BIG Motorcity Car & Motorcycle Show

The 2025 BIG Motorcity Car and Motorcycle Show is proudly presented by Big Brothers Big Sisters of Windsor Essex, which is dedicated to providing mentorship to children and youth in need. By no fault of their own, young people are born into circumstances that can cause high levels of stress including separation from a biological parent, living in poverty, witnessing violence or experiencing bullying. Through mentorship we provide a caring, consistent adult who builds a safe and trusting relationship that can enable young people to thrive, despite the daily challenges they are facing. Big Brothers Big Sisters Windsor Essex has been providing life changing mentorship experiences since 1968 and serves nearly 700 children and youth in more than 50 schools in Windsor Essex.

LOCATION:
Fogolar Furlan Club 1800 North Service Rd. Windsor Ontario

DATE & TIME:
Sunday September 21, 2025 11am until 3pm.

Vendors should come prepared for all weather conditions. Vendors who arrive later than 10:15 AM will not be permitted to set up. Vendors have from 3:00 PM to 4:00 PM to pack up and tear down. No exceptions. Vendors are not permitted to tear down before 3:00 PM.

PRODUCTS:
Vendors must submit a list or details of products along with their application form.

APPLICATION & SELECTION PROCESS:

All vendor applications will be reviewed by the BIG Motorcity Car and Motorcycle Show organizers, who will make the final decision. We reserve the right to approve or decline any application at its discretion. Vendors who violate vendor policies may face termination from the Show, and the Big Motorcity Car and Motorcycle Show organizers have the authority to require a vendor to leave the show site for any

NO VENDOR SHALL ATTEND The Big Motorcity Car and Motorcycle Show UNLESS THEIR Vendor fees Have BEEN PREPAID

VENDOR SPACE:

All vendors must:

• Provide Table/s for product.
• Provide their own chairs
• Provide Tent/Canopy in good repair, canopy weights are mandatory for each vendor.
• Manage the space around their Site (line-ups, crowds etc)
• Provide Tablecloths, all health and safety supplies required, and certifications.
• Include Vendor Signage and product information in compliance with the Big Motorcity Car and Motorcycle Show regulations (see signage for further information)

Vendors will be assigned a location prior to the event day.

2. Vendors are responsible for bringing their own water otherwise water and soft drinks are available for purchase

3. The BIG Motorcity staff, from time to time, have reasons to adjust Vendor locations. Additionally, municipal authorities, from time to time, have reasons to adjust their policies. All Vendor locations and approvals are subject to change, without warning or advance notice, due to changing environmental and logistical considerations.

4. All Vendor vehicles SHALL be moved to the designated parking area by 10:30 AM. No Vendor vehicle will return to the site until 3:00PM.

PERMITS/FOOD SAFETY

Vendors are responsible for obtaining all necessary licenses, permits, inspections and certifications for the sale of their products. This includes health and safety, labeling, etc. All persons handling food must maintain a high-level cleanliness. Vendors who are selling food should consider contacting the Health Unit prior to committing to the BIG Motorcity Car and Motorcycle Show to ensure compliance. The BIG Motorcity Car and Motorcycle Show is not responsible for Vendor Registration with the WECHU. Vendors who cannot follow Health Unit regulations will be asked to leave (without refund) and/or asked to restrict the content of products allowed for sale.

SINAGE

Each vendor must prominently display a banner or professional sign at their tent showcasing their business name. No handwritten signs. All prices must be clearly marked and easily visible, with any price adjustments throughout the day permitted only through verbal negotiation with customers. Presentation and signage play a crucial role in attracting customers, so vendors are encouraged to maintain a visually appealing setup.

NOTE:

Vendors who fail to attend event day without providing at least 1 week's notice will forfeit their vendor fee, with no refunds issued.

The BIG Motorcity Car and Motorcycle Show & Big Brothers Big Sisters Windsor Essex, their Board of Directors, Staff and Contract Staff/Volunteers will assume no responsibility for loss of product, sales, inclement weather cancellation, volume of patrons/customers, theft from vendor site or parked vehicles, towed vehicles, parking tickets, damage to Vendor equipment, theft of personal property, or loss of sales due to unforeseen early closure or cancellation of the event, or any unforeseen circumstances and/or safety concerns.

There are absolutely no Vendor refunds.

By signing this application, you are indicating that you have read and agreed to the Terms of Agreement to be a Vendor at the BIG Motorcity Car and Motorcycle Show in 2025.
