Transfer of funds
The funding will be transferred after the activity has taken place. No prefunding will be provided. Once the activity report (mentioned below) is approved by our office, ISME will send you a reimbursement form for your expenses. Please return this completed reimbursement form together with the relevant receipts for your flight, visa, and accommodation expenses
Changes
- Please notify the ISME Office as soon as possible if any aspect of your activity changes. For example, if the dates of your activity have been postponed, delayed or cancelled.
- Please notify ISME if you are not flying directly to your activity, for example, when you are combining it with a personal trip or other work-related travel.
- If there are significant changes to your activity, other than described in your application, please notify the ISME Office as soon as possible. This can include changes to the duration or location of your activity. This may affect the amount of funding granted to you.
- If you do not inform ISME of changes to your activity in a timely manner, ISME may decide to withhold funding.
Activity report
A digital (PDF) report about your activity must be sent to the ISME Office within two months after the activity has taken place. ISME will post this report on the ISME website for the convenience of ISME members. The report should therefore contain a clear overview of your activity, and must also describe what the ISME funding was used for. When using photo(s) in the report, please make sure that you have written permission from the people on the photo for publication. Please also describe how you promoted and highlighted ISME during your activity.
Social media
We would like you to post at least two social media posts during your activity. It is recommended to use LinkedIn which will allow you to tag the institution and the people you will be working with. ISME will share these posts. This has the advantage that people may see what you are working on and decide to connect with you. Examples of possible posts (please feel free to change the wording):
- I have just arrived at (@institution name) to collaborate with (@host name) to work on (add research topic).
- A big thank you to (@names of people you want to thank) for (add reasons). I had a (fill in blank) time while at (@institution name). Also thank you to @ISME for the funding to make this (fill in blank) possible.
- Make sure to always add a photo of yourself to the post. For example of you in the lab, or in front of the institute’s building, meeting with your host, or a famous site in the city you are visiting.
- Always tag ISME on LinkedIn, Twitter/X, and Bluesky as we would like to share your post.
News items
Optional: Please write a news item for the ISME website about your activity. Note that you are writing for an audience of microbial ecologists, therefore they will be interested in the research you undertook and any interesting methodology used and research findings. This might be an interesting way of raising your profile in the community, which may be beneficial when looking for a position in the future. The news item will be shared on social media and the ISME newsletter.
The news item should be approximately 300 words. A title of max 50 characters (incl. spaces), introduction of 200 characters (incl. spaces) and the body of text. Also add a photo of either yourself, your work (microscopy) or you at work.
Only when the above conditions are met will ISME transfer the funds. This means you will receive funding after your activity. Make sure to keep receipts and boarding passes which need to be added to the reimbursement form.
