  • At Garden Gala XP, every experience is thoughtfully designed and prepared in advance. Because our events require intentional planning, custom sourcing, and coordination, the following policies apply to all bookings.


    Weather-Based Business Advisory
    Garden Gala XP is an outdoor, weather-dependent experience. By booking, you acknowledge that weather conditions are an inherent part of the experience.

    Refunds are not issued due to weather.
    Weather-related accommodations are handled through our rescheduling policy only. Guests are encouraged to consider seasonal conditions and personal comfort levels before reserving an experience.


    1. Reservation Deposit
    A 25% non-refundable deposit is required to secure your booking. This deposit covers planning, preparation, and date reservation costs and is non-refundable under all circumstances, including cancellation, weather, or failure to reschedule.


    2. Cancellations & Refunds
    More than 7 calendar days before your scheduled event (by 11:59 PM local time):
    You may cancel and receive a refund of payments received excluding the non-refundable deposit and the cost of any custom or special-ordered items already purchased or prepared.
    Within 7 calendar days of your scheduled event:
    The deposit is retained. Any custom or special-ordered item costs will be deducted from any remaining balance eligible for refund. No refunds are guaranteed within this period.

    3. Weather & Rescheduling Policy
    If weather conditions are deemed unsuitable for the experience, including rain, high winds, extreme temperatures, or unsafe conditions, Garden Gala XP reserves sole discretion in determining whether a reschedule is necessary.

    One complimentary reschedule may be offered within 90 days of the original event date, subject to availability.
    Availability is not guaranteed, and inability to secure a new date does not constitute grounds for a refund.
    If you choose not to reschedule, the standard cancellation policy applies. The deposit remains non-refundable.

    4. Custom Orders & Special Arrangements
    Custom or special-ordered items include, but are not limited to, décor, florals, supplies, rentals, or materials purchased or prepared specifically for your event.
    Once ordered or prepared, these items are non-refundable, regardless of cancellation, weather, or rescheduling. Determination of custom items is at the discretion of Garden Gala XP.


    5. Force Majeure
    Garden Gala XP is not responsible for cancellations or modifications due to circumstances beyond our control, including but not limited to acts of God, venue restrictions, vendor availability, government regulations, or unforeseen emergencies. In such cases, rescheduling may be offered at our discretion; refunds are not guaranteed.


    6. Refund Processing
    Approved refunds will be processed within 5–7 business days and returned to the original payment method used at booking.


    7. Agreement & Acknowledgment
    By submitting payment, you acknowledge that you have read, understood, and agreed to this Cancellation, Weather, and Rescheduling Policy.
