Job Opportunity: Intake Coordinator
We are seeking a detail-oriented, compassionate, and tech-savvy Intake Coordinator to serve as the first point of contact for individuals and organizations engaging with Maternal Minds. This role blends administrative support, client care, and community outreach to ensure that all inquiries and intakes are managed with professionalism, cultural sensitivity, and warmth.

Position: Intake Coordinator Internship
Position Type: Part-time (In-Person)
Location: Milton, Ontario (330 Bronte Street, Unit #201, Milton)
This is a one-month, volunteer-based internship. Candidates who demonstrate strong performance during the internship may be considered for a part-time or full-time, paid position.
Key Responsibilities
- Manage and respond to intake requests and inquiries via email and phone
- Coordinate and schedule initial consultations and services using JaneApp
- Support data collection and tracking using tools like Jotform and Google Sheets
- Maintain up-to-date records of client and partner communications
- Assist with community outreach and referral processes
- Create visually engaging outreach materials using Canva
- Collaborate with team members to ensure smooth onboarding and follow-up processes
- Help identify and flag client support needs and connect them with the appropriate services
- Support general administrative tasks.
What We’re Looking For
- Social Media Savvy: Skilled in managing accounts
- Technical Competence: Experience with tools like Google Workspace, Jotform, Canva, and JaneApp (We will also provide training on some of these tools)
- Excellent communication skills (written and verbal)
- Strong organizational skills and attention to detail
- Empathy, discretion, and a strong commitment to culturally sensitive care
- Ability to work independently and as part of a collaborative team
- Prior experience in a client-facing or administrative role is an asset
