    Contract and Registration Form 2025-2026 All children who attend this club must be registered, the cost of which is £3.50 for 2025-2026 (£3.50 will be added to your account on the School Gateway App at the beginning of September). Foundation Phase children will be collected from the classrooms and KS2 children will be expected to make their way to the club at the commencement of the session. Children attending will remain at the club until collected by a named adult. (Please give details below)

  • REGISTRATION FEE - A £3.50 charge will be added to your account on School Gateway once your form has been received.

    FEES – AFTER SCHOOL CLUB
    £5.00 until 4.15pm
    £9.00 until 5.30 pm

    FEES – HOLIDAY CLUB
    £27.50 full session: 8:00am till 5:30pm
    £17.50 half day: Morning session 8:00am till 1:00pm
    Afternoon session 12:30pm till 5:30pm
    £20 Sibling offer for full session - Book the first child in full price and look for the sibling offer option for other siblings.

    **Bookings and payments are to be made via School Gateway App. The club does not accept cash, all payments are to be made at the time of booking. Bookings are able to be made until 12 mid-day that day. If your child is not booked by the time the attendance register is printed then they will not be able to attend club on that day and you will receive a phone call to come and collect them.
    A charge will be incurred if children are picked up late. If fees are not paid then we are sorry, but children will not be able to attend.**
    If you need to cancel the booking, 24 hours’ notice is required or the charge will remain. Contact the school office or club to cancel.

     Charges for late collection
    If your child is booked in until 4.15p.m and they are collected later than this a £4.00 charge will then be incurred as this is the charge for the next session. An extra charge of £5 for every 15 minutes or part of, will be added to your fees if you are late picking your child/children up after 5.30pm

    If a place has been booked and absent – full fee is to be paid

    Parents are required to provide one week notice of termination of use of the club

  • General Data Protection Regulation – Parent/Carer information

  • We need to hold personal information about your child on our computer system and in paper records. We are responsible for their accuracy and safe-keeping. Please help to keep your child’s records up to date by informing us of any change of circumstances.
    Club staff have access to your child’s records to enable them to do their jobs. From time to time information may be shared with others involved in your child’s care, if it is necessary. Anyone with access to your child’s records is properly trained in confidentiality issues and is governed by a legal duty to keep their details secure, accurate and up to date.
    All information about your child is held securely and appropriate safeguards are in place to prevent accidental loss. Information will be held for 3 years and then destroyed.
    In some circumstances we may be required by law to release your child’s details to statutory or other official bodies, for example if a court order is presented, or in the case of public educational issues. In other circumstances you may be required to give written consent before information is released – such as the educational reports for insurance, solicitors etc.
    To ensure your child’s privacy, we will not disclose information over the telephone or fax unless we are sure that we are talking to you - the parent/carer. Information will not be disclosed to family and friends unless we have prior written consent and we do not leave messages with others.
    You have a right to see your child’s records if you wish. Please ask at club if you would like further details.

  • Changes to normal arrangements

    On occasion, the usual venue for the club, the school hall, may not available. During such times the club has to be held elsewhere, normally Room 6 or Nursery.

  • I understand that my child/ren will be collected from the school in the case of Foundation Phase and escorted to the club. If my child is in the Key Stage 2 department he/she will make their own way to the club. My child will remain until collected by a named adult as detailed above. Please sign

  • We at G.A.S.C care for the children in our charge and for the feelings and concerns of their parents. We wish to work with you to provide the best quality childcare and play opportunities in a pleasant, caring and learning environment.
    We agree that:
    The Club will be open at the following times:
    From 3.15pm until 5.30pm every school day afternoon. 8.00am until 5.30pm school holidays apart from Christmas.

    • All fees will be in accordance with our fees policy and payable in advance.
    • Charges during absence will be in accordance with our admissions policy.
    • We will ensure that children are collected from the school according to our arrival and collection policy.
    • Children will be handed over at the end of each session, only to the adult(s) who have been identified on the registration form.
    • If a child becomes ill whilst attending a session we will inform the named contact and the child will be looked after in a quiet area until collected. The child will be observed for any worsening symptoms. The parent/carer will be notified verbally the same day at the end of the session.
    • Medicines will only be administered according to our medical policy.
    • We will try and arrange alternative cover in the case of staff absence.
    • We will treat all children as individuals and endeavour to meet their specific needs.
    • We will take account of each child’s special dietary needs.
    • In the case of emergencies, please see our emergency procedure policy.
    • We will provide a relaxed and friendly environment where children are free to choose from a wide range of play opportunities. Any behaviour which is likely to lead to the safety and enjoyment of others being compromised will be dealt with in accordance with our behaviour policy.
    • We will act on any complaint as explained in our complaints procedure.
    • We will make sure that all parents/carers are aware of any changes to the Club’s policies and procedures.

    We ask in return that:

    • You book and pay for your child’s place in advance.
    • You give notification if your child is unable to attend the Club if a place has been reserved for them.
    • You pay for all booked sessions including those where the child cannot attend e.g. for sickness and/or holidays.
    • You give notification if your child is unable to attend the Club if they have contracted a communicable or infectious disease, which is notifiable under health and safety legislation.
    • You regularly update us of changes in authorized persons able to collect your child, or changes in doctor’s details, or changes of address.
    • You will keep us informed of any changes that may affect your child’s well-being.
    • You give a minimum of 7 days to terminate your contract with us.

    G.A.S.C reserves the right to exclude any child should any of the above terms and conditions not be met.
