  • Learning Guidelines and Expectations for Students, Parents/Guardians, and Guests 

    Welcome to the After-School All-Stars (ASAS) community!

    The All-Star community of staff, students, and parents all need be aware of and model behaviors and attitudes that keep us focused on learning and connecting. The following All-Stars Learning Code of Conduct is a reference for all members of the ASAS community.

    Take a moment to read through the following code of conduct for staff (or students/parent/guardians/external ASAS guests). Further information and detailed policies and procedures may be found in the ASAS Learning Operations Manual. The goal of this guide is to:

    1. Inform you
    2. Prepare you
    3. Protect you
    4. Keep you safe & healthy!

    SAFE & HEALTHY

    As an organization, we have established and continuously improve policies, procedures, and practices that equip staff to provide a positive learning environment, while keeping youth safe and families informed. The ASAS Safe and Healthy initiative was designed to establish and maintain socially, emotionally, and physically safe schools and classrooms for ASAS students throughout the school year.

    We have developed guidelines and expectations for staff, students, parents, and volunteers to accept and adhere to.

    As an organization, we believe it takes a community of positive adults to help youth thrive in any social and academic environment. As After-School All-Stars transitions to a virtual learning environment, we are asking the community of parents, guardians, ASAS staff, community partners, and other stakeholders to uphold a safe and healthy culture and climate by understanding and adhering to the following expectations:

    • ASAS will develop “Learning Plans” for parents and caregivers so they know what to expect and are comfortable with policies set by the organization. ASAS will establish roles and responsibilities of students, teachers, and parents, guidelines for online learning, attendance goals, interaction expectations, content and timing, and other specifics of the learning experience.

    • ASAS will look to communicate with parents and caregivers involved by educating them on how ASAS staff and their children will be using selected online platforms.

    • ASAS learning classes and activities will align with our school and district partners’ policies for online learning, including the use of “live” virtual instruction.

    • ASAS staff will be dressed in required ASAS uniforms, and students should be dressed appropriately.

    • Remind students that school/classroom rules apply to a classroom just as they do the physical classroom. No taking or posting images/video of classmates and instructors to the web or to Social Media without permission.

    Please review the following Codes of Conduct carefully. More in-depth explanations can be found in our Programming Operations Manual. Initial each item, sign, and date, and return to the ASAS contact listed for your city and/or school site. For additional questions, please contact your designated ASAS program leadership staff for further information or to get help completing and signing the code of conduct that applies to you.

    Thank you once again for supporting a positive, safe, and healthy virtual learning experience for staff and students of the After-School All-Stars program.

  • Student Code of Conduct

    ASAS participants are expected to practice personal safety and respect for others as they learn and connect with the All-Star community of teachers and students.  It is important for parents/guardians to review these expectations with their children to help youth own the responsibility of being good digital citizens during this virtual learning experience. After-School All-Stars considers our parents and guardians as partners in helping youth acquire positive online habits and behaviors. 

    ASAS students are required to abide by the conducts listed below. Youth who do not follow these expectations may be subject to being excused from class on any given day, or depending on the severity of the behavior, may be permanently separated from the program. Parents/Guardians are asked to discuss this code of conduct and expectations with their student.

    • ASAS students should be dressed appropriately. It is encouraged that they dress as if they were attending school.
    • ASAS students must respect the learning environment. ASAS students should use respectful language at all times (both spoken and written). Profanity, hate speech, derogatory remarks, name-calling, and other such behavior will not be tolerated. ASAS students should not post anything that could hurt others or have a negative effect such as images, someone else’s social media postings, or inappropriate chat messages.
    • Cyber-bullying (e.g., name-calling, sending mean, intimidating, or threatening messages via chat or text, sending anonymous messages) is not acceptable and will not be tolerated. Students who are perpetrators of bullying behavior will be asked to leave the day’s class or may be suspended from the ASAS program.
    • ASAS students should not give out personal information (e.g., address, cell phone number, email address, full name) to anyone online while in ASAS virtual programming.
    • ASAS students should never arrange to meet in person with ASAS staff or any other adult interacting with them during their virtual learning classes/activities.
    • ASAS students should protect their virtual learning passwords such as Zoom or Google Classroom. They should not give them to anyone outside of parents/guardians.
    • ASAS students should develop good digital citizenship skills when being online. They should be careful about opening ads or e-mail from unfamiliar addresses.
    • ASAS encourages students to join virtual classes with video; if uncomfortable with sharing video, please reach out to programs staff prior to class to confirm your identity.
    • Students may eat on camera as long as it does not distract from the virtual learning.
    • Students must respect others’ voices when others are sharing/talking.
    • Students should feel free to move around and utilize flexible seating during class as long as it is not distracting to others and students feel they are able to focus.
    • Students must not take screenshots, pictures, or recordings of virtual classes.

    Rules and Agreements for student behavior apply to our virtual learning environments. Behavior problems are recorded in writing and plans for corrective action are noted. Parents are notified if an inappropriate behavior persists.

    • If a child continually misbehaves, ASAS staff may separate the child from the program.
    • If a child acts in a way that creates a risk of harm and/or health to themselves and anyone else, ASAS may immediately separate the child from the program. 

    I have read the above Student Code of Conduct and am aware of the conduct required of my child as an ASAS participant. I also understand that youth actively involved with any negative or harmful actions and/or behaviors listed above are subject to suspension or dismissal from the ASAS program.

  • MINOR LIABILITY RELEASE

    In consideration of my child/ward being allowed to participate in After-School All-Stars virtual and/or on-site programming or After-School All-Stars events and/or field trips, its related events and activities, I, the undersigned, acknowledge, appreciate, and agree that:

    1. The risk of injury from the activities involved in this program is significant, including the potential for permanent paralysis and death, and while particular skills, equipment, and personal discipline may reduce this risk, the risk of serious injury does exist; and

    2. FOR MYSELF, SPOUSE AND CHILD, I KNOWINGLY AND FREELY ASSUME ALL SUCH RISKS, BOTH KNOWN AND UNKNOWN, EVEN IF ARISING FROM THE NEGLIGENCE OF THE RELEASEES OR OTHERS, AND ASSUME FULL RESPONSIBILITY FOR MY CHILD’S PARTICIPATION; and

    3. I willingly agree to comply with the program’s stated and customary terms and conditions for my child’s participation.  If, however, I observe any unusual significant concern in my child’s readiness for participation and/or in the virtual or on-site program or related events and activities itself, I will remove my child from participation and bring such to the attention of the nearest official immediately; and

    4. After-School All-Stars may provide, or third parties may provide, links or other access to other sites and resources on the Internet. After-School All Stars has no control over such sites and resources and After-School All Stars is not responsible or liable such sites and resources and does not implicitly or explicitly endorse such sites or resources. After-School All-Stars will not be responsible or liable, directly or indirectly, for any damage or loss caused by or in connection with use of or reliance on any content, events, goods or services available on or through any such site or resource; and

    5. Should it be necessary for my child to have medical treatment while participating in virtual and/or on-site programming or After-School All-Stars events and/or field trips, I hereby give the After-School All-Stars personnel permission to use their judgment in obtaining personnel to render medical treatment deemed necessary and appropriate by a physician. I agree to relieve the After-School All-Stars and other participating adults from any liability in connection with this request; and

    6. I, for myself and on behalf of my heirs, successors, assigns, personal representatives and next of kin, HEREBY RELEASE, INDEMNIFY AND HOLD HARMLESS AFTER-SCHOOL ALL-STARS, their successors, assigns, officers, officials, agents and/or employees, other participants, sponsoring agencies, sponsors, advertisers, and, if applicable, owners, and lessors of  premises used for the activity (“RELEASEES”), WITH RESPECT TO ANY AND ALL INJURY, DISABILITY, DEATH or loss or damage to person or property,  WHETHER ARISING FROM THE NEGLIGENCE (ACTIVE OR PASSIVE) OF THE RELEASEES OR OTHERWISE, to the fullest extent permitted by law; and

    7. I am of full legal age and have read and have freely signed this Minor Liability Release and am fully familiar with its contents. By my signature below, I indicate, on behalf of my minor child, my full and unqualified consent to the terms of this Minor Liability Release.

    I am a parent/guardian of “My Child” and hereby grant full permission and all rights to After-School All-Stars and their agents to use, adapt, edit, reproduce, distribute, or display My Child’s

    • Background information
    • Works produced by my child (e.g., artwork)

    obtained through photographic, video, digital, or other recording forms (e.g., virtual communication or conferencing platforms) from My Child during virtual and/or on-site programming or After-School All-Stars events and/or field trips. I understand the above may be used for video, publications, promotional materials, motion pictures, recordings and all other records or events (present and future forms of media) in perpetuity. I also grant After-School All-Stars, without reservation or limitation, the right to reproduce, copy, exhibit, publish, or distribute any such video recording, or digital file of this footage. To the extent the image or media of My Child is an educational record and may contain personally identifiable information about My Child as defined by the Family Educational Rights and Privacy Act of 1974 (“FERPA”), I hereby consent to the release of the image or media.

    I waive any right to inspect or to approve any present and future forms of media that may be created using the above and waive any claim with respect to the eventual use to which the above may be applied. I understand I will not be compensated for use of the above, time spent in making the above, or have any right to any future royalties from or related to the use of the above. My Child was a voluntary participant and agreed to appear in the production without a fee, salary, payment, remuneration or other compensation for the appearance now or in the future.

    I waive, release, and discharge any and all rights, claims, demands, and causes of action that I, My Child, or any third party, have or may have against After-School All-Stars and/or any of its agents, affiliates, subsidiaries, successors, or assigns now or in the future for invasion of privacy, right of publicity, copyright infringement, defamation, or any other cause of action arising out of this Media Release or the use, reproduction, adaptation, distribution, publication, broadcast, or display of the above. My release and waiver includes any liability by virtue of any blurring, distortion, alteration, optical illusion, or use in composite form, whether intentional or otherwise, that may occur or be produced in the taking of the above, including publication on the internet, in brochures, on posters, or any other advertisements or promotional materials. I understand that After-School All-Stars and/or any of its agents, affiliates, subsidiaries, successors, or assigns shall not be responsible for any use of the image by any third party accessing the image through the internet or any other manner. I further agree to indemnify and hold harmless After-School All-Starts and/or any of its agents, affiliates, subsidiaries, successors, or assigns from any and all rights, claims, demands, and causes of action, as described above.  

    I understand that I have the right not to consent to My Child being videotaped, photographed, or recorded during virtual or on-site program and/or After-School All-Stars events and/or field trips, and the right not to consent to the release or use of the image or media and any personally identifiable information about My Child contained in the media, and that this consent shall remain in effect until revoked by me in writing and delivered to After-School All-Stars, though any such revocation shall not affect disclosures previously made prior to its receipt.

  • Statement of ASAS Evaluation

    After-School All-Stars engages in ongoing program evaluation to identify personal, social, and academic outcomes for students that participate in our programs. Evaluation results are used for continuous improvement of our offerings and for reporting our impact to funders and other stakeholders. During the course of the program, ASAS will collect data about your student’s participation in ASAS activities and surveys about the program experience and student outcomes. Additionally, and ONLY IF YOU CONSENT TO THE FERPA RELEASE OF ACADEMIC DATA BELOW, ASAS may also collect your student’s education records from their district to evaluate academic and school-day outcomes that may result from participation in the program. All data collected is confidential and protected with industry-standard practices. The only individuals who will have access to your student’s outcome or academic data are approved staff or evaluation consultants bound to confidentiality and protection of data privacy. Your student’s data will NEVER be reported individually or in such a way that your student could be identified. All reporting will be in aggregate. If you have any questions about ASAS evaluation or would like to opt your student out of the evaluation, please email evaluation@afterschoolallstars.org.

    • ASAS encourages parents/guardians to contact ASAS staff via phone calls, or Remind.com to discuss their child’s participation in ASAS programming
    • ASAS encourages parents/guardians to support their child’s participation by reminding them of class schedules and discussing ASAS projects and/or activities.
    • If your child is an exceptional learner (e.g., Autism Spectrum Disorder, deafness/hearing impairment, blindness/visual impairment, emotional needs, intellectual disabilities, learning disability, traumatic brain injury, development delay disorders, gifted and talented, etc.), please contact your chapter’s Executive Director and/or Program Manager/Program Director.

  • External Guests / Programmatic Partners - Agreements 

    "Guests" include all person other than ASAS staff and/or current enrolled youth participants. Any individual who will be in view or can be heard during the time of ASAS virtual courses/activities must agree to the following. (Each guest must complete and sign their own External Guests/Programmatic Partners agreement form).

    • Guests should be dressed in appropriate attire (e.g., t-shirt, polo, sweater). ASAS requires that all guests utilize good judgment in determining their dress, grooming, and general appearance to present a consistent, professional image.
    • Guests may not take or post images/video/screengrabs of students or their parents/guardians to the web or to personal Social Media sites.
    • Guests may not be alone with an individual student at any point. Every class or gathering must have 2 adults present and active, inclusive of 1 ASAS staff member. (This does not apply to students' parent/guardian).
    • Guests must ensure an age-appropriate environment when teaching. Posters, images, music, language, or clothing that promote violence, drugs, alcohol, or other illicit behaviors are not acceptable.
    • Guests must follow FERPA guidelines (and COPPA guidelines, where applicable) and not disclose student information or records to anyone other than authorized ASAS staff members.
    • Guests may not give out any personal contact information to students (e.g., phone number, email address, physical address). Any necessary follow-up communication must be through ASAS staff.
    • Guests must respect different learning styles and exceptional learners’ needs.

    ASAS external guests are expected to practice personal safety and respect for others as they learn and connect with the All-Star community of teachers and students when joining a live virtual class or a prerecorded video.

    Guests must employ professional behavior and refrain from any of the following unacceptable conduct:

    • Violation of ASAS policies;
    • Possession of or being under the influence of alcohol or illegal drugs;
    • Misuse of ASAS funds, property, or records;
    • Possession of or threat to use weapons, firearms, or explosives on ASAS virtual space and property;
    • Unacceptable job performance or disruptive conduct in the workplace or conduct that hinders the performance of others or creates a hazard;
    • Gambling or conducting unlawful games of chance on ASAS space and property;
    • Engaging in rude or discourteous conduct towards students, volunteers, employees, or the public.

    I have read and agree to all the above external guests / programmatic partner description and agreement.

    I understand that I have the right not to consent to being videotaped, photographed, or recorded during virtual or on-site program, meetings, and/or After-School All-Stars events and/or field trips and the right not to consent to the release or use of the image or media and any personally identifiable information about myself contained in the media, and that this consent shall remain in effect until revoked by me in writing and delivered to After-School All-Stars, though any such revocation shall not affect disclosures previously made prior to its receipt. 

    I have read and fully understand the above and certify and represent that all information on this media release provided is accurate. I am of full legal age and have read this Media Release and am fully familiar with its contents.

  • INTELLECTUAL PROPERTY RIGHTS SERVICE CONTENT, SOFTWARE AND TRADEMARKS

    You acknowledge and agree that the After-School All-Stars virtual learning platform may contain content or features (“Online Content”) that are protected by copyright, patent, trademark, trade secret or other proprietary rights and laws. Except as expressly authorized by After School All-Stars, you agree not to modify, copy, frame, scrape, rent, lease, loan, sell, distribute or create derivative works based on the Online Content, in whole or in part, except that the foregoing does not apply to your own User Content (as defined below) that you legally upload to the After-School All-Stars virtual learning platform. For the sake of clarity, you acknowledge and agree that Class Recordings constitute Online Content belonging to After-School All-Stars. In connection with your use of the Online Content, you will not engage in or use any data mining, robots, scraping or similar data gathering or extraction methods. If you are blocked by After-School All-Stars from accessing the Online Content (including by blocking your IP address), you agree not to implement any measures to circumvent such blocking (e.g., by masking your IP address or using a proxy IP address). Any use of the Service or the Service Content other than as specifically authorized herein is strictly prohibited.

    The After-School All-Stars name and logos are trademarks and service marks of After-School All-Stars (collectively the “After-School All-Stars Trademarks”). Other After School All-Stars, product, and service names and logos used and displayed via the Service may be trademarks or service marks of their respective owners who may or may not endorse or be affiliated with or connected to After-School All-Stars. Nothing in this Terms of Service or the Service should be construed as granting, by implication, estoppel, or otherwise, any license or right to use any of After-School All-Stars Trademarks displayed on the Service, without our prior written permission in each instance. All goodwill generated from the use of After-School All-Stars Trademarks will inure to our exclusive benefit.

    As an ASAS NJ parent, I received a copy of the After-School All-Stars Parent & Participation Handbook* which includes the following information related to the environment an participation of my child(ren) in ASAS NJ's enrichment programming.

    The ASAS NJ Parent & Participant Handbook includes the following:

    • Student enrollment arrival, dismissal, and code of conduct information
    • Policy on the release of child(ren)
    • Policy of methods of parental notification
    • Policy on communicable disease management
    • Policy on the use of technology and social media

    If a child exhibits any of the following symptoms, the child should not attend the center. If such symptoms occur at the center, the child will be removed from the group, and parents will be called to take the child home.

    • Severe pain or discomfort
    • Acute diarrhea

    • Lethargy
    • Severe coughing
    • Yellow eyes or jaundiced skin
    • Red eyes with discharge
    • Infected, untreated skin patches
    • Difficult or rapid breathing
    • Skin rashes in conjunction with fever or behavior changes
    • Skin lesions that are weeping or bleeding
    • Mouth sores with drooling
    • Stiff neck

    Once the child is symptom-free, or has a health care provider's note stating that the child no longer poses a serious health risk to themself or others, the child may return to the center unless contraindicated by local health department or Department of Health.

    Excludable Communicable Diseases

    A child or staff member who contracts an excludable communicable disease may not return to the center without a health care provider's note stating that the child presents no risk to himself/herself or others.

    Note: If a child has chicken pox, a note from the parent stating that all sores have dried and crusted is required.

    If a child is exposed to any excludable disease at the center, parents will be notified in writing.

    Communicable Disease Reporting Guidelines

    Some excludable communicable diseases must be reported to the health department by the center.   • Policy on the Release of Children

    Each child may be released only to the child's parent(s) or person(s) authorized by the parent(s) to take the child from the center and to assume responsibility for the child in an emergency if the parent(s) cannot be reached.

    If a non-custodial parent has been denied access, or granted limited access, to a child by a court order, the center shall secure documentation to that effect, maintain a copy on file, and comply with the terms of the court order.

    If the parent(s) or person(s) authorized by the parent(s) fails to pick up a child at the time of the center's daily closing, the center shall ensure that:

    1. The child is supervised at all times;
    2. Staff members attempt to contact the parent(s) or person(s) authorized by the parent(s); and
    3. An hour or more after closing ,time, and provided that other arrangements for releasing the child to his/her parent(s) or person(s) authorized by the parent(s), have failed and the staff member(s) cannot continue to supervise the child at the center, the staff member shall call the 24-hour State Central Registry Hotline 1-877-NJ-ABUSE (1-877-652-2873) to seek assistance in caring for the child until the parent(s) or person(s) authorized by the child's parent(s) is able to pick-up the child.

    If the parent(s) or person(s) authorized by the parent(s) appears to be physically and/or emotionally impaired tci'the extent that, in the judgment of the director and/or staff member, the child would be• placed at risk of harm if released to uch an individual, the center shall ensure that:

    1. The child may not be released to such an impaired individual;
    2. Staff members attempt to contact the child's other parent or a_n alternative person(s) authorized by the parent(s); and
    3. If the center is unable _to make alternative arrangements, a staff member shall call the 24-hour State Central Registry Hotline 1-877-NJ-ABUSE (1-877-652-2873) to seek assistance in caring for the child.

    For school-age child care programs, no child shall be released from the program unsupervised except upon written instruction from the child's parent(s).

  • Expulsion Policy

    Unfortunately, there are sometimes reasons we have to expel a child from our program either on a short t_erm or permanent basis. We want you to know we will do everything possible to work with the family of the child(ren) in order to prevent this policy from being enforced.

    The following are reasons we may have to expel or suspend a ch,ild from this center:

    Immediate Causes for Explusion:

    • The child is at risk of causing serious injury to other children or himself/herself.
    • Parent threatens physical or intimidating actions toward staff members.
    • Parent exhibits verbal abuse to staff in front of enrolled children

    Parental Actions for Child's Explusion:

    • Failure to pay/habitual lateness in payments.
    • Failure to complete required forms including the child's immunization records.
    • Habitual tardiness when picking up your child.
    • Verbal abuse to staff.
    • Other (explain)

    Child's Actions for Explusion:

    • Failure of chil!l to adjust after a reasonable amount of time.
    • Uncontrollable tantrums/ angry outbursts.
    • Ongoing physical or verbal abuse to staff or other children.
    • Excessive biting.

    Schedule of Explusion:

    If after the remedial actions above have not worked, the child's parent/guardian will be advised verbally and in writing about the child's or parent's behavior warranting an expulsion. An expulsion action is meant to be a period of time so that the parent/ guardian may work on the child's behavior or to come to an agreement with the center. The parent/guardian will be informed regarding the length of the expulsion period and the expected behavioral changes required in order for the child or parent to return to .the center. The parent/guardian will be given a specific expulsion date that allows the parent sufficient time to seek alternate child care (approximately one to two weeks' notice depending on risk to other children's welfare or safety}.Failure of the child/parent to satisfy the terms of the plan may result in permanent expulsion from the center.

    A Child will Not be Expelled if a Parent/Guardian:

    • Made a complaint to the Office of Licensing regarding a center's alleged violations of the licensing requirements.
    • Reported abuse or neglect occurring at the center.
    • Questioned the center regarding policies and procedures.
    • Without giving the parent sufficient time to make other child care arrangements.

    Proactive Actions that can be Taken in order to Prevent Explusion:

    • Try to redirect child from negative behavior.
    • Reassess classroom environment, appropriateness of activities, supervision.'
    • Always use positive methods and language while disciplining children.
    • Praise appropriate behaviors.
    • Consistently apply consequences for rules.
    • Give the child verbal warnings.
    • Give the child time to regain control.
    • Document the child's disruptive behavior and maintain confidentiality.
    • Give the parent/guardian written copies of the disruptive behavior that might lead to expulsion.
    • Schedule a conference including the director, classroom staff, and
      parent/guardian to discuss how to promote positive behaviors.
    • Give the parent literature of other resources regarding methods of improving behavior.
    • Recommend an evaluation by professional consultation on premises.
    • Recommend an evaluation by local school district study team.
