Payment and Scheduling Policies
Tuition
Your lesson schedule will be set with standing appointments, reserved just for your student. We cannot use this time for other students, so if you must reschedule a lesson, we require some notice and it will be subject to your tutor's availability. Your tutor will send you their make up policy with more specifics.
Ladder Learning uses a tuition payment model. Tuition is charged monthly, and is the same amount each month regardless of the number of days in that month. We plan for a total of 45 weeks of instruction from September to August of the following year. Tuition is priced as a yearly amount then split into 12 equal payments due the 1st of each month.
Some major holidays will be taken off along with a winter break. These days off are built into the price so no refunds are issued for sessions that would occur during those breaks. Your tutor will get 1 week of vacation where lessons will not be made up, and each student will also get 1 week of vacation, which can be used at your spring break, or scheduled at another time during the year if you choose. Payment
Payment is due on the 1st of the month, every month, and we require either a deposit or autopay set up with a valid credit card. We do not discount tuition for student vacations or other absences; however, you can use your built-in vacation week or you can reschedule sessions if your tutor allows. Non-payment of tuition will result in suspension of sessions and/or dismissal from tutoring. Please let us know ahead of time if you need an alternate payment date.
Schedule Changes
If you need to change your schedule you can do that at any time during the year by filling out the Schedule Change Request Form on our website. If you do not fill out the form, it is possible that you may be charged for sessions you do not use, so please make sure to fill out the form.
Make Up Sessions
Any time a tutor or student is not available for a scheduled session, we will either count it as missed (without a refund), or we will issue a make-up credit to be used at a later date.
The following policies will apply to all make-up credits starting this term:
- All make up credits from the current term will expire the day before the start of the next term (on Sept 7th). They can not be carried over.
- Use of make up credits are subject to the tutor's availability and make-up policy. Please check with your tutor for the scheduling of make up sessions.
- With the exception of the first week of September, make up credits will expire on the final day of the last month on which tuition has been paid. If a family has not paid a tuition for the month, they may not use make-up credits to schedule lessons during that month.
- No refunds will be issued for unused make-up credits.
Ending Services
You are free to end services at any time. We require at least 14 days notice prior to the start of the next billing cycle to stop the tuition charge from going through. This notice should be sent in writing, by email, to LadderLearning@gmail.com or by the schedule change form listed above. No refunds will be issued for early cancellation.
School Providing Services
If your school is paying us for services and we have a separate arrangement worked out with them, note that the above information may not apply. We will bill the school directly and work out terms with each school separately.
