We have created Expansion as a space for the people in our community who wish to undertake a range of physical and spiritual practices for themselves to grow and to also connect with other like minded individuals.
We would very much appreciate you keep this in mind as well as follow these guidelines.
We ask of you to please be aware of your time in our studio and respectful of all particpants, your attitude toward the students and other facilitators that come through the spaces. We do not condone any behaviour that is derogatory or negative towards any other person in the space. If you need support managing any attendee or situation during your event, please reach out to Expansion, We're here to help.
We don’t ever want this to happen or circumstances lead to a bad outcome but if we feel the respect for our space and students has been broken by you or any of your colleagues we reserve the right to cancel your event before it starts or during.
Studio Use:
>> Facilitator is welcome to utilise all mats and props at Expansion studio including;
Yoga mats, infra red heating, bluetooth speakers, bolsters, cushions, eye pillows, blankets, pilates balls, bands and straps, incense, battery operated candles, spotify, 2 practice rooms + foyer, cups, kettle and tea.
We have the capacity for 20 attendees comfortably in our space during regular classes with props for all. With the studio mats laid out in grid form, they comfortably hold enough room for everyone for regular yoga and pilates activities, if doing a workshop where you want a little extra space, please consider less students for attendance.
Revenue Split:
We hire our space with a percentage split of revenue instead of deposits and set hire fees to ensure we’re all equally invested in the success of each event.
>> For ticket prices up to $60: Expansion retains 33%, facilitator gets 67%.
>> For ticket prices over $60: Expansion retains 25%, facilitator gets 75%.
This revenue split includes all ticket income from attendees, plus the value of any forfeited passes from late cancels or no-shows.
Students have 48hrs prior to workshop start time to cancel their pass, if they do so before this they are fully refunded or will be credited their pass for future Expansion purchases. If less than 48hrs, they forfiet their pass and it is added to the total revune of the workshop.
Once workshop revunue is confirmed, Expansion will send a report for the facilitator to then send an invoice for payment reference.
Payment to Facilitator(s) will be made via bank transfer in timing with Expansion’s fortnightly staff payment cycle
Booking software:
All bookings and payments are managed through our Expansion software system.
Your event will be added to our 'Special events' menu option at the top of our menu on our booking app.
This event can also be acced via our websites timetable, and special events button to be found on our homepage.
We find events on our app get better reach and smoother management. You’re welcome to manage your own bookings through your booking software, but the % fee remains the same as it covers space, equipment and event support.
Expansion Responsibilities:
>> Utilise Expansion software for bookings and payments. Students will be able book via our Expansion app & website, if requested Expansion can provide a booking link for your social advertisments
>> To advertise your event through our social media platforms, in studio, email newsletters & booking app
>> Send out reminder push notification 7 days prior or at the start of the week of your event
>> Send out any extra info facilitator requires to share with students via text 24 - 48hrs prior to start of event
>> Expansion staff will clean the studio before and after your workshop. Any damage or extra cleaning needed may incur additional fees.
>> Manage all admin for the event, student questioins and assistance with bookings.
Facilitator Responsibilities:
>> Arrive atleast 30 minutes early for setup.
>> Provide a class description and image in advance, Expansion can assist with this if required
>> Promote the event to their own network where possible.
>> No flames to be used during event for candles. We have battery opperated candles that flicker - Incense is okay
>> The space must be left tidy as it was found with all mats and props stored away.
Cancellation Policy:
>> If a facilitator cancels their event with less than 48 hours’ notice, a $100 cancellation fee will apply. This covers time and admin costs involved with organsiing student rescheduling and refunds.
>> We don’t allow cancellations of workshops due to low attendance. Most importantly, we want to make sure students don’t miss out; cancelling workshops can reflect poorly on our studio and the overall experience we aim to provide.
>> We employ a 48hr cancelation policy for workshops and events for students. If they cancel before this 48hr window they will be fully credited or reimbursed their ticket fee. We can arrange waitlists for the event to help with adding more people in.
