OKTOBERFEST VENDOR RULES 2025
Thank you for your interest in participating in Casino Fandango’s Oktoberfest. We look forward to having you with us. Here are a couple of things we need from everyone to ensure that the event goes smoothly.
- All vendors including food and nonprofit will need to provide their own Craft Vendor Liability Insurance for all two days, along with a valid Tax ID as we need this number to file for a sales tax permit. Please attach a copy of your tax certificate issued by the State, and your proof of insurance, when returning the contract. All vendors will have to meet with a Casino Fandango representative to fill out all applicable sales tax forms, a copy of which will be provided to you during the event. The Casino Fandango representative will collect all applicable Nevada sales tax at the end of the event on Sunday the 28th.
- All vendors including food and nonprofit will need to Provide a valid Tax ID as we need this number to file for a sales tax permit. Please attach a copy of your tax certificate issued by the State when returning the contract. Food Vendors must provide a health permit and follow the health permit guidelines. Having an incomplete application will prevent your spot from being reserved. Please attach a copy of your tax certificate issued by the State when returning the contract. All vendors will have to meet with a Casino Fandango representative to fill out all applicable sales tax forms, a copy of which will be provided to you on the day of the event. The Casino Fandango representative will collect all applicable Nevada sales tax around 5pm on Sunday the 28th. Please have your paperwork ready for our team.
- Booths need to be ready for business by 10:00 am each day. The days and hours are Saturday-Sunday September 27th & 28th from 11am to 7pm on both days. Early setup is encouraged on Friday, September 26th from 4pm to 8pm. A Casino Fandango Team Member will call the week prior with a setup time for Friday or Saturday. Applications must be submitted with completed contracts no later than Monday, September 22nd. The sooner the better the spots fill up quickly. Vendors must be paid prior to the event, or no setup will be allowed. All vendors must stay for the full duration of the event. No early breakdowns or departures are allowed. No refunds for cancelations, early departure, or teardowns.
- No weapons are to be sold or brought with any person participating in the event. If you sell anything that could be thought of as a weapon, we will need a picture of it before the event to ensure that we follow all gaming laws. All decisions in this area are at the discretion of Casino Fandango and final.
- Any competitive food or non-pre-package food vendors will be charged $100.00 Food Vendor Fee. A Competitive Food vendor is any vendor that Casino Fandango considers having the potential to take away from their own food sales during the event. Our General Manager has the final say on the matter.
- Regular Vendor Fee will cost $150.00 per spot for the entire event.
Non-profit vendor fee is $75.00 per spot for the entire event.
Food - non-prepackage food is 250.00 per spot for the entire event. If you’re considered a completive food vendor, then the $100.00 fee will apply.
- Vendor fees can be paid by check, cash, or credit card.
• Cash payments need to be brought to the Casino’s cashier’s cage and not mailed. If making a cash payment, please contact Abby Kever @ (775) 886-1675 Tue-Sat 12:00pm-8:00pm.

• Power Requirements - Casino Fandango is limited to certain spots with power resources. If you have any type of solar lighting, please plan on using it for your booth. If power is needed, there will be $50. fee per contract. Power is only for lighting or items that draw a low current voltage. No heaters or high voltage equipment are to be used without discussing it with an event coordinator prior to the event.
• Vendors must supply their own power strip and need 100-foot extension cords.
8. Trailers will be charged by how many 10x10 spots they take up and whether or not they sell food.
9. Only one vendor from each company or business will be allowed. This is based on who turned in the application first. This applies to companies like Scentsy, CutCo, LuLaRoe, Paparazzi, and many more. There are a few company brand names that have their own contracted policies to follow.
10. Non-profit political parties dealing with voter registration or voter info are allowed to participate, but individual politic candidates or campaigns are not allowed to have booths. Oktoberfest is not a political event. If you are caught campaigning on property, you’ll be asked to leave.
11. Booths will be assigned before the event for all Vendors that have completed the contract and paid the fee. On the day of the event a Casino Fandango team member will direct you to your booth number. Location requests will be accepted, but your final location will be determined by the Casino Fandango planning team.
12. All booths must have a minimum of 100lbs securely attached to each support post using appropriate tied down straps. We cannot guarantee your spot if you are unable to fulfill this requirement. Casino Fandango is not liable for any injury or damage due to negligence. It gets really windy here and we do not want anyone to be injured! This event will proceed no matter what the weather presents, so please be prepared.
13. All vendor vehicles and trailers will be parked in the parking garage or at the Galaxy Theater parking location in the upper most portion of the lot.
14. Animals will not be allowed in any of the booths except for service animals. Service animals must have certification papers submitted with the attached application.
15. Casino Fandango reserves all rights in determining who may or may not attend and in all other matters concerning this event.
