Receiving Donations for Highest Awards
Congratulations, Girl Scout -- you're working on one of your Highest Awards, and you've received a monetary or in-kind donation to work on your project. Now what? To make sure that the donor is able to receive a letter from us for their taxes, you'll use this form to report the donation to Badgerland.
Use these guidelines when:
- You receive a monetary donation of cash or check or an in-kind donation specifically for your Highest Award project.
- The amount is under $250 AND the donor would like a letter for their yearly taxes.
- The amount is $250 or more
What to Do with Qualifying Donations:
1. Report & Notify the Council
- If you will be receiving a qualifying check or cash donation, submit this required form as soon as you are notified of the donation. This helps process the tax-deductible gift properly under our 501(c)(3) nonprofit status.
- Notifying us prior to the donation being issued ensures quicker processing and return of your portion of the funds upon receipt of the check from the donor.
2. If you receive a check under $250:
- WITH a tax letter requested: Instruct the donor to make the check out to Badgerland council and mail it directly to us at 4801 S. Biltmore Lane, Madison, WI 53718
- With NO tax letter requested: Instruct the donor to make the check out to the TROOP number. Troop leader deposits funds in troop checking account and then makes funds available to the Girl Scout for their project.
3. If you receive an in-kind donation with a value under $250:
- WITH a tax letter requested: Complete this form.
- With NO tax letter requested: No action required.
4. Checks Over $250 Must Be Made Out and Mailed to Badgerland Council
- Instruct the donor to make the check out to Badgerland Council and mail it directly to us at 4801 S. Biltmore Lane, Madison, WI 53718
- DO NOT deposit checks over $250 into your troop account.
5. If you receive an in-kind donation with a value over $250:

- The council will process the donation and mail the donation back to your troop.
- Please allow at least 3-4 weeks after receipt for processing and mailing of payment to your troop or service unit.
7. Record the Donation
- All donations must be documented as part of the Highest Awards final paperwork.
What to Do with Qualifying Donations as a Juliette Girl Scout:
1. Report & Notify the Council
- If you will be receiving any check, cash, or in-kind donation, submit this required form as soon as you are notified of the donation. This helps process the tax-deductible gift properly under our 501(c)(3) nonprofit status.
2. If you receive an in-kind donation, fill out the details below.
3. All Checks Must Be Made Out and Mailed to Badgerland Council
- Instruct the donor to make the check out to Badgerland Council and mail it directly to us at 4801 S. Biltmore Lane, Madison, WI 53718.
- DO NOT deposit cash or checks into a bank account.
4. Receiving Your Project Funds
- When you are ready to use the funds to pay an invoice or receive a reimbursement for items purchased, council will process the donation and document it in your Juliette Account. You will need to upload a copy of the invoice or receipt(s).

5. Record the Donation
- All donations must be documented as part of the Highest Award final paperwork.
