We’re committed to providing exceptional, curriculum-aligned arts experiences that spark creativity and enrich learning. This form allows you to submit a reservation request for a HOTA Education performance or workshop. Once we receive your request, our School Bookings team will review it and be in touch to confirm your booking.

Booking and Payment Information

To help us provide the best experience, please keep in mind the following when making a reservation: plan ahead to meet our timelines and conditions, and allow time to collect payment from students so that final payment is made by the 8-week deadline.
- Confirmation of your reservation must be made within two weeks with our School Booking team to secure your booking. Unconfirmed reservations may be released after this time.
- Final payment and confirmation of ticket numbers are required 8 weeks prior to your event.
- For bookings made within 8 weeks of your event, payment and final numbers are due within 7 days of confirmation, unless an alternative arrangement has been agreed in writing.
- If your school reserves an entire workshop session, or if your group exceeds 50 students, a partial 20% (refundable) deposit or (where possible) full payment is required to secure your booking.
- Where possible, we encourage full payment at the time your booking is confirmed.
- If a booking is cancelled before the 8-week confirmation deadline, any deposit or full payment made will be fully refunded (please refer to T&Cs at the bottom of this form).
- Increases to your booking are subject to availability.
- If you have already paid in full and need to reduce student numbers, a refund will be issued once final numbers are confirmed, 8 weeks prior to your event.
- All booking correspondence should be sent to schoolbooking@experiencegoldcoast.com
- Booking changes cannot be made over the phone and must be submitted in writing.

Performance/Workshop Sold Out?

Select 'Standby' under the 'Select Show and Performance Time' section. Then, enter the name, date, and time of the session/show in the 'Standby Show Booking' text box. The Education Producer will place your booking on the waiting list and will contact you if tickets becomes available, or if additional performance/workshop times are added. Arts Bus Fund
Did you know HOTA offers an initiative to help reduce the cost of bus travel for school excursions? Schools can apply for a one-off subsidy through our Arts Bus Fund to support transport costs when attending an exhibition, performance, or workshop at HOTA.

Cancellation & Change of Numbers

The 20% deposit paid at the time of booking is non-refundable. If a group booking is cancelled after the 8-week confirmation deadline, the cancellation fee will be based on the most recent ticket numbers (students and teachers) provided to HOTA, either on the original booking form or in writing.To avoid additional charges, any changes or cancellations must be made in writing and received by HOTA no later than 8 weeks prior to your scheduled performance or workshop. Please note: phone calls will not be accepted as confirmation of changes or cancellations.
Terms & Conditions
1. Increases in numbers are accepted at any time, however are subject to availability and must be made in writing emailed to: SchoolBooking@experiencegoldcoast.com
2. Decreases in numbers will be accepted if made before the Confirmation of Numbers Deadline (8 weeks prior) and must be made in writing emailed to: SchoolBooking@experiencegoldcoast.com
3. Decreases in numbers will not be accepted after the Confirmation of Numbers Deadline (8 weeks prior), and the school is liable for payment for the number of tickets originally booked.
4. Payment must be received by the invoice due date or your tickets will be released, unless otherwise arranged in writing.
5. For bookings made within the 8-week period prior to the event, full payment and final ticket numbers are required within 7 days of confirmation from the School Booking and Accounts teams, unless otherwise agreed in writing. Refunds, changes to dates, or adjustments to ticket numbers will not be accepted after this time.
6. Each school receives 1 free teacher ticket for every 10 paying students. Additional teacher tickets are charged at the Student Group rate.
7. By making a school booking with HOTA it is agreed that you accept the Terms and Conditions - see at the bottom of this form.
8. An extension to your payment date will only be granted by the Head of Box Office – should you wish to discuss this option please call the Box Office (07) 5588 4000 or email boxoffice@experiencegoldcoast.com
9. Facilities including wheelchair spaces are available for patrons with individual needs. Please make your requirements known to us as soon as possible.
10. Wheelchair spaces must be pre-booked.
