  • Thank you for your interest to become a volunteer at the Flaka Colour Walk, taking place on 11 October 2025 at the Mahube Ext2 Park (Near Mams Mall) in Mamelodi, Pretoria. Please complete all sections of this form to be considered as a volunteer. All fields marked with an asterisk (*) are required. Volunteer applications close on 29 August 2025, and selected volunteers will be notified by 12 September 2025.

  • 1. Application Deadline

    1.1. Volunteer applications must be submitted by 00:00 (SAST) on Friday, 29 August 2025. Applications received after this deadline will not be considered, and the Organisers bear no obligation to review late submissions.

     

    2. Notification of Selection

    2.1. Successful volunteer applicants will be notified via email or telephone by no later than Friday, 12 September 2025. The Organisers reserve the right to select Volunteers at their sole discretion.

     

    3. No Guarantee of Selection

    3.1. Submission of a volunteer application does not guarantee selection as a volunteer. The Organisers’ decision regarding volunteer selection is final and not subject to appeal.

    4. Eligibility Requirements

    4.1. To be eligible to volunteer, applicants must:

    a. Be at least 16 years of age at the time of application; and

    b. Hold a valid South African identity document or other legally recognised identification acceptable to the Organisers.

    4.2. The Organisers may request proof of identity and age at any time.

     

    5. Compliance with Instructions and Safety Protocols

    5.1. Selected volunteers agree to:

    a. Work under the direction and supervision of assigned Festival staff;

    b. Comply with all Health and Safety briefings, guidelines, and policies implemented at the Festival; and

    c. Adhere to all applicable laws, regulations, and Festival rules during their participation.

     

    6. Conduct and Representation

    6.1. Volunteers shall:

    a. Provide accurate and factual information in response to public queries;

    b. Maintain a professional, courteous, and positive demeanour consistent with the Festival; and

    c. Refrain from any conduct that may harm the reputation of the Festival or its affiliates.

    7. Termination of Volunteer Participation

    7.1. The Organisers reserve the right to revoke a volunteer’s accreditation and require them to leave the Festival grounds immediately if the volunteer:

    a. Fails to perform assigned duties satisfactorily;

    b. Engages in harmful, disruptive, or inappropriate behaviour; or

    c. Breaches any of these Terms.

    7.2. The Organisers’ decision in this regard is final.

     

    8. Acknowledgement of Risks

    8.1. Volunteers acknowledge and accept that participation in the Festival may involve inherent risks, including but not limited to physical injury, property damage, or other losses, whether foreseeable or unforeseeable. Volunteers participate at their own risk.

     

    9. Indemnity and Limitation of Liability

    9.1. To the fullest extent permitted by South African law:

    a. Volunteers agree to indemnify and hold harmless the Organisers, their affiliates, staff, contractors, venue lessors, and other participants from any claims, damages, losses, or costs (including legal fees) arising from or related to the volunteer’s participation in the Festival, whether direct, indirect, special, or consequential.

    b. The Organisers shall not be liable for any injury, loss, or damage suffered by a volunteer, except where such injury, loss, or damage is caused by the gross negligence or willful misconduct of the Organisers.

    10. No Remuneration

    10.1. Volunteers acknowledge that their services are provided on a voluntary basis and that they will not receive any financial compensation, benefits, or remuneration for their participation.

     

    11. Volunteer Shifts

    a. Shift allocations are at the sole discretion of the Organisers.

    b. Volunteers unable to fulfill an assigned shift must notify their designated supervisor as soon as reasonably possible, providing a valid reason for their absence.

     

    12. Arrival and Conduct

    12.1. Volunteers agree to:

    a. Arrive punctually at the Festival grounds for their assigned shifts; and

    b. Refrain from attending under the influence of alcohol, illegal substances, or any impairing substances, as determined by the Organisers. Breach of this clause may result in immediate removal from the Festival.

    13. Transport Responsibility

    13.1. Volunteers are solely responsible for arranging and funding their own transport to and from the Festival grounds. The Organisers bear no responsibility for any transport-related costs or liabilities.

     

    14. Shift and Role Allocation

    14.1. While the Organisers will endeavour to accommodate volunteers’ preferences for shift and roles, no guarantees are made regarding specific allocations. Volunteers must accept the shifts and roles assigned to them.

     

    15. Data Protection

    15.1. By applying, volunteers consent to the collection, processing, and storage of their personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA). The Organisers will use such information solely for purposes related to the Festival and will not disclose it to third parties without consent, except as required by law.

    16. Force Majeure

    16.1. The Organisers shall not be liable for any failure to perform their obligations under these Terms due to events beyond their reasonable control, including but not limited to natural disasters, strikes, or government restrictions.

     

    17. Governing Law and Jurisdiction

    17.1. These Terms shall be governed by and interpreted in accordance with the laws of the Republic of South Africa. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the South African courts.

     

    18. Entire Agreement

    18.1. These Terms constitute the entire agreement between the volunteer and the Organisers with respect to the subject matter herein and supersede all prior agreements or understandings, whether written or oral.
