    As returnng stallholders and members of the Polish Community, we welcome you warmly to join us for the 2026 Wellington Polish Christmas Market which takes place on:

    We are again offering invited 2025 stallholders and Polish community members who register and pay before Monday 12 October 2026 the first option for stall sites and site fees based on 2025 site rates. 

    Additional services like power, food & drink levies are based on 2026 costs. 

    If you would like to be located in or near the same position as your 2025 site, please let us know. We will do our best to locate you as close as possible to the same position.  Due to ongoing reconfiguration of our spaces, this may not be possible for all stalls. 

  • Little Poland at the Newtown Festival Sunday 7 March 2027
     
    The Newtown Festival is again offering a 50% discount on Newtown Festival site fees to qualifying Wellington Polish Christmas Market stallholders who are eligible to take part in Little Poland. Normal Newtown Festival fees will continue apply for additional services like power, liquor licences, food & drink levies, and table hire.
     
    To qualify stallholders must either be from the Polish community or selling Polish or Polish-themed goods.  Newtown Festival will check with us to ensure applicants meet the criteria for Little Poland. 

    If you would like a space in Little Poland, you must apply directly via the Newtown Festival no later than 30 October 2026.

    Stall Types and Fees
  • Spaces are currently available:

    Inside the Dom Polski 

    Indoor stalls are in our upstairs hall. There is no lift access to this area. These stalls come with a table to fit the width of the stall and two chairs.

    No cooking is allowed inside the Dom Polski. If you will be selling any hot food, you will need to book an outdoor space. 

    Limited 10A power supplies are available and must be booked when you register. 

    Please note that the indoor spaces are limited and sell out very quickly. After demand from stallholders who booked indoor stall in 2025 and prior years has been met, any remaining stall spaces will be allocated based on seniority (how many years stalls have been participating at the Christmas Market and/or wait-listed for indoor stall spaces).  Polish stalls will also be prioritised.  We will also consider fit relative to other existing stalls. 

    Outdoor Spaces

    Our outdoor stalls are located next to the Dom Polski in Rhodes.  This year will not offer stalls , along Riddiford or in Arney Streets. 

    Stall sites are tightly packed.  You must book enough space to fit your entire truck or stall, including items such as tow bars, generators and any space you need to rope off to keep heat sources out of reach of the public.  We are not able to provide additional space on the day and if you do not allow enough space, you may not be able to participate.

    Furnishings and gazebos are not provided for these spaces. 

    Power to these sites must be supplied by generator.  If you are not bringing your own, please book your power supply needs when you register. 

     

    Stall Site Fees:

    Dom Polski Hall (includes table and 2 chairs). 

    1.5m wide x 1.5m deep: $95 

    2.4 m wide X 1.5m deep: $145

    Note: the hall is upstairs with no lift access: 

    Rhodes, Riddiford or Arney Streets: (Outdoor stalls, site only, no furniture provided):

    3.0m wide X 3.0m deep: $80

    6.0m wide x 3.0m deep: $160

     

    Additional Services:

    Food and drink levy:

    • All stalls selling food or drink: $100
    • Stalls selling only pre-packaged food or drink not to be consumed at the market (eg jams, sauces) without on site tastings: $60

    Stallholder Parking:

    All $15 per vehicle.  Trailers require a separate parking place.  Spaces will be tightly parked and may not be able to be removed until the event is over and the roads have been reopened.

                    • Little Poland is a Polish themed enclave within the Newtown Festival.  It attracts over 10,000 visitors in the course of the day.  Little Poland is located in Arney Street, just around the block from the Dom Polski.  All stalls are outdoors.

                      Stallholders from our community and others selling Polish or Polish-themed goods and who who apply for pre-approval for Little Poland when they apply for a Wellington Polish Christmas Market stall will, subject to availability, qualify for a 50% discount on Newtown Festival stall site fees. All fees will be invoiced by the Newtown Festival. Supplementary services (power, food levies etc) will be invoiced at standard rates. 

                      Our thanks go to the team at the Newtown Festival for their support. 

                      To take up this offer:

                      • Register your interest with us below so that we can pre-approve your stall to participate in Little Poland.
                      • Apply to the Newtown Festival for a stall in the usual way no later than 30 October 2026. 

                      In your Newtown Festival application, indicate whether you have been pre-approved to take part in Little Poland.  The Newtown Festival organisers will check your status with us.

                      Required for stalls operated by persons without a food operator's certificate or other territorial authority licence.
                    • If you do not hold a food operator's certificate or other territorial authority licence entitling you to sell the food and drink described above, Wellington City Council (WCC) requires us to gather the following information about your stall as part of the registration of our food event. We will also provide the WCC with the contact details you have provided above.

                    • Please read the following text carefully:

                      Pre-event preparation and set up

                      1. WCC prefers all food to be prepared at registered food premises, such as restaurants and other food shops. Preparation of food in a domestic kitchen (such as your own home) is not recommended.

                      2. Food must be purchased and prepared as close as possible to the time of the event. If prepared the night before, all readily perishable food must be refrigerated at a temperature of 5°C or below.

                      3. Food must be transported and stored on site in covered containers and cold-stored in a refrigerator or chilly bin at 5°C or below, or hot-stored at 60°C or above. It is recommended that you use a thermometer to check the temperature of the food to ensure it meets those requirements.

                      4. For public safety, no cooking unit is allowed to face the public or be accessible to the public. Stallholders using open fires (eg BBQs) must have access to a fire extinguisher or fire blanket.

                      During the event

                      5. Preparation of food at the event, as distinct from cooking food, must be kept to a minimum.

                      6. People handling food must wear appropriate protective clothing to protect the food from contamination by their clothes and/or hair.

                      7. People handling food must regularly wash their hands. The following are to be available at the food stall:• supply running water, collection bucket for dirty water, liquid soap and paper towels and a good supply of protective gloves.

                      8. People preparing and cooking food should not handle money.

                      9. Containers of food must be covered to prevent any contamination by dust, flies, birds, animals, etc and uncovered only for the minimum amount of time needed for cooking and sale.

                      10. Cooked food, or vegetables eaten raw (lettuce, grated carrot etc) must not come into contact with raw meats or any surfaces or utensils used to prepare raw meats.

                      11. There is no preparation of raw meats in the stall area. This specifically includes cutting of the meat.

                      12. Ensure you have enough cooking utensils (tongs, spoons, knives etc). Bring more than you think you may need so that you have spares if some get contaminated, dropped onto the ground, etc.

                      13. Ensure all hot food is placed in a food warmer after cooking, or served immediately. Keep readily perishable food hot (at or above 60°C) or cold (at or below 5°C). You must use a thermometer to check the temperature of hot food.

                      14. Ensure you have enough ice to keep food cold in chilly bins, etc, throughout the event.

                      15. Only single-service containers are permitted for public use (disposable plates, cups, knives, forks, etc). Customers may bring their own containers for personal use.

                      16. Stallholders are required to have ready access to toilets, and to running water for hand-washing and cleaning utensils.

                      17. All rubbish must be kept in bins with plastic liners. Stall waste will not be accepted at event waste stations and should be removed from the site by stallholders at the end of the day.  .

                      Food may only be packaged in products which are compostable according to the Wellington City Council Event Packaging Guidelines.  A copy of the guidelines will be circulated to all food vendors before the event.

                      What you need to know for the day

                       

                      Stall Presentation

                      1. You are responsible for making sure your stall is attractively presented throughout the market.  This includes providing suitable coverings to ensure table tops and items stored underneath your tables are concealed and seasonal decorations to support the atmosphere of the market.  

                      2. No blue tack, pins, nails, tape or staples may be used on surfaces of the Dom Polski, or neighbouring properties including fences.  

                      3. Outdoor stallholders must hang the Christmas garlands provided on their gazebos. 

                       
                      Stock

                      4. We decide whether to accept your application and where to put your stall based in part on your description of the goods you wish to sell. It is important that you describe them fully and accurately.  Changes after application may only be made with our agreement. You may not be allowed to sell unapproved goods on the day.


                      Bad weather

                      5. The market will proceed on Saturday 14 November regardless of weather conditions. The event will only be cancelled if weather conditions make it unsafe to proceed. 

                      6. You assume any liability (including cancelation of the market) relating to adverse weather conditions, regardless of whether or not there is a rain day.

                      Health and Safety

                      7. You must ensure that your stall does not present a risk to the safety of the public or people working in it.  This includes ensuring that:

                      • all equipment is safely anchored to withstand wind. For gazebos this means at least 20kg of anchor weight per leg.  Stallholders who do not have weights for their gazebos will not be allowed to put them up. 
                      • all cooking equipment or any other heat sources are kept beyond reach of members of the public.
                      • you attend immediately to any spill which creates a hazard to you or others.
                         

                      On the day

                      8. You agree to follow the instructions of market officials at all times. If you don't, you may be asked to leave the market.

                      9. Pack in starts at 8am for food trucks, trailers and vans only and 9am for all other stalls on Rhodes St and the Dom Polski.

                      10. All vehicles (except food trucks) must be clear of the site by 10am. 

                      11. Your stall must be ready by 10:45 for market opening at 11am. 

                      12. You must be present for the duration of the market (until 6pm).

                      13. Pack up is not permitted during the market but must be completed as soon as possible after the market closes at 6pm. 

                      14. Details about vehicle access including vehicle passes for pack in and pack out will be provided prior to the market via your preferred email address. Vehicles must be clear of the market site during market hours and may not return until market officials declare that vehicles may enter the site. 

                      15. You must remove all equipment, materials, stock and refuse associated with your stall from the market site when you leave. Bins provided are for the use of diners only.

                      16. Your property on the festival site is at your own risk at all times.  We cannot accept liability for any loss, theft or damage to your property.


                      Stalls selling products intended for human consumption

                      17. Only food stalls selling food to be taken home may trade inside the Dom Polski and no food may be heated or cooked at stalls located inside the Dom Polski.

                      18. You have read and comply with the requirements of the WCC food stallholder information set out above.

                      19. You are required to have a hand-wash station as part of your stall.

                      20. If you are using heat to cook or warm food, you must have a dry powder fire extinguisher, regardless of the heat source you use.

                      21. Foodstalls, including those offering food and drink samples generate most of the market's refuse. The Food and Drink levy contributes to some of the cost of disposing of that refuse.  You agree to comply with the requirements set out below under the heading "environment".

                      22. If you or your team fail to comply with these requirements, you may be required to close your stall or leave the market.


                      Environment: Waste and Packaging

                      23. Wellington Polish Christmas Market has a zero waste target.  You agree to encourage visitors to use the recycling and composting stations located throughout the market site.

                      24. You may supply only paper and cellophane bags, or cotton multi-use bags. Used plastic packaging like bubble wrap that goods are shipped in may be reused to wrap products to be taken away from the market site.

                      25. Stallholders selling drinks agree to promote the use of keep cups or other reuseable vessels.

                      26. Food stalls must use 100% compostable containers, plates, cups, cutlery and napkins for their food and beverages. A Please note that some packaging labelled "compostable" by the maker, is not compostable in Wellington and does not count as compostable for the purposes of this clause.  PDF guide showing WCC approved options will be sent out to all stallholders offering food and drink on their stalls. All options in this guide will be accepted by us.

                      27. Recyclable items such as glass bottles and cans may be used only if you rinse them before adding to the recycling bins (this is not necessary for watery drinks like soft drinks and beer which leave little residue).

                      28. Waste stations and recepticles provided by us are for visitor use only.  You will remove all waste from your stall. 


                      Power

                      28. We have a limited capacity to provide power to stalls. We will not be able to provide power if you have not applied for it.  Applications for power will be prioritised based on timing of application/payment and need.  The number of 10A supplies you need will be determined by the kind of appliances you will be using.  As a guide, appliances like electric frying pans, waffle irons and similar need one 10A supply each. 

                       30. Those requiring power must bring their own extension cords (up to 20 meters without joins - requirements will be confirmed after stall confirmation) multiboxes etc.

                      31. All electrical equipment brought into the market including appliances, lights, cords and multiboxes must have current Portable Appliance Test (PAT) tags.

                      32.Stallholders must provide their own surge protection for sensitive equipment. The Wellington Polish Christmas market cannot accept any liability for damage resulting from power surges.

                      33. Power may not be available before 11am and will be disconnected at 6pm to facilitate packdown. Stallholders needing to keep food cold or hot before 11am or after 6pm should make other arrangements for the safe storage of food.

                      34. Noisy generators are not allowed. If your generator exceeds 60dB you will not be allowed to run it in the market.
                       

                      Disruption due to Infectious Disease

                      35. Stallholders agree to comply with any requirements (for example including, but not limited to, the wearing of face masks and provision of hand sanitiser) that may be required by the organisers of the Wellington Polish Christmas Market or authorities as a measure to reduce the risk of transmitting the infectious diseases.

                      36. The Wellington Polish Christmas Market may be cancelled if we consider, at our discretion, that holding the market creates too great a risk of spreading the disease, or that restrictions imposed by the authorities at any alert level makes it impractical to hold the event. 

                      Cancellation

                      37. In the event of cancellation by the event organiser due to infectious disease, weather conditions of for any other reason, stall fees,  fees for power supply, food levy or other services will be refunded to the extent that we have not already incurred non-refundable costs associated with the event.

                      38. Stallholder fees are not refundable in the event of cancellation by the stallholder.

                      Public Liability

                      39. You are liable for any damage caused by you or in the operation of your stall to any other person or their property, including, but not limited to, the Polish Association in New Zealand Inc.
