Trade Stand Booking Form

This year’s NFAN Conference and Trade Show is putting the trade stands at the heart of the event. 

We are holding trade stand prices at the same price as 2025

Catering will be positioned at the far end of the exhibition hall to encourage delegates to move through the entire space, every time they want to eat or drink.

Round tables have been incorporated into the exhibition layout, to encourage delegates to stay within the exhibition.

The main plenary room will be closed during breaks and lunch, ensuring delegates spend these periods in the trade area.

The majority of Speaker and workshop times will be staggered, to increase the length of footfall within the exhibition.

Earlier finish, the event will close after the final speaker at circa 2.45pm, which allows you to leave in good time, as we appreciate you may have a long journey.

These changes are designed to create a more vibrant, interactive atmosphere and ensure you receive the visibility and engagement you expect from the event.

We are also aiming to attract more farm park members to the event with a targeted and exciting line up of speakers, personal invitations to new members to attend for the first time.  We are also hosting two fun evening events; culminating in the Annual NFAN Awards celebration, which always draws a huge crowd.

We know networking is equally important to the farm parks and the trade stands – this is an industry that works on personal relationships and is truly about our mission to Meet, Share and Grow.  We aim to build on previous successes and create an event that is a must attend for farm parks and suppliers – the one chance in the year to get together, reflect and look forward to developing business in 2026.

Tuesday 27th January

10am - 5pm: Trade stand build

7pm - 11pm: Welcome Evening at the ICC Wales

Wednesday 28th January

7.30am - 8.30am: Trade stand build

9am - 4.00pm: Day One of Conference and Trade Exhibition

4pm - 5pm: AGM

7pm - 12midnight: Awards Gala Dinner (welcome drink will be in the exhibition room)

Thursday 29th January

9am - 2.45pm: Day Two of Conference and Trade Exhibition

3pm - 6pm: Trade stand break down

Terms & Conditions 

By booking a trade stand, you agree to the following Terms & Conditions. 

Bookings are made when payment has been made – stands cannot be reserved awaiting payment.

Current NFAN Members stand price is £799 plus VAT per stand (membership must be current at the time of the event). The non-member price is £1,500 plus VAT per stand.

Please follow signs and stewards for Loading/unloading.  Please move your vehicle to the parking area as soon as you have unloaded/loaded.  Please see earlier note about booking discounted exhibitor parking – it must be booked in advance

Trade Stands

• Trade stands are floor SPACE ONLY, not shell scheme
• All stands measure 2m x 2m = 4m²
• Your stand space will be marked by tape on the floor and all your stand equipment must be inside the marked space.
• The Trade Exhibition is run simultaneously with Keynote Speakers and Workshops
• Welcome drinks for the Awards Gala Dinner will be hosted in the Trade Exhibition room. It is not necessary to be on your stand, but it is advised.
• Each Trade Stand includes 1x Exhibitor Ticket, including lunch and refreshments for the two days.  If you need additional tickets, please add them on to the form above.

Loading and Unloading

• There is limited loading/unloading space at ground level outside the Trade Exhibition hall.
• Once you have loaded/unloaded, please move your vehicle to the parking area to allow for others to load/unload.
• Stewards will be assisting flows and waiting times, please be respectful towards them.
• Loading door dimensions:  4.97m high x 4.4m wide

Internet Access
Complimentary internet will be available throughout. If you require hard-wired internet, please get in touch with us directly. There is additional charges for these services.

Prohibited
Stands are prohibited from selling alcoholic items or weapons of any kind. 

Risk Assessment & Insurance
All trade stands must submit a Risk Assessment and Public Liability Insurance certificate (min. £1m) by Friday 16th January, plus have a copy of each on their stand at the event.

Security
NFAN and ICC Wales cannot accept responsibility for any damage or loss of exhibitors' belongings or equipment. The venue is locked overnight and security is in place.

Liability
Exhibitors will be liable for any damage they cause to the venue.

Sub-Letting and Shared Stands
Exhibitors are strictly prohibited from sub-letting any part of their stand or sharing it with other businesses. The company that purchases the stand must be the sole exhibitor on that stand.

2026 NFAN Best Trade Stand Award
Every Trade Stand that is booked is automatically entered into the 2026 NFAN Best Trade Stand Award. All the trade stands will be assessed by our judging panel on Wed 28th Jan, with the winner and highly commended being announced at our Awards Gala Dinner on the evening Wed 28th Jan.

Cancellation Policy
Please contact us on 03333 448 987 or info@farmattractions.net if you need to withdraw in exceptional circumstances. Refunds are at the organiser's discretion and only if the stand can be re-let.
