The Stewarts Creek High School Band Program will host the 44th Annual Tennessee Division II State Marching Band Championship on Saturday, November 1, 2025.
A national panel of judges and thousands of visitors, comprised of band students from Tennessee high schools, plus directors, staff, families and supporters from across the state, will be on the campus of Stewarts Creek, in Smyrna, for this prestigious event.
If your business or organization is interested in becoming an exhibitor or vendor at this event, the information contained in this application outlines the requirements and costs to participate.
In order to be considered, this application must be received on or before October 10, 2025. Each application is reviewed when it is received and acceptance is subject to availability. Only fully completed applications will be considered.
Application Terms and Conditions
1. This application is published by Stewarts Creek High School Music Boosters, Inc., hereafter "Host". The signatory is an authorized representative of the business entity filing the application, hereafter "Applicant".
2. An accepted application is a commitment to be present and perform the activity described herein. An accepted application constitutes agreement between Applicant and Host. No refunds will be made for cancellation by the applicant.
3. Applicant is restricted to the operating area assigned by Host. Applicants operating outside of that designated space will be asked to leave the premises.
4. Applicant is prohibited from parking passenger vehicles, or tow-vehicles inside the sports complex. Parking space will be designated by Host. Applicants parking outside the designated area will be asked to leave the premises.
5. Applicant is required to be fully set up and available to receive customers / guests at a reasonable time that is pre-determined and communicated well in advance by the Host.
6. Applicant must provide its own display booths, power, internet, tent(s), weights to anchor tents, racks, tables, and chairs. An Applicant is solely responsible for the assembly and disassembly of all items related to its operation, including preparation for the possibility of inclement weather conditions such as rain or wind.
7. Applicant is required to staff its space according to the Host’s schedule, unless prior arrangements have been made.
8. Applicant is solely responsible for all setup and security needs for their booths. Host will not be responsible for any loss or damage and the Applicant will indemnify and hold Host harmless for any loss or damage to any of the Applicant’s property or any damage or loss sustained by a third party due to installation or set-up by the Applicant.
9. Applicant should supply its own, adequate source of portable power as an emergency backup. Host is not responsible for financial loss stemming from unavailablity of electrical power.
10. The sale of alcohol, tobacco items, smoking accessories, drug paraphernalia, sexually explicit or suggestive items, firearms, fireworks, knives, cork screws or glass is strictly prohibited.
11. Applicant may not utilize music, loud speakers, or megaphone devices.
12. All requests or special needs must be made in writing and received with the completed application. All efforts will be made to honor such requests, however, Host cannot guarantee that all requests will be granted.
13. Applicant is responsible for reporting its own applicable taxes including income and state and local sales tax.
14. Applicants not selling concessions or merchandise agree to pay an exhibit fee of $200.00 per 10 x10 area to help cover utility and ground clean-up costs.
15. If selling, Applicant agrees to donate a percentage of gross sales to the Host.
16. Applicant is responsible for abiding by all applicable laws, including but not limited to the requirement for any licenses and permits governing the Applicant's presence and activities at the event.
17. Applicant agrees to indemnify, defend, and hold harmless Stewarts Creek High School Music Boosters, Inc. and Rutherford County Schools from any and all claims, demands, loss or liability of every nature, for injuries to persons and/or personal property, occurring in or about or in any way connected with this Application or Agreement, to the extent such claims, demands, loss or liability arise out of the negligence or failure of the Applicant, its officers, agents, employees, representatives, vendors, subcontractors, assigns, licensees, and/or invitees. In the event of any claims, demands, loss or liability arising under this section, the Applicant's responsibility shall include the payment of all reasonable attorney’s fees and all costs of defense and/or litigation, mediation, arbitration, or similar related claims processes.
18. This application does not guarantee access. Access is subject to Host's approval. Applicant agrees to pay hosts all exhbit fees prior to the event day, or if selling merchandise or concessions, applicant agrees to pay hosts agreed upon percentage at the end of the event, or at a time agreed upon by the host.
19. Applicant agrees all exhibits and riders referencing this application are subject to the provisions herein and are void unless / until this application is submitted and approved accordingly.
