  • Group Leader's Information

    The Group Leader will be our primary contact from your organization or congregation. They will be responsible for sharing required information with your group members and ensuring that payments and forms are completed on time. They should be someone who plans to attend the trip.

  • Group Administrator or Finance Person's Information

    We require that each organization or congregation provide us with a group administrator or finance person's contact information. This must be different from the group leader. They will be copied on invoices and contacted if we are unable to reach the group leader at any point in the planning process.

    Let us know your first and second choices for trip locations and dates. If your group can only make one week work, the second choice of dates are optional.

    Be The Neighbor utilizes an equitable pay structure. Using our equitable pricing model, you are able to choose and pay the price that most fits what your congregation can afford.

    Our hope is that this will help ensure resources for quality trips while also making these trips accessible for all, no matter their financial circumstances.   • Since you haven't been on a Be The Neighbor trip in the past, we'll reach out to schedule an online video call to tell you more about what you can expect from our trips and answer any questions that you might have.

  • If your trip dates and location are available, we will reach out to confirm your registration. Please review the dates and information in the confirmation to make sure everything looks correct. If your dates or location are not available, we will reach out to let you know some alternatives.

  • Your deposit is due two weeks from when you receive your confirmation email. The money paid towards the deposit in nonrefundable, but will go towards your final trip balance. It can be paid on our website with a credit or debit card or by mailing a check. The details for each method are listed on our payment schedule and policies, linked below.

  • You may change your participant numbers by any amount before your next payment. Should you reduce your participant number, all previous payments will be applied toward the reduced number.

    Your first payment of $100 per person will be due on Monday, January 13, 2025 and will be calculated based on the numbers submitted by January 8. If you register after this payment due date, $200 per person will be due on the next payment deadline.

    Your second payment of $100 per person will be due by Monday, March 3, 2025 and will be calculated based on numbers submitted by February 27.

    By April 1 you should have your numbers fairly solidified. We will not be able to accept increases of more than 20%. You will also be responsible for 80% of the total cost, should you reduce numbers by more than 20% or cancel your trip because of the costs already incurred by Be The Neighbor by that time. For example, if you have registered for 10 people, you cannot add more than 2 people on or after April 1 and if you reduce below 8 people, you will still be responsible for paying for all 8 people. 

    Your final participant number count and Group List are due April 15, 2025 for all trips.

    May 1, 2025 your remaining balance will be due.

    All payments are non-refundable. If you overestimate your numbers and pay in advance, we will not be able to refund additional payment. Per-person payments that are higher than your final number will be applied to your trip balance.

    Payments may be made online or by church check. We are unable to accept individual payments or personal checks.

  • Background Check Policy

  • Be The Neighbor requires background checks be run for anyone coming on the trip who is age 18 or older and they must be run within one year of the trip. Your group will be required to submit a Background Check verification form that confirms that background checks have been processed within one year of your trip date.
