    The Kids Quest Philosophy: Care for your school-age child should be an extension of learning, creativity, and fun while in a structured, safe environment.
  • This year, we’re limiting each school site to a maximum of 30 students to ensure a high-quality, safe, and enriching experience for every child. Smaller group sizes mean more personalized learning, better supervision, and exciting hands-on programming — especially in STEM and other enrichment areas.

    Enrollment is not first come, first served. If we receive more than 30 applications at a site, a lottery system will determine placement.

    Provided for your student:

    • Extended care for students in grades K-5
    • Trained staff and positive role models
    • Hands-on group and individual projects
    • Designated study time and homework guidance
    • Full access to designated school recreational area(s)
    • Wellness education and daily nutritional snacks
    • Physical, mental, and emotional activities designed for healthy development

    Every section of the form must be completed in full. If you are enrolling more than one student, a separate enrollment form is required for each student.

    The Kansas Department of Health and Environment, our licensing authority, requires the completion of two supplemental forms for each student: Child Health History form and Emergency Medical Care form.

    These forms are available for download on the YWCA website, can be completed in person at the YWCA Main Office (225 SW 12th St.), or can be scanned and emailed to youthservices@ywcaneks.org. 

    IMPORTANT: Both KDHE forms must be signed to be considered valid. Please read each form carefully. If you need assistance completing the forms, we are here to help.

  • YWCA Northeast Kansas Kids Quest Parent/Caregiver Agreement

    The following section includes all policies related to your child's participation in the YWCA Kids Quest program. You must check each box to verify that you have read and understand the information, and sign the final agreement before submitting this enrollment application.
  • YWCA Statement of Non-Discrimination

  • Registration & Financial Agreement

    • Annual Enrollment Fee: $20 for one child, $30 for two or more children per school year (non-refundable). 
    • Tuition Payment: The first week’s tuition is due at enrollment. Your child’s spot is not guaranteed until registration fee and tuition are paid.

  • Payment & Billing Procedures

    • Kids Quest is a pre-pay program. Automatic payments via the Brightwheel app are encouraged (weekly, bi-monthly, or monthly).
    • Billing statements are issued every Friday; auto-payments run every Tuesday for weekly payments.
    • Payments must be received by 5:00PM Wednesday prior to the upcoming week. Any accounts not current by that time will incur a $10 late fee.
    • Cash payments and checks are not accepted at sites. Payments are accepted at the YWCA Northeast Kansas Main Office, located at 225 SW 12th St.
    • Tuition paid in advance is non-refundable unless two weeks’ written notice is given.
  • Available Assistance Programs

    • Vision/DCF payments accepted; payments can be made by calling the “800” number on the back of the card or by using the EBT Edge app. The provider ID numbers are:

    • Families utilizing KVC or Vision/DCF assistance are responsible for completing attendance records and ensuring prepaid tuition.
    • Tuition not covered by assistance programs is the responsibility of the parent/caregiver. 
    • DCF payments are due at least 3 days before each billing cycle. Click here for instructions.
  • Pick-Up & Late Fees

    • All children must be picked up by 5:30pm to avoid penalty fees.
    • Late pick-ups incur a fee of $1 per child per minute past 5:30 PM, payable promptly. 
    • Persistent late pick-up or non-payment may result in suspension or termination. 
    • Only authorized adults (18+ with valid ID) listed on the enrollment form may pick up children. 
  • Cancellation & Status Changes

    • Two weeks' written notice is required to cancel or change attendance hours.
    • Failure to provide proper notice will result in continued fees until notification is received and authorized. 

    • Kids Quest follows the USD 501 Topeka Public Schools calendar. When schools are closed, Kids Quest before and after care are closed. 

      • If USD 501 announces a late start e.g., due to inclement weather, Kids Quest before care will be closed. 
      • If USD 501 cancels school or afterschool activities, Kids Quest after care is closed. 
      • On scheduled half days or early release days, Kids Quest after care will not be available. 
  • Credits & Refunds

    • Credits, refunds or reimbursements will not be issued:

      • For suspension or expulsion from the program.
      • Due to a cancellation of the program when USD 501 closes for inclement weather or cancels afterschool activities.
      • For shortened weeks due to inclement weather, holidays, illness or injury.

  • Program Philosophy

    Kids Quest provides a safe, nurturing, and inclusive environment that supports academic, social, and emotional growth through engaging and meaningful activities. We are committed to fostering resilience, creativity, and positive relationships while honoring each child’s dignity and individuality. Guided by the Six Pillars of Character—trustworthiness, respect, responsibility, fairness, caring, and citizenship—our staff use proactive strategies and restorative practices to help children build confidence, develop essential life skills, and make thoughtful choices. We work closely with families and the community to ensure every child feels valued, supported, and empowered to thrive.

  • Student Behavior Expectations

    Students are expected to follow the Six Pillars of Character and behave respectfully and safely.

    The program uses positive behavior interventions including:

    • Specific positive feedback over corrective feedback.
    • Visual schedules and routines.
    • Teaching and reinforcing expected behaviors.
    • A calm-down area for breaks when needed

    Behavior concerns generally follow progressive discipline:

    1. Verbal warning with parent/caregiver notification.
    2. Written warning with parent/caregiver notification.
    3. Parent meeting with Program Manager.
    4. Possible withdrawal.

    However, due to the nature or severity of certain offenses, Kids Quest reserves the right to bypass steps in the discipline process and take immediate action, including suspension or expulsion, to protect all children and staff.

  • Parent/Caregiver Code of Conduct

    Parents and caregivers play a vital role in maintaining a respectful, safe, and positive environment. The YWCA Northeast Kansas Kids Quest Program requires all parents and caregivers to adhere to the following expectations while on site or involved with the program:

    • Respectful Language: Swearing, cursing, or use of profane language is not permitted anywhere on Kids Quest property or during program activities.
    • Threatening Behavior: Threats, intimidation, or harassment of staff, children, other parents, or any adults associated with the Kids Quest program will not be tolerated and may result in immediate removal from the program and possible suspension of enrollment.
    • Physical and Verbal Discipline: The Kids Quest program does not support or condone corporal punishment or any form of physical or verbal punishment on site. Additionally, parents and caregivers may not discipline or correct children who are not their own while at Kids Quest locations.
    • Substance-Free Environment: Smoking, vaping, use of alcohol, or illegal drugs on Kids Quest premises or during program activities is strictly prohibited.
    • Constructive Communication: Parents and caregivers must interact with staff and other families in a calm, non-confrontational manner. Disputes or concerns should be brought to the Kids Quest Program Manager or Site Director respectfully and through appropriate channels.
    • Confidentiality: Families must respect the privacy of other children and families enrolled in the program. Sharing confidential information, including personal details or behavior incidents involving other children, is strictly prohibited

    YWCA Northeast Kansas reserves the right to address violations of the Parent/Caregiver Code of Conduct through warnings, meetings with program leadership, or dismissal from the program to ensure safety and wellbeing for all.

  • Confidentiality Policy

    All children’s personal and health information is stored securely and accessed only by authorized personnel. Parents and caregivers may request access to their child’s records in writing and will receive timely responses in accordance with privacy laws. Information is used solely to support the child’s care and is not disclosed without parental consent unless legally required.

    Additional confidentiality practices include, but are not limited to:

    • Collecting only necessary personal, health, and emergency info.
    • Securely storing records (locked cabinets, password-protected systems).
    • Restricting access to authorized staff only.
    • Allowing parents and caregivers access to their child’s records upon written request.
    • Using records solely to support child safety and program quality.
    • Not disclosing records without consent except when required by law.
    • Retaining and securely disposing of records as required.
    • Training staff regularly on confidentiality practices.
  • Media Permission

    As part of the Kids Quest Program, we occasionally take photographs of students participating in educational and recreational activities. These images may be used for: newsletters or program updates, YWCA Northeast Kansas website and social media, bulletin or display boards, and/or promotional materials or grant reporting. We value your child’s privacy and seek your permission before using any photos that include your child. Please review the information below and indicate your preference.
  • Exiting Procedures

    The following section outlines our policies for daily dismissal, late pick-up, and program expulsion. It also explains your legal rights as a parent or caregiver regarding access to your child while they are in our care.
  • Dismissal Procedures & Late Pick-Up Policy

    • Children transition from school to Kids Quest after 3:30PM, with attendance taken promptly.
    • Pick-up is by 5:30PM. Late fees apply at $1 per child per minute after 5:30PM.
    • Late fees must be paid immediately or as directed. Failure to comply may lead to suspension or expulsion.
    • Only authorized adults aged 18+ with valid ID may pick up children. Sign-out is completed through the Brightwheel app.

    Expulsion Policy 

    Behavioral expectations are established to ensure a safe, positive environment for all children in the Kids Quest program. While the program strives to collaborate with families to address behavioral concerns through documented communication and a progressive approach, YWCA Northeast Kansas reserves the right to dismiss any child from the program at any time, with or without cause. 

    Disruptive or harmful behaviors that compromise the safety or well-being of the child, other students, or staff may result in immediate or permanent dismissal. When appropriate, documentation of incidents and communication with parents or caregivers will be maintained. Written notice will be provided outlining the reason for dismissal and any prior interventions, except in cases where immediate dismissal is deemed necessary. 

    Families may request to appeal an expulsion decision by contacting the YWCA CEO. A meeting may be granted at the sole discretion of the YWCA; appeals are not guaranteed and are not considered a right of the dismissed family. Re-enrollment after expulsion may be considered on a case-by-case basis. 

    Following a dismissal, any parent, caregiver, or child who harasses, threatens, or otherwise causes harm to YWCA Northeast Kansas staff, volunteers, or affiliates—through phone, written, electronic, or in-person communication—will be subject to legal action to the fullest extent of the law. 

    Parent/Caregiver Rights to Immediate Access 

    By law, parents and legal caregivers have the right to immediate access to their child while in the program. To exercise this right, please: 

    • Notify the Site Director or Program Manager upon arrival. 
    • Sign in and present valid identification. 
    • Access your child without unnecessary delay or restrictions. 
  • Final Agreement & Legal Parent/Caregiver Signature

  • I (signed below) desire to enroll my child in the YWCA Kids Quest Program at Elementary School. I/we have received a copy of YWCA’s Parent/Caregiver Agreement and have been given the opportunity to ask questions. I/we understand the policies and procedures contained within and agree to abide by them.
     
    I/we agree to remit payment as indicated above and will adhere with the exiting procedures as detailed in the Parent/Caregiver Agreement.
     
    Each Kids Quest before and after school program is licensed by the Kansas Department of Health and Environment. All programs have annual licensing reviews to ensure the children are safe and properly cared for in a healthy environment.
     
    Kids Quest follows the USD 501 Topeka Public Schools Schedule. For closings and schedule changes, consult the USD 501 school calendar and inclement weather announcements. When USD 501 schools are closed, Kids Quest before and after school care are closed. For delayed starts, before care is closed only. For early release days, after care is closed only.
     
    This agreement may be terminated by either the parent(s)/caregiver(s) or YWCA Northeast Kansas by giving a written notice of two weeks in advance of the end of the 2025-2026 school year.
