Each pass is strictly limited to a maximum of 10 clients total, who must be submitted on a confirmed list seven days before the start of the show. No exceptions.
Warning: Violating client limits or footage distribution rules will result in immediate revocation of your credentials, a ban from all events next season, and potential legal action.
Private Photography Pass Rules & Regulations
Submission Deadline: A complete, finalized list of clients you will be filming MUST be emailed to management by September 5th, 2026.
No On-Site Solicitation: Private photographers may document current, pre-registered clients ONLY. You are not permitted to solicit new clients or sell on-demand clips at the event.
Client Classifications: Clients must be explicitly listed as individual riders or brands:
You must clarify the exact type of client (e.g., individual competitor, equestrian brand).
Media access/deliverables must only go to the primary entity paying for the service (e.g., the barn owner/trainer), not to every student or associated rider, unless they are registered separately.
Restricted Arena & Course Access: Private videographers are strictly prohibited from entering the competition arenas or warmup rings.
Sharing & Reposting: Any footage posted by individuals outside of the verified client list must be shared strictly via social media reposts (e.g., Instagram Collabs, Shares) or via direct website embeds. Direct downloading and re-uploading of raw video files by unlisted parties is prohibited.
Associated Riders: Any student, working student, or sponsored rider who wants their own direct access to video clips/edits must be listed as a separate client and will count toward your total client limit. A comprehensive list of all riders you plan to film under a brand or barn umbrella must be provided upfront.
Payment & Enforcement
Revocation Policy: Any private photographer found providing video clips, raw footage, or reels outside of these guidelines will be immediately removed from the venue and will forfeit their media privileges for the following year.
Invoicing & Payment: A fee of $500 is due for each media credential issued. Management will email a vendor invoice upon receipt of your media application. Payment must be received in full seven (7) days prior to the start of the event. No exceptions.
