I hereby enter into this Agreement with the organizers of Freedom Fest 2025, including all affiliated agents, partners, and sponsors. This Agreement outlines the following terms and conditions for participation as a food vendor:
A. I agree to participate as a food vendor at Freedom Fest 2025, scheduled to take place on Sunday, August 3, 2025, from 12:30 PM to 6:00 PM on 38th–39th & Lancaster Avenue, Philadelphia, PA.
B. Freedom Fest 2025 agrees to provide an assigned vending space, either for a food truck, food trailer, or tent setup, based on vendor needs and availability.
C. There is no vendor fee required to participate in Freedom Fest 2025 (FOR FOOD TRUCK VENDORS ONLY/MERCHANDISE VENDORS MAY REQUIRE A SMALL FEE IF SELECTED). However, all vendors must apply and be approved in writing by the event organizers. Space is limited and will be assigned on a first-approved basis. Permits will be coordinated by the event, but vendors must ensure they meet any city requirements relevant to their business (e.g., food safety, licensing, insurance).
D. Vending hours are from 1:00 PM to 6:00 PM. Specific arrival times for setup and departure instructions for breakdown will be provided upon approval. Vendors must arrive on time, be fully operational by 12:45 PM, and may not break down before 6:00 PM without prior permission.
E. I understand and agree that Freedom Fest 2025 and its organizers, affiliates, and agents are not liable for any loss, damage, theft, or injury to the vendor’s goods, property, equipment, or persons. By signing this Agreement, I release Freedom Fest 2025 and all affiliated parties from any such claims.
F. I agree to indemnify and hold harmless Freedom Fest 2025 and its affiliated agents against any claims, damages, or losses arising from my acts, omissions, products, or services. I understand that I am required to maintain appropriate liability insurance for my operations during the event.
G. I agree to follow all instructions provided by Freedom Fest staff and security, to vend only in my assigned space, and to comply with all applicable local, state, and health department laws and regulations.
H. I agree not to sublet, share, or assign my vending space. I will operate under the business name and identity submitted in my vendor application unless otherwise approved in writing.
I. I understand that any violation of this Agreement or event rules may result in immediate removal from the event and disqualification from future participation.
J. I understand that Freedom Fest 2025 reserves the right to assign and adjust vendor space at its discretion based on logistics, accessibility, and flow. While participation is free, cancellations with less than 7 days’ notice may impact eligibility for future events.
K. I agree to participate in media coverage, including photos, videos, interviews, and social media content as reasonably requested by the event organizers for promotion of Freedom Fest 2025 and future community events.
L. I agree to abide by the full set of Vendor Rules & Participation Guidelines, which will be shared in advance upon acceptance. It is my responsibility to review and comply with all guidelines.
This Agreement shall be governed by the laws of the Commonwealth of Pennsylvania. By submitting this application, I acknowledge that I have read, understood, and agree to all terms outlined above.
