SGVI Race Day Vendor Rules & Requirements
1. Documentation
Accepted vendors must submit a valid Business License and Certificate of Insurance.
2. Tent Specifications
Vendor spaces are 10’ x 10’. You must remain within your assigned space at all times.
3. Fees
- Tent Space: $350.00
- Mobile (ice cream/snow cones/popcorn/other snacks): $300.00
- Bungalow (stations beneath the Grandstand): $300.00 for food with no preparation required and no open flame; additional bungalow space is $100.00 per fee item selected
- Mobile Space: $600.00

4. Application Deadline
Completed applications are due no later than 10 days before race day.
5. Selection Process
All applications will be reviewed. Accepted applicants will be notified by phone and email within 48 hours of submission.
6. Payment
Payment for accepted applications is due 5 days before race day. Payments may be made by cash or business check only. Personal checks are not accepted. NO REFUNDS for cancellation less than 7 days prior to race day. Funds cannot be transferred to a future race day. Returned check fee: $150
7. Required Vendor Documents
Vendors handling or selling food must provide:
- A valid Health Card
- A Health Permit for prepared foods
Vendors selling non-consumable items must provide a valid business license or permit.
8. Food Preparation Guidelines
Coal pots and kerosene burners are not allowed. Propane burners may be used only if the vendor also has:
- A signed liability waiver
- A fire extinguisher on-site
- Compliance with VI Fire Department regulations
- A passed safety inspection
9. Alcohol & Beverage Policy
Only licensed liquor concessions may sell alcoholic beverages. Vendors may not sell alcohol. Glass bottles are not allowed; beverages must be served in plastic containers.
10. Set-Up & Breakdown Schedule
Set-up times are Saturday before race day from 8:00 AM to 8:00 PM and the day before race day from 6:00 AM to 9:00 AM on race day. All extra vendor vehicles must be removed by 10:00 AM. One vehicle per vendor is allowed on property. Security will assign parking. License plate information must be submitted one week before race day. Breakdown must be completed by 10:00 PM on race day, and vendors are responsible for cleanup.
11. Wristbands
Vendor fees include three complimentary wristbands. Additional individuals must purchase a ticket at the gate.
12. Attire
Professional attire is required.
13. Compliance
Vendors must follow their application exactly. Any undeclared items sold on race day may result in penalty fees of $150 per item and may affect eligibility for future events.
