ASHE 2025 Childcare Reservation Request Form

In an effort to increase the accessibility of the annual conference for caregivers, childcare services will be provided during the ASHE 2025 General Conference by Elegant Event Sitters (eleganteventsitters.com). Elegant Event Sitters will provide professional sitters who are CPR/FA certified and have received a criminal background check with no reported arrests or findings of guilt as a result. 

Registration Process:

• Conference attendees will must complete this initial registration form no later than Wednesday, October 15, Noon Mountain/Denver time to be considered for services. 
• Attendees will receive a confirmation email and invoice from ASHE once their reservation for childcare is confirmed.
• Payment is due to ASHE for services upon confirmation. 
• ASHE may not be able to accomodate all requests due to space and sitter limitations. Early registration is recommended.
• Elegant Event Sitters may have additional forms to be filled out by the parents/caregiver once registration is confirmed. 
• Questions that arise during the registration process should be directed to conference@ashe.ws. 

Details on Service Provider: 

Elegant Event Sitters carries a business license only to provide on-site supervision for the children in their care during the duration of the Client's event. The Company is not a licensed daycare provider and is not subject to the rules and regulations of childcare licensing. All work shall be completed in a professional manner arising to industry standards, and if applicable, in compliance with all codes and other applicable laws. To the extent required by law, all work shall be performed by individuals duly trained to industry standards, licensed (if applicable), and authorized.  Elegant Event Sitters will comply with all applicable state and federal laws, regulations and other standards and requirements in providing services under this agreement.

Elegant Event Sitters are not able to provide children meals. Approved snacks may be sent in by caregivers. 

Elegant Event Sitters will provide:

• Identifiers for each child (wrist bands and name tags)
• Pick Up Cards given to each parent to present when retrieving their children
• Bathroom Log maintained for all trips to the bathroom (time in/out, the name of the sitter and the child)
• Outlet covers
• Disinfection of toys before, during and after the event
• Alcohol based hand sanitizer for caregivers and parents. Alcohol Free hand sanitizer for children 
• Activities including arts and crafts, fun games and activities, infant/toddler equipment if needed, assorted toys, and a professional entertainer

Elegant Event Sitters carries and maintains comprehensive general liability insurance, including contractual liability and liability for personal injury, bodily injury, property damage, and completed operations liability with a combined single limit of not less than $1,000,000 each occurrence.

Elegant Event Sitters is as an independent contractor and is not an employee of ASHE, or the venue that the event is being held in.

In the event of children that are disruptive, unruly, disrespectful and a threat to any other children while under the supervision of Elegant Event Sitters, Inc., the Company has the right to request said child be removed from the presence of the other children. The Company reserves the right to refuse service to any parent or child who poses a threat to their safety and the safety of others. Client shall be responsible for payment in full regardless of the situation being resolved.

Please select the times you will use Childcare. Once you submit this form, we will invoice you for the amount due. Payment is due upon confirmation your reservation. Rates are $12/hour for Student Members, $20/hour for Members, and $30/hour for Non-Members.

If you need childcare outside of the hours offered, please indicate your interest on this form so we can put you into contact with potential service providers and/or resources for indivdualized care.

I, the undersigned, are the parent(s), caregivers, or legal guardians of the below named child/children and we agree, in taking advantage of the child care services, to release and hold harmless Elegant Event Sitters, Inc. and the Association for the Study of Higher Education from any and all claims, demands, suits, cost, and charges in connection with or arising out of the child care service, including, but not limited to, bodily harm or injury to our children, except only for loss, harms or injury occasioned by the negligence or misconduct by Elegant Event Sitters, Inc, its agents, employees, or assigns. I hereby grant permission for Elegant Event Sitters, Inc. and its employees, agents, and assigns full authority to take whatever actions they deem necessary regarding my child’s health and safety in the event I cannot be reached or in the situation where time is of the essence; and fully release Elegant Event Sitters, Inc. and its employees/contractors and the Association for the Study of Higher Education from any liability in connection with those decisions, I grant permission for emergency treatment by a rescue squad, private physician and/or hospital or emergency health care facility staff if needed. Any such action will be taken in the best interest of my child and will be reported to me as soon as possible.

I understand and agree that the Association for the Study of Higher Education (“ASHE”) is providing this service as a benefit and I hereby release, discharge and hold harmless ASHE and its officers, directors, employees, members, subsidiaries, agents, successors, and assigns from any and all liability that may arise, directly or indirectly, now or in the future, by reason of any injury, damage, loss, or expense incurred in connection with the services.
