for yourself or your school's delegates.
- You want to upgrade to a lower occupancy delegate room for yourself or your school's delegates.
- You want to book additional delegate room nights for yourself or your school's delegates.
- You want to book additional room nights for your school delegation's chaperone rooms.
- You are an independent delegate and want to indicate you will be staying in your independent chaperone's room.
What Happens If I Don't Submit This Form?

Submission of this form is optional. If you don't submit this form, you or your delegates will be roomed in standard rooms with the following parameters:
- Quad-Occupancy.
- Single-Sex.
- Rooms will be filled with only your delegation's students.
- Roommate preferences will be randomly selected.
- Empty slots in rooms that cannot be filled with delegates from your delegation will be treated as lower occupancy rooms and billed accordingly. Extra charges apply.
- Check-In and Check-Out will remain the standard Friday and Sunday, respecetively.
Are Chaperone Rooms Affected?

Chaperone rooms are not affected if this form is not submitted.

If you have booked a chaperone room as an independent chaperone, it is not affected by submitting or not submitting this form. However, we will assume that your independent chaperone room will only be occupied by you or another chaperone if this form is not submitted. If your student will be occupying your chaperone room, they must submit this form to indicate this.

If you have booked chaperone rooms for your school delegation, they are not affected by not submitting this form. They may be occupied by any number of your registered chaperones. However, the check-in and check-out dates for your chaperone rooms will remain standard on Friday and Sunday. If you would like to book additional room nights for your delegation's chaperone room(s) to check in earlier or check out later, you must submit this form.

In the spreadsheet below you will select your delegates' rooming assignments.

What Happens If I Don't Submit This Form?

Submission of this form is optional. If you don't submit this form for your delegation, your delegates will be roomed in standard rooms with the following parameters:
- Quad-Occupancy, Single-Sex.
- Rooms will be filled with only your delegation's students.
- Roommate preferences will be randomly selected.
- Empty slots in rooms that cannot be filled with delegates from your delegation will be filled by delegates from other delegations.
- Check-In and Check-Out will remain the standard Friday and Sunday, respecetively.

Please input your registered delegates' names below in the spreadsheet row of the room you'd like them to be in.

Lower Occupancy Rooming

By default, all delegate rooms contain four students. A maximum of four individuals can occupy a hotel guest room.

If you would like for the empty space in a room to be filled by delegates of another delegation, please indicate "Fill" within the spreadsheet cell instead of leaving it empty.

If you would like for that room to be a lower occupancy room, please indicate "Lower Occupancy" within the spreadsheet cell instead of leaving it empty.

If a space in a room within the below spreadsheet is left empty, it will be treated as a lower occupancy room and extra charges will apply accordingly.

Additional Room Nights

The default check-in and check-out dates for all rooms are the conference's Friday night and Sunday morning, respectively. If you would like to book additional room nights, please edit the Check-In Date and Check-Out Date columns in the spreadsheet to reflect the exact date you would like to check-in and check-out. By default, they state "Friday" and "Sunday," but this text is editable on the spreadsheet.

Billing

Because you are a school delegation, you will be billed collectively for any special requests after you submit this form. Please note that lower occupancy rooms and additional room nights incur additional charges. You may see all our pricing details at https://caimun.ca/pricing.

Chaperone Rooming Arrangements
In the spreadsheet below you will select your chaperones' rooming assignments. Please note that this form cannot be used to book chaperone rooms. If more rows are indicated than the number of chaperones rooms your delegation has booked, or if your delegation has not booked any chaperone rooms, those rows will be discarded.

You can view the number of chaperone rooms your delegation has booked by viewing the confirmation email sent to you following the submission of the chaperone room booking form.

If your delegation has not booked any chaperone rooms, it may do so by submitting the chaperone room booking form at https://caimun.ca/chaperone-room-booking.

What Happens If I Don't Submit This Form?

Submission of this form is optional. Chaperone rooms are not affected if this form is not submitted. They are still booked, and they may be occupied by any number of any of your registered chaperones. However, the check-in and check-out dates for your chaperone rooms will remain standard on Friday and Sunday.

Independent Delegate Rooming Instructions
Please carefully read these instructions before completing this form.

By default, overnight delegates at CAIMUN are roomed in standard rooms with the following parameters:
- Single-sex
- Four-Person Occupancy
- Two Nights: Check-In on Friday, Check-Out on Sunday of the conference
This hotel accomodation is included in the overnight delegate registration fee.

Roommate Requests

On this form, you may indicate other independent delegates that you would like to be roommates with. You may not room with school delegates. In order for a roommate request to be fulfilled, the requested roommates must submit this form and mutually request the same roommates.

You may note a maximum of 3 roommates, excluding yourself.

Additional Room Nights

The default check-in and check-out dates are the conference's Friday and Sunday, respectively. If you'd like to book additional room nights before or after the conference, you may do so below.

Lower Occupancy Rooming

The standard delegate room is four-person occupancy. You may upgrade to a lower occupancy room for an additional fee by submitting this form.

If you are booking a lower occupancy room and additional room nights, you must book your additional room nights at the same occupancy as your lower occupancy room.

For example, if you book a two-person lower occupancy room for the conference dates, you must likewise book a two-person occupancy room for any additional room nights you want. If two conflicting occupancies are selected for the conference dates and additioanl room nights, your request will be cancelled.
Preference of Delegate Roommates

Please indicate your preference of delegate roommates at the conference. Delegates must mutually request each other in order to be roomed together by submitting this form. You may only indicate a MAXIMUM of three (3) other delegates.*
Please note that a mutual roommate preference request will be required in order for confirmation of placement.
Independent Chaperone Rooming
Will you be rooming in an independent chaperone's room?*
