  • Youth Theatre Participant Agreement

    To produce the most educational, rewarding, and professional rehearsal and performance experience possible for all participants, Central Florida Community Arts expects the following from each participating member of the Youth Theatre Programs:
    • Prompt and regular attendance at all rehearsals and productions. The arts are highly collaborative, and the attendance of all members is vital for the good of the group. When one member is unexpectedly and/or repeatedly late or absent, the entire group is highly affected. Unexcused lateness and absence is unacceptable, and repeated offenses may result in reassignment or reduction of a member’s responsibilities (lines, solos, role, etc.). Please note that conflicts with a dress rehearsal or production date/time may also result in reassignment or reduction of a member’s responsibilities (lines, solos, etc.), or prohibit a student from being able to participate.

     

    • Full disclosure of any conflicts with any program dates/times. We understand that this is not the only activity in the lives of participants. However, as stated above, prior conflicts with a dress rehearsal or performance date may prohibit a student from participation. Prior conflicts should have been listed on the Registration Form and/or clarified with the program staff at the time of registration or audition. Prior conflicts are not accepted as excused conflicts after auditions.

     

    • Notification of any emergency conflicts at the earliest possible time. We understand that emergencies do occur. However, it is important for all participants that the program staff is notified of any emergency conflicts as soon as possible by email.
      • Acceptable emergency conflicts: Injury or illness that affects the participant to the extent that they are unable to participate; death, illness, or other unexpected hospitalization of a close family member; natural disaster
      • Unacceptable emergency conflicts: Visiting family or friends; illness or injury that does not affect the participant to the extent that they are unable to participate; illness or injury of a family member that does not affect ability to get to rehearsal; bad weather (not a natural disaster); homework; naptime; bad moods; being “grounded” or having privileges revoked; other extracurricular events; birthdays or other holidays/celebrations/events; etc.
      • Please note that some emergency conflicts listed as unacceptable would be acceptable as prior conflicts—but not as emergency conflicts.

     

    • Memorization of assigned material by dates assigned by program staff. Reasonable memorization dates will be set by program staff in accordance with the amount of memorization required for each role and the age of the participant. Because of this, it may be that not every participant will be assigned the same memorization date.

     

    • Payment of tuition costs by card, cash or check, or application for financial assistance. Payment methods and financial assistance application information can be found further in this form. Please note that regardless of scholarship status or payment plan, all tuition payments must be made TWO WEEKS prior to the student's performance date. Failure to complete payment will result in the student needing to be removed from their production.

     

    • Appropriate behavior and responsibility at all times throughout the rehearsal and performance process. Participants in any Central Florida Community Arts program will be held to a standard of appropriate behavior and responsibility. Consequencesfor violations of this standard are as follows, and will be documented:
      • First violation: The participant will receive a private verbal warning.
      • Second violation: A parent/guardian of the participant will be notified
      • Third violation: CFCArts will contact a parent/guardian to set up a meeting between CFCArts staff, the participant, and a parent/guardian to discuss further steps. This may result in the student’s removal from the program or required transition to a virtual program, depending on the violation(s) in question.
      • Please note that if a participant commits an extreme violation (e.g. an extremeact of violence), one or more disciplinary steps may be skipped.
      • Violations include, but are not limited to: Absence or extreme lateness without prior approval or confirmed emergency; violence and/or bullying (physical,mental, or emotional); possession of an illegal item or substance; attendance while under the influence of an illegal substance; substantial and/or consistent lack of preparation or effort; highly and/or consistently disrespectful behavior towards program staff or other participants; vandalization; and theft.

  • Check-Out Procedures

    • Check-Out: Starting immediately at the program’s designated end time, a person on the student’s approved pick-up list must check out the student.
    • Students may not be checked out early unless there is an emergency cleared with staff, or approved early release.
    • Photo ID: Any person checking out a student must be prepared to present a photo ID. Staff reserves the right to contact a caretaker above until/unless photo ID is presented.
    • Approval List: Each student must submit an approval list (see below) with names, relationships, and phone numbers anyone permitted to check them out. Approval lists may contain underage persons such as an older sibling. To make a
      change/addition to an approval list, email theatre@cfcarts.com.
    • Student Drivers: Students who are at least 16 years old and able and permitted to drive themselves to and from rehearsal or use a taxi or ridesharing service must have a waiver on file signed by the student and a legal parent/guardian (see below.) All other students under 18 must be checked out by a person on their approval list.
    • Late Pick-Up: Ten minutes after the program’s designated end time, staff members will contact a parent/guardian if a student has not been picked up. If this is a persistent problem, we reserve the right to charge a babysitting fee of $1 per minute.
  • Student Driver/Rideshare Waiver

    Students who are at least 16 years old are permitted to check themselves out at the end of their program, leave the facility by themselves, and drive themselves home. Students who are at least 16 years old are also permitted to alternatively use a ride share service, such as Uber or Lyft, after checking themselves out of rehearsal. CFCArts is no longer responsible for your child once they have checked themselves out. If your student is not at least 16 years old and/ or does not have your permission to check themselves out of rehearsal, please select "NO" below with the reasoning that best fits your student.

    The Velveteen Rabbit is a play open to grades Pre-K through 12th. Auditions are NOT Mandatory to participate in the play, and everyone that is enrolled will be offered a place in the show. Auditions ARE Mandatory to be a part of the "Jr. Troupe" which are our students with named roles and speaking parts.
  • The Best Christmas Pageant Ever: The Musical

    The Best Christmas Pageant Ever: The Musical is a production open to grades Pre-K through 12th. Auditions are NOT Mandatory to participate in the production, and everyone that is enrolled will be offered a place in the show. Auditions ARE Mandatory to be a part of the "Jr. Troupe" which are our students with named roles and speaking parts.
  • Hadestown: Teen Edition

    Hadestown: Teen Edition is a musical open to grades 6th through 12th. In person auditions are mandatory for all lead, supporting, and ensemble roles.
  • James and the Giant Peach

    James and the Giant Peach is a play open to grades Pre-K through 12th. Auditions are NOT Mandatory to participate in the play, and everyone that is enrolled will be offered a place in the show. Auditions ARE Mandatory to be a part of the "Jr. Troupe" which are our students with named roles and speaking parts.

    Central Florida Community Arts Youth Theatre Programs take conflicts and commitments very seriously. Please read the conflict policies and procedures below and sign your acknowledgement and agreement on the final page.

     

    Excused Conflicts:

    All absences, late arrivals, and/or early departures must be fully disclosed prior to a student's audition. Any conflicts that arise after the student's audition will not be accepted and will be counted as unexcused. Please see below for consequences of unexcused conflicts. Even with excused conflicts, students are responsible for learning missed material in a timely manner, and should reach out to staff for help as needed.

     

    Emergency Conflicts:

    We understand that emergencies do arise. However, in the event of an emergency, please notify program staff at theatre@cfcarts.com or by phone (407-307-3001) at the earliest possible time.

     

    Acceptable emergency conflicts:

    Injury or illness that affects the participant to the extent that they are unable to participate; death, illness, or other unexpected hospitalization of a close family member; natural disaster (flood, hurricane, etc.)
    Unacceptable emergency conflicts: Visiting with family or friends; illness or injury that does not affect the student to the extent that they are unable to participate (seasonal allergies, etc.); illness or injury of a family member that does not affect a student’s ability to get to rehearsal; bad weather that is not a natural disaster; homework; naptime; bad moods; being “grounded” or having privileges revoked; other extracurricular events; birthdays or holidays/celebrations/ special events.

    Please note that some unacceptable emergency conflicts would be acceptable as excused conflicts if noted on the Audition or Registration Form.

     

    Unexcused Conflicts:

    The arts are highly collaborative, and thus the attendance of all students is vital for the good of the group. When one student is repeatedly or unexpectedly late, absent, or leaves early, the entire group is highly affected. Therefore, unexcused tardiness and absence is unacceptable, and repeated offenses may result in reassignment and/or reduction of a student’s role or responsibilities (such as lines, solo, etc.) Please note that conflicts with a tech/dress rehearsal and/or performance may result in reassignment and/or reduction of a student’s responsibilities, or prohibit a student from participating in the program as a performer.

     

    Attendance Rules: 

    Just like Behavioral and Responsibility Violations as outlined in the Participant Agreement also signed by all participating families, a three-strike policy is followed for unexcused conflicts (except for tech/dress rehearsals and performances as noted above.)

    • Check-in for all youth programs begins 15 minutes prior to the start time of said program, while check-out begins promptly at the posted end time of each program.
    • For check-in, if students do not arrive or communicate lateness by 5 minutes past start time, parents are called.
    • For check-out, if parents do not arrive or communicate lateness by 10 minutes past end time, parents are called.
    • After one grace period of lateness for programs lasting no more than 5 weeks, and two grace periods for programs lasting more than 5 weeks, parents are charged a late pick-up fee of $1 per minute per child for late pick-ups (after being notified that they have passed the threshold) although exceptions can be made for emergency situations at the discretion of CFCArts Youth Theatre Programs leadership (not at the guardians’ discretion.)

    Regular Rehearsals:

    All students will rehearse on Mondays, Tuesdays, Thursdays, and Fridays as called, anytime between 5:30-8 PM (occasionally slightly later as needed, especially closer to show week), primarily at First Congregational Church of Winter Park (225 S Interlachen Ave, Winter Park, FL 32789) from Tuesday, January 20 through Friday, April 24. The full rehearsal schedule will be released by Friday, January 16. There will be no rehearsals Friday, March 13 through Sunday, March 22 due to OCPS Spring Break.


    Not every performer will be called to every rehearsal! A full rehearsal schedule will be released after auditions by Friday, January __. The number of rehearsals required will depend on the size of your student’s role. 


    All performers must attend all rehearsals Monday, April 20 through Friday, April 24 and all tech and dress rehearsals as listed below. No conflicts will be accepted. All cast must attend all scheduled tech and dress rehearsals and performances or they will not be able to perform.

    Tech and Dress Rehearsals:

    Tech and dress rehearsals will take place on Sunday, April 26 and Monday, April 27 at the rehearsal location, First Congregational Church of Winter Park (225 S Interlachen Ave, Winter Park, FL 32789) and Tuesday, April 28 and Wednesday, April 29 at the performance location, the Dr. Phillips Center for the Performing Arts - Alexis & Jim Pugh Theater (445 South Magnolia Avenue Orlando, FL 32801.) Specific call and release times will be determined by the time the schedule is released on Friday, January ___, but students must have all evenings free and fully available on those dates from 5 PM onwards.


    Performances:

    Performances will take place on Thursday, April 30 at 7 PM, Friday, May 1 at 7 PM, and Saturday, May 2 at 2 PM and 7 PM at the Dr. Phillips Center for the Performing Arts - Alexis & Jim Pugh Theater (445 South Magnolia Avenue Orlando, FL 32801.) Specific call and release times will be determined by the time the schedule is released on Friday, January 16, but students must have evenings free and fully available on Thursday, April 30 and Friday, May 1 from 5 PM onwards, and all day free and fully available on Saturday, May 2.

    Audience members may purchase in-person tickets on the Dr. Phillips Center website starting in January 2026.

    All cast must attend all scheduled tech and dress rehearsals and performances or they will not be able to perform.
