What you need to know about applying for a stall.

We offer two types of stall

FIELD Stalls are located on the open field at Manor Park. You are reserving a marked plot and you will need to provide everything you require:

FULL size: 4m wide x 5m deep (13ft 2in x 16ft 4in)
The "wide" 4m side is the one that will face the public and be the front of your stall.

Pricing is according to type of organisation and falls into three categories:

Commercial Food Stalls and Fairground-type Amusement stalls. This includes stalls selling food for consumption and the Fair.
Business, Products or Services
Charity, School or Youth Group Charity stallholders will need to provide their charity number. Those collecting on behalf of a charity, will be required to provide a "Letter of Permission" from their chosen charity.

MARQUEE Stalls are located in the large marquee erected on the day. We will provide a 1.8m wide x 0.75m deep (6ft x 2.5ftm) table and two chairs. In addition, you can order an electricity feed to your stall. Two tables can be booked at a reduced cost and these will be located adjacent to each other unless you request otherwise.

Charity stallholders will need to provide their charity number. Those collecting on behalf of a charity will be required to provide a "Letter of Permission" from their chosen charity.

Special Requirements or Preferred Plot Location

These cannot be changed on the day, so make sure with your organiser. We endeavour to accommodate all requests but actual plot location is at the Committee's discretion

If you have a FIELD stall, will you be bringing a generator or using your vehicle's engine for power?

NONE = You do not need a generator; STANDALONE = You will be bringing a separate generator; USING VEHICLE = You will be using your vehicle as a generator

If you have a FIELD stall, will you park you car within the stall plot area or use our free on-site car park?

CAR PARK = you will use the onsite carpark, away from your stall; ON PLOT = You will park on your plot as there is sufficient room; OFFSITE = You will not park on the Fair site at all (See Rule 3.4)

If you will be selling food for sale or consumption at the Fair:

This includes food items produced and sold commercially

We require two things from you. These are often confused, so to be clear:

Food Hygiene Certificate (or Food Safety Certificate), usually designated by level, such as the "Level 2 Food Hygiene and Safety Certificate" for catering, retail, or manufacturing. This must be in the name of someone who will be on the stall on Fair day.
A link to your Food Hygiene Rating (or sometimes referred to as the Food Hygiene Rating certificate/certificate of rating or "Scores on the Doors"), issued under the Food Standards Agency's (FSA) Food Hygiene Rating Scheme. These are provided by local authorities following an inspection and will have a rating between 0 and 5. The link must be from this government website: https://ratings.food.gov.uk/
If you do not yet have a rating, because you have not been inspected, we require a letter commonly called a Food Business Registration Acknowledgement Letter or Confirmation of Registration Letter. This confirms you have registered with the local authority. If this applies to you, use the file upload button near the end of this application to upload a copy of your letter.

Other stallholders providing food:

This includes products produced in a non-commercial kitchen on an ocassional basis (eg homemade cakes)

Name of the item (eg "Fruit cake")
Provide a full ingredients list in descending order by weight, with the 14 regulated allergens clearly emphasised (e.g. BOLD or capitals) within that list.

We know you have read the rules but, in particular, please select from the dropdown boxes below to confirm you have seen these five key points in the Fair Rules:

Stallholders must not sell alcohol unless express permission is given*

Rule 1.4 Stallholders may not sell alcohol unless express permission is granted, in writing, by the organisers. Please note we have already appointed the alcohol concessions for 2024.

I have considered your advice about doing a Risk Assessment and having Public Liability Insurance and have acted accordingly.*

Rule 1.16: Risk Assessment: We strongly advise that stallholders carry out a Risk Assessment relevant to their intended activities. This is not red tape. It means that you have thought through what could go wrong and acted to prevent it doing so. Guidance on risk assessment is given on the Government’s Health and Safety Executive website Rule 1.17: Public Liability Insurance: It is highly recommended that you have Public Liability Insurance and conduct a Risk Assessment for your stall activities.

Stallholders must not arrive before 08.30 on the day*

Rule 1.13 To ensure Field and Marquee preparations are completed, PLEASE DO NOT ARRIVE BEFORE 08:30 ON SATURDAY.

Stallholders are not permitted to move vehicles on the Fair site between 11.00 and 17.00 on the day*

Rule 3.4: Vehicle Removal: All vehicles must be off the field by 11:00. Stallholder parking isavailable at the Russell Road end of the field and cannot be accessed until after the Faircloses at 17:00.

Stallholders must vacate the Fairgound by 1900 on the day*

Rules 1.14: Fair Closing Time and Vacation of Site: The Fair will close to the public at 1700. Youmust fully vacate the grounds by 1900.

All Fairground type and similar amusement stalls must clearly display the ‘Price for a Go’ on a sign no smaller than A3*

Rule 3.3: Amusement Stall Signage: If you are operating a fairground-style stall, you mustdisplay the price for each go on a sign that is at least A3 size.
