    Troop Fall Manager Volunteer Position Description
  • Purpose: Manage and coordinate the Girl Scout Fall Product Program within a specific troop. This position can be held by more than one person based on troop needs. Service Commitment: The Troop volunteers, along with the regional Membership and Product Program & Finance Specialists, will recruit the Troop Fall Manager for a one-year renewable term in which s/he can expect to provide monthly support from September through December. Supported by: The Troop Fall Manager is supported by and accountable to the Troop, Community Fall Manager(s), and the regional Product Program and Finance Specialist. Responsibilities: Become/remain a registered member of Girl Scouts of the USA (GSUSA Successfully complete all required documentation and screenings, including a criminal background check, according to GSMWLP's policy. Agree to be guided in all actions by the Girl Scout Mission, Promise and Law and to comply with the policies of GSMWLP and GSUSA. Become/remain familiar with Girl Scout resources, Volunteer Essentials, and Safety Activity Checkpoints, especially those pertaining to policies for Girl Scout Product Programs. Specifics found in the Fall Product Program Guide. Attend product program learning session with Council or view recording in gsLearn. Receive and sort product materials and distribute them to families. Host a parent/girl meeting which provides the opportunity to plan, set goals, and learn about safety, product information, and how the ordering/delivery process works. Share the Five Skills for Girls and their role in achieving both personal and troop goals. Ensure all Girl Scouts participating in Product Programs parent/guardian submit the online permission form. Ensure that the troop has a troop bank account. Collect order forms, verify individual totals, complete order entry in M2OS, including girl rewards by the designated date(s Maintain responsibility for all orders placed in M2OS and products received. Count and sign for products received. Maintain accurate and complete records of products and money paid for all troop members. Print reports for receipts for products and money transferred between the troop and families. Distribute the sorted and counted orders to families within 24 hours. Adults count and sign for products received. Complete the 8232 Outstanding Fall Money Report with relevant documentation for families who have an outstanding balance by deadline. Failure to do so will result in this role being held responsible for any missing funds. Complete 8321 NSF Form for any checks returned as non-sufficient, submissions beyond 60 days are not guaranteed for reimbursement to the troop. Receive rewards from CFM, verify quantities in a timely manner, and report missing items immediately. Delays may result in inability to obtain replacement items. Sort and distribute rewards to girls: recognition items and Fall Bucks certificates. Maintain all Fall Product Program records for a minimum of three full years, plan for appropriate disposal of confidential information. Maintain GSMWLP confidentiality standards. Meet all deadlines as required for the smooth operation of the product program. Provide appropriate reports as required at the end of the season, including program evaluation.
