Role Descriptions
Thank you for considering volunteering your time at this important ministry event.
The below role descriptions offer a guide of what roles entail. As with any event of this nature we do seek flexibility from volunteers. Scheduled times of roles indicated below are a guide and may be tweaked depending on venue specific needs. Team will be onsite to provide direction and instruction throughout all stages of the event.
We ask that you consider your suitability for the role you nominate to serve in to ensure you are able to commit to the role in both time and capacity.
All volunteers will be able to participate in the show around their duties.
The minimum age for volunteering is 18 years old.
Bump in / out
Assistance with set up and or packdown of the show. Details can be provided on a show by show basis on what is needed.
Bump in is from 1pm - 5pm
Bump out is from 9pm - 11pm (at the latest, likley to finish earlier)
Runner = 9am - end of show
Available for the duration of the day and after the show, flexibility required. Ad hoc duties as required, will require own car. Duties may include: last minute merchandise collection, assisting the band and crew with any local needs, supermarket runs for last minute supplies, possibly transporting band and crew to/from accommodation, collecting and delivering catering to band and crew, filling gaps as required.
Venue Safety = 4.30pm - end of show
Roaming throughout the event to ensure guests, team and volunteers are safe. Various stations throughout the event, including but not limited to: entrance of venue, BOH areas (Back of house), inside the venue during the concert ensuring all guests are behaving in an appropriate manner, general venue space. Help redirect & keep people from wandering into unsafe areas (ie around the stage) and to be eyes and ears for any larger issues that might need to be addressed.
You will be advised of venue specific details on the day including fire exits, and any other venue specific details.
While venue safety volunteers don’t need to be ticketed security personnel, you will need to be comfortable with communicating with relevant parties to ensure a safe environment is maintained.
Ticket Taker = 4.30pm - 8.30pm
Be present for both VIP ticket arrivals and general admission. Stationed at the entrance to the venue to scan guest tickets allowing access to the event.
Everyone must have a ticket so ticket takers need to be comfortable asking for tickets and if there are any discrepancies, sending guest to box office for clarification. Seats are not assigned so there will likely be a rush to get in and secure seating. Must be comfortable with crowds and a fast paced environment.
PLEASE NOTE: Each volunteer's own iPhone will be used to scan guest tickets. Currently the technology used for scanning guests tickets requires an iPhone. Android phones are not compatable with the itickets scanning software.
Box Office = 4.30pm - 8.30pm
Using an electronic device to access ticketing information, assist with guest situations and questions arising from lost tickets, general enquiries and when available, onsite purchase of tickets. Would suit a calm, confident communicator who can assist with troubleshooting and can remain calm under pressure.
Usher = 4.30pm - 10pm
Welcome guests to the venue and assist with seating guests. Seats are not assigned in any show so there will likely be a rush to get in and secure seating. Will need to be comfortable in speaking with guests and ensuring every seat is filled, i.e asking people to not leave any empty seats. Assit our guests in wheelchairs and their carers in seating and also assist with seating any guests who arrive after the show has started, so be aware of where seating is still available. Ushers will need to communicate with other ushers in the team to ensure all guests are seated allowing maximum capacity of the venue to be achieved.
Car Park = 4.30pm - 8pm
Where required, assisting with traffic management and flow, helping guests park efficiently and safely.
