Vrystaat Arts Festival Media Accreditation Guidelines

 

Thank you for your interest in covering the Vrystaat Arts Festival! To ensure a fair and efficient accreditation process for all media professionals, please carefully review the following guidelines before submitting your application.

 

1. Eligibility:

• Recognized Media Outlets: Accreditation is primarily granted to journalists representing established and recognized media outlets committed to providing relevant coverage of the Vrystaat Arts Festival.
• Freelancers: Freelance journalists and photographers must submit a formal letter of assignment from a recognized media outlet, clearly outlining the commissioned work for the festival.

2. Photography:

• Accredited Access: Only officially accredited press photographers will be granted media access to events.
• Editorial Use Only: All photographs taken at the festival are strictly for editorial use within the photographer's assigned publication.
• Prohibition of Sale: The sale of any photographs taken at Vrystaat Arts Festival events is strictly prohibited without prior written agreement.
• Festival Provided Visuals: The Media Office offers a wide selection of high-resolution visuals from all events, free of charge, for editorial use. Exclusive image usage can be negotiated upon request.

3. Accreditation Pass:

• Non-Transferable: Your accreditation pass is personal and strictly non-transferable.
• Misuse & Revocation: Any misuse of the accreditation pass may lead to its immediate cancellation and your removal from the festival premises.
• Lost or Stolen Passes: Please report any lost or stolen passes to the Media Office immediately to prevent unauthorized use.

4. Conduct:

• No Solicitation: The solicitation or distribution of any promotional or commercial materials at festival events is strictly prohibited.
• Proprietary Information & Copyright: All Vrystaat Arts Festival information, content, and artistic performances are proprietary and protected by copyright law. Unauthorized use, reproduction, or distribution is not permitted.

5. Liability:

• Assumption of Risk: By accepting accreditation, pass holders acknowledge and assume all risks associated with attending and covering the Vrystaat Arts Festival.
• Festival Liability: The Vrystaat Arts Festival will not be held liable for any personal injury, property damage, or loss incurred during the event, unless directly resulting from the Festival's proven negligence and covered by its existing insurance policies.

6. Media Office Rights:

• Festival's Right to Use Images: The Vrystaat Arts Festival Media Office reserves the right to use any photographic or video material obtained during the events for promotional or archival purposes, always providing appropriate photo and video credits where applicable.
• Official Participant Photography: Please note that only the official participant photography service authorized by the Vrystaat Arts Festival is permitted to sell images to festival participants.

AUTHORISATION & WAIVER

By submitting this application, you agree to the following terms and conditions for media accreditation at the Vrystaat Arts Festival.

 

Accreditation Process

Application Submission: All accreditation applications must be submitted via our online form. Confirmation of your application status will be sent electronically.
Pass Collection: Approved Media Passes will not be mailed in advance. All pre-registered media must pick up their materials onsite at the Vrystaat Arts Festival office.
Confirmation: If your registration meets the Vrystaat Arts Festival's requirements, you will receive a confirmation email.

Eligibility & Use of Pass

Complimentary Access: Media registration for Vrystaat Arts Festival events is complimentary for accredited media, including reporters, editors, and photographers from recognized broadcast, print, or internet media organizations.
Mandatory Identification: Accredited media are required to wear event Media identification at all times while on festival grounds.
No Guarantee of Approval: A history of being registered for previous Vrystaat Arts Festival events does not guarantee approval or waive the current accreditation requirements.
Non-Transferable: Your Accreditation Pass is non-transferable and is issued solely to provide coverage, news, commentary, and reporting of Vrystaat Arts Festival events.
Review Process: All accreditation requests are reviewed on a case-by-case basis.
Responsibility for Expenses: While registration is complimentary, media attendees are responsible for their ownadditional expenses, such as dining, parking, travel, general festival ground access tickets, and accommodations.

Misconduct & Revocation

Consequences of Misconduct: Misconduct or misrepresentation of your position and/or publication/news organization may result in you and your organization being barred from all future festival events.
Right to Deny/Revoke: The Vrystaat Arts Festival reserves the right to deny, refuse, or revoke media accreditation (including armbands) during pre-registration or at any point during an event.
Breach of Terms: The Media Office may immediately revoke your Accreditation Pass if you breach media rules for an event or fail to comply with these terms and conditions.

Content Sharing & Attribution

By accepting this media accreditation, the applicant specifically agrees to the following regarding content:

Social Media Sharing: When sharing any content (articles, photos, videos, etc.) related to the Vrystaat Arts Festival on social media platforms, you will tag the official festival accounts and use relevant hashtags provided by the festival.
Published Work: In any published work (print, online, broadcast) that references or features the Vrystaat Arts Festival, you will include appropriate credits and links to the festival's official website or social media channels.
