  • TERMS AND CONDITIONS

    A. Participation Fee

    • Php 40,000.00 (inclusive of VAT) per 2m x 3m exhibit space.
    • The space includes carpet and one electrical outlet only.
    • Panels, tables, chairs, and other setup elements must be provided by the exhibitor             

    B. Taxes and Fees

    • The participation fee does not include any fees or taxes imposed by the local BIR Regional District Office or other government agencies.
    • Exhibitors are fully responsible for settling all applicable government fees and taxes.

    C. Payment Terms

    • A non-refundable reservation fee of ₱10,000.00 per exhibit space is required upon submission of the application form. This amount must be deposited directly into the official Themes & Motifs bank account or GCash account
    • A Statement of Account with the payment schedule will be issued once the reservation has been received. The reservation fee will be deducted from the total booth fee.
    • The remaining balance must be settled through post-dated checks in accordance with the issued payment schedule.

    D. Reservation Fee Policy

    • The reservation fee is NON-REFUNDABLE and NON-TRANSFERABLE.
    • It cannot be transferred to another exhibit or another exhibitor.
    • The reservation fee will be deducted from the exhibit participation fee for the event it was reserved for.

    E. Space Adjustments

    For applications involving multiple exhibit spaces: if the number of reserved spaces is reduced, the reservation fees for the released spaces will be forfeited and will not be applied to the balance of the remaining spaces.

    F. Application Approval

    Themes & Motifs reserves the right to evaluate, approve, or disapprove all applications. Payment of the reservation fee does not guarantee approval. Grounds for disapproval include, but are not limited to: lack of DTI, SEC, or Business Permit; previous unsettled accounts; or violations of Themes & Motifs policies. If disapproved, the reservation fee will be returned.

    G. Cancellation Policy

    In the event of cancellation by the exhibitor, the following percentages of the exhibit space rental rate will be charged:

    • Application date to 3 mos before the event  - 50% of total exhibit space rate
    • Less than 3 months to 1 month before the event - 75% of total exhibit space rate
    • Less than 1 month before the event - 100% of total exhibit space rate

    H. Category Zoning

    Category zoning will be implemented. Themes & Motifs reserves the right to determine the assigned zone for each exhibitor category.

    I. Shared Booth Policy

    The primary supplier’s category determines the category zone for any shared booth. Photography and Photo & Video will always be considered the primary supplier and must be located in the Photographers Zone.

    J. Exhibit Space Selection

    Choosing of exhibit spaces is on a first-come, first-served basis. Exhibitors may choose their spaces once the layout becomes available.

    K. Space Selection Eligibility

    The order of submission and payment of the reservation fee determines the selection queue.
    Only fully paid exhibitors at the time the layout is released will be eligible to choose their spaces.
    Reserved slots will be forfeited if not fully paid when the layout is made available.

    L. Floor Plan Adjustments

    Themes & Motifs reserves the right to re-layout the floor plan if necessary. In reassigned areas, slot selection priority will follow the first-come, first-served policy.

    M. Exhibit Space Sharing

    • Allowed for a maximum of two brands per exhibit space.
    • The primary exhibitor may share with only one secondary brand per space.
    • The total number of secondary brands allowed is equivalent to the total number of spaces booked.

    N. Secondary Exhibitor (partner exhibitor) Requirment

    Secondary exhibitors must submit a separate application form and all required supporting documents, similar to the primary exhibitor.

    O. One-Stop Shops & Bridal Shops

    • Must reserve a minimum of four (4) exhibit spaces.
    • Must submit a valid license or business permit specifically for operating as a bridal shop or bridal store.
    • Must submit an official list of all members or accredited suppliers along with the application, regardless of whether those suppliers will join the bridal fair.

    P. Promotion of Non-Themes & Motifs Events

    Promotion or mention of non-Themes & Motifs events is strictly prohibited within the exhibit space and during the event.

    Q. Promotion of Non-Participating Suppliers

    Promotion or mention of suppliers who are not registered or participating in the event is not allowed.

    R. Health & Safety Protocols

    The prevailing Department of Health (DOH) guidelines at the time of the exhibit will be implemented and strictly observed, including during ingress, exhibit days, and egress.

    S. Detailed Exhibit Guidelines

    Comprehensive exhibit guidelines, rules, and regulations will be provided separately to all approved exhibitors.

    T. Extra Marketing and Promotional Perks

    Exhibitors who sign up on or before August 28, 2026 may be eligible for additional marketing and promotional perks, subject to the discretion of Themes & Motifs. To qualify, exhibitors must submit all required materials—including photos, video reels, logos, and other marketing assets—within the specified timelines for inclusion in promotional efforts.

    U. Force Majeure Clause

    Themes & Motifs shall not be held responsible for any failure or delay in fulfilling its obligations due to causes beyond its reasonable control, collectively referred to as “Force Majeure.” This includes, but is not limited to: acts of God; accidents, riots, war, terrorist acts; epidemics, pandemics, quarantines, civil commotion; communication failures; natural catastrophes (fires, explosions, earthquakes, typhoons); governmental acts or omissions; changes in laws or regulations; national strikes; shortages of raw materials or energy; public health emergencies.

    The Organizer shall not be liable for any loss or damage sustained by the exhibitor, whether directly or indirectly resulting from Force Majeure events or mishaps during the exhibit, including government orders or directives. In the event of postponement or cancellation due to Force Majeure, any payments made for the exhibit will neither be refunded nor applied to another Themes & Motifs bridal fair.
